Tally versus Formstack comparison cover

Tally and Formstack both build online forms that can do far more than collect a name and email address. They support conditional logic, file uploads, payment collection and integrations. Yet they solve different business problems at different costs. Tally aims to make advanced form capabilities accessible for free or with a relatively inexpensive subscription. Formstack combines a paid professional form builder with an optional suite for document generation, approval routing and dedicated eSignatures.

That distinction matters more than a simple feature checklist. A startup may collect thousands of lead submissions with Tally, charge for a workshop through Stripe and send responses to a CRM without paying for a form-builder subscription. A finance department might justify Formstack Suite when every submission must be reviewed, transformed into a standardized PDF, signed, and stored with an accountable process. Both can be valid purchases, but their cost structures and workflow boundaries are radically different.

This Toollers editorial comparison uses the current vendors' product, documentation, pricing and support materials, alongside published Toollers profiles. It separates vendor-reported capabilities from purchasing recommendations and does not claim hands-on testing, measured conversion results, regulated-data audits or card-transaction verification.

Quick verdict: Should you choose Tally or Formstack?

Choose Tally if you want the strongest low-cost value for interactive forms, lead capture, surveys, application forms, one-time Stripe payments, embedded website experiences and lightweight workflow automation. Tally Free includes conditional logic, calculations, signature capture, file uploads, webhooks and API access. Its advertised unlimited forms/submissions are subject to fair use rather than an unconditional enterprise-scale guarantee.

Choose Formstack when form submissions are one stage in a formal process that requires coordinated approvals, generated documents, a managed eSignature process, deeper enterprise arrangements or a Salesforce-centric configuration. Its core Forms product is paid, while the current Suite plan connects Forms, Documents and Sign, with its own delivery and storage limits.

Our pick for most small teams: Tally. Formstack is worth seriously evaluating for operations-heavy departments that can demonstrate process savings or particular governance requirements. If all you need is a good form, Tally's value proposition is unusually strong. If you need a complete controlled business workflow, inspect the exact Formstack Suite or custom offering and compare it to the total cost of stitching together separate tools.

The table reflects public entry-tier information observed on October 25, 2026. It does not imply that every Formstack integration or security option is available on every paid plan. The word “unlimited” on Tally refers to vendor marketing within its fair-use policy; the Formstack submission figures are stored-record capacities at a time, not recurring monthly allowances.

What is Tally?

Tally is a form builder that behaves much like a document editor. Rather than assembling a rigid sequence of cards, creators can type content and insert input blocks into a flowing page. Its standard features cover simple questions, advanced branching, calculated values, customized completion screens, forms that embed into websites, signature capture, basic protection controls, payment collection and file upload.

The product's key differentiator is feature availability on Free. Tally's own pricing page advertises unlimited forms and submissions under a fair-use framework and includes conditional logic, calculated fields, Stripe payments, electronic signatures, file uploads and popular integrations without a paid upgrade. This makes it attractive for freelancers, marketing teams, community projects, schools and startups that need to experiment without per-response anxiety.

Tally Pro adds business-facing presentation and collaboration features: custom domains, removing platform branding, custom CSS, team workspaces, partial submissions, notifications and larger files. Business adds retention controls, email verification and longer form version history. Tally does not claim that its simple signature block is a complete eSignature workflow with every legal, identity and audit facility of a dedicated contract platform.

What is Formstack?

Formstack sells software for capturing and processing business information. The Forms product offers no-code professional forms, conditional field or section rules, file uploads, payment integrations and connectors to downstream apps. It targets structured business intake rather than only public survey creation. This standalone Forms product is not free after its trial.

The Suite brings together Forms, Documents, Sign and Workflows. A submission can become an automatically populated document, move through business approvals and be sent for signature. That kind of continuity appeals to people who now manually transfer answers between email, spreadsheets, PDFs, document tools and sign platforms.

Formstack also advertises separate Salesforce Solutions and Enterprise offerings with quote-based pricing. Native Salesforce forms and specific enterprise security or SSO entitlements should not be confused with integrations in a normal Forms subscription. Buyers should identify the exact product and contract tier before assuming a promised capability will be available.

Tally vs Formstack pricing: what do you actually pay?

Tally Free, Pro and Business

Tally planDirect price in USDWhat changes
Free$0Unlimited forms/submissions within fair use; logic, calculations, Stripe, simple signatures, 10 MB/file uploads and webhooks/API
Pro$29 month-to-month or $290/yearBranding removal, custom domain/CSS, team workspaces, partial submissions, expanded uploads
Business$89 month-to-month or $890/yearIncludes Pro plus retention policies, email verification and longer version history

Tally's public pricing page can display rounded $24/month for Pro and $74/month for Business when annual billing is selected. The separate official plan detail pages spell out $290/year and $890/year, equivalent to approximately $24.17 and $74.17 per month. Comparing those rounded annual equivalents to a competitor's month-to-month rate would be misleading. For a fair annual comparison use annual commitments on both sides; for a flexible comparison use monthly figures on both sides.

Tally documents that there is no free trial for its paid Pro/Business upgrades, but its Free plan is usable indefinitely subject to fair use. That means you can build and publish representative forms before deciding whether branding, collaboration or governance justify spending money.

Formstack Forms, Suite and custom arrangements

Salesforce SolutionsCustom quoteDedicated Salesforce-native forms/documents/sign features
Enterprise SolutionsCustom quoteNegotiated security, users, submission volume, API and support conditions

Formstack offers a 14-day free trial for its core Forms product without requiring a credit card, according to its pricing FAQ. After that, continuing requires a paid plan. Its advertised annual-equivalent starting charges translate arithmetically to around $996/year for Forms and $3,000/year for Suite before add-ons and taxes, whereas 12 months on the published month-to-month prices total $1,188 and $3,588 respectively. These are illustrations derived from the list prices, not personalized invoices.

Tally Business's listed $890 annual price is below Formstack Forms' displayed $996 annual-equivalent total—but that does not make them equivalent products. Formstack Forms includes its own integration and submission management model, and the business case for Suite may involve replacing standalone document and e-signature tooling. Conversely, paying $3,000/year for a suite is difficult to justify if the team never generates an agreement or routes an approval.

The real total cost of ownership

Price per seat, file quota, submission history, integration maintenance and the cost of manual work matter as much as the base subscription. A small team might use Tally Free plus Google Sheets, and accept responsibility for connecting other software with free webhooks or the API. A larger organization might purchase Formstack to standardize procurement and reduce document-handling hours. The better financial choice depends on how often that workflow runs and who must maintain it.

Do not forget transaction processing charges from Stripe or any other payment processor. Also account for additional Formstack users, forms, stored submissions, document deliveries, onboarding assistance, training and possible higher-tier entitlements. Tally high-volume use may require a separate custom arrangement under its fair-use policy, so its free headline is not a defensible promise for unlimited sustained enterprise traffic.

Free plans, trials and what 'unlimited' means

This is one of the biggest differences. Tally offers a permanent free plan with advanced features, allowing a business to launch before it commits budget. But the provider's fair-use policy says sustained infrastructure-heavy usage can lead to discussions about a custom plan. Its illustrative extensive-usage thresholds include roughly 50,000 submissions/month, 100 GB of uploads/month or 500 GB total storage, and 50,000 notification emails/month, particularly when such volumes persist for months. These are illustrative triggers, not a universal hard response cutoff.

Formstack regular Forms and Suite accounts have numerical stored-submission limits. Its help documentation explains that a Forms plan's per-form submission count measures records stored in a given form's database at one time. When full, later submissions are emailed to the owner instead of saved to that form's database; linked integrations continue to run. A creator can export and delete stored submissions to free capacity or purchase additional capacity. The important risk is continuity of structured records, not that every over-limit response simply disappears.

Suite's document delivery allowance is different again: the entry plan lists 250 document deliveries per month across the account. That cannot be treated as an unlimited document generation entitlement merely because Suite lists unlimited eSignatures. Calculate actual monthly document deliveries, not merely the number of form responses.

Form building and respondent experience

Tally's document-style editor suits creators who want explanatory content, headings, pictures, question blocks and branching arranged as a natural page. A marketing team can make an application form feel like part of a branded landing page, while an operations employee can quickly add a new field without managing a more rigid workflow platform.

Formstack focuses on more conventional business form construction, with fields, sections, conditional rules, submission settings and integration steps. The additional structure can be beneficial for processes that need consistency across departments or need an explicit mapping between a field and a downstream CRM or document template.

Neither can be declared the more accessible or higher-converting product purely from marketing pages. Compare keyboard navigation, screen-reader labels, field-error messages, mobile performance, conditional question announcements and form length using your actual audience. A slow or confusing form can undermine sophisticated automation just as readily as it can undermine a free one.

Conditional logic: both are strong, but they differ

It would be inaccurate to say that Formstack's core strength is conditional logic while Tally lacks it. Tally includes conditional logic and calculations on Free, with actions such as show/hide, jumps and route selection. Calculated fields support numerical operations and value-based behavior, which makes product estimators, scoring or dynamic-price forms practical without a paid account.

Formstack Forms also supports conditional display of fields and sections, triggered by supported radio, dropdown, checkbox, number and date/time answers. These rules help build guided intake flows and reduce irrelevant fields. Formstack's guidance warns about interactions between conditional sections and multipage form layouts, so creators should test the entire route, not only the happy path.

In a straightforward requirement—“If the visitor selects Design, reveal project-budget questions”—either platform can work. Tally has the cost advantage. When conditional data feeds larger approval, document or CRM operations, Formstack's workflow-related offering can create additional value. The decisive criterion is downstream process integration, not the bare presence of an if/then rule.

Calculations and dynamic pricing

Tally documents free calculated fields that can sum numbers, create conditional totals, pipe answers and update a Stripe payment amount. A workshop organizer can charge based on ticket category or add-ons. A design agency can estimate a proposal range from inputs, while a donor form could offer multiple selectable amounts. These uses still require an independent check of edge cases such as invalid numbers and changing choices.

Formstack also supports business forms and payment integrations that can incorporate product or event fields and different payment options. However, exact feature and billing rules vary by integration and account setup. Map the logic in a specific proof of concept instead of assuming identical arithmetic and checkout experiences from a broad “calculation” feature badge.

A dynamic quote on a form is not a tax, refund or invoice engine. If pricing changes by geography, tax rules, subscription status or inventory, the business needs a system of record for the final charge and receipts. Neither editor should be treated as a replacement for a specialized commerce or billing platform without validation.

Payments: Tally's free Stripe block vs Formstack integrations

Where Tally shines

Tally provides a Stripe payment block on its Free plan. You can add a payment input to a form, connect a Stripe account and take card payments within the flow; payment data can be seen in Tally and Stripe. Tally's documentation explicitly says it does not store card details, leaving processing to Stripe. This is a compelling feature for small events, deposits, donations, simple product orders and consultation fees.

Two limitations matter: the official Tally guide says recurring payments are not supported by its standard payment block, and it currently says Stripe test cards cannot be used in the payment form. For a real business launch, the payment owner should arrange a controlled low-value transaction/reversal procedure consistent with provider requirements rather than invent sandbox success. Stripe processing fees still apply, even when Tally's platform does not add a separate platform transaction fee.

Where Formstack can be better

Formstack Forms documents integrations with Stripe and several other payment processors. Its help materials cover optional payment selections, routing logic and Stripe configurations that can handle one-time versus subscription choices in relevant setups. This is more versatile for organizations with established merchant systems or subscription-based processes, provided the particular integration and plan support the intended flow.

Formstack still is not a payment processor in itself, and a paid Forms subscription does not remove the need for a merchant account, chargeback handling, country eligibility or card security practices. If both products work with the buyer's payment setup and the task is a basic one-time checkout, Tally Free is extremely hard to beat economically. If the payment must also trigger a multi-stage approval and a contract signature, the Formstack Suite use case becomes more interesting.

Signatures: simple form signatures vs full eSignature workflows

Tally offers a free signature block so respondents can draw a simple electronic signature in the form. Tally's own guidance warns users to check legal requirements for valid electronic signatures in their jurisdiction. The submitted signature can appear with a PDF response. This suits low-complexity acknowledgements, simple consent records and signed applications when the organization's policies permit it.

Formstack also documents signature capture in form contexts, but Formstack Sign is a distinct dedicated eSignature product included in the Suite. Suite combines a form submission with document generation and a structured signature task. Its public pricing table marks formal eSignature collection and document generation for Suite rather than the entry Forms tier.

Neither vendor's marketing alone establishes that a given signature process satisfies evidentiary or legal requirements. Check signer identification, consent language, tamper evidence, audit trail, document retention, authentication and jurisdiction-specific rules. Where procurement or HR needs a multi-signer contract rather than a simple signature field, a tested dedicated workflow may be worth Formstack's premium.

Documents, PDFs and multi-step approvals

A Tally response can be viewed and exported, including PDF-oriented response workflows, and third-party automation can use its APIs and webhooks to generate documents elsewhere. That is sufficient if the team already uses Google Docs templates, a CRM or an external signing platform. The integration architecture is then the customer's responsibility.

Formstack Suite is built around a longer cycle: collect information, merge the details into a generated document, route the request for internal review and send it for signature. Its official description specifically connects Forms, Documents and Sign through a visual workflow builder. Public pricing also shows routed submission approvals are included in Suite, not in the entry Forms product.

Consider an HR onboarding request. In Tally, an employee can submit details and sign an acknowledgement; an automation connector can notify the team or start a process in another app. In Formstack Suite, the department can attempt to configure the approval, document creation and signature steps within the vendor's product family. Whether that consolidation saves time depends on number of approvers, exception handling, volumes and what systems are already licensed.

Integrations, API access and automation

Tally includes integrations with common data and automation destinations such as Google Sheets, Airtable, Notion, Zapier and Make. The vendor provides webhooks free to push submissions to external applications, and its API is also free. The API can create and manage forms, read submissions and support programmatic workflows; documentation currently lists a rate limit of 100 requests per minute. Technical teams should still plan for authentication, version pinning, webhook retries and data privacy.

Formstack offers native connections to common business systems including payment processors, CRMs and storage providers. Its real added value is how its Forms entries feed Documents, Sign and workflow steps. A business using Salesforce should distinguish a regular integration from the separate Salesforce-native Formstack Solutions product, since contract terms, architecture and submission accounting can differ.

If a team owns engineering resources and is comfortable with integration maintenance, Tally plus API/webhooks may be a highly economical stack. If the objective is a centrally governed no-code business workflow, Formstack may reduce the number of moving parts. The decision depends on total operations effort, not merely the raw count of connector logos on each vendor website.

File uploads: limits, storage and public access

Tally Free accepts file uploads up to 10 MB per individual file and does not require respondents to register or sign in for a typical public upload form. Tally Pro removes the specific per-file limit according to the vendor, though fair-use and any underlying technical restrictions still need attention. This makes Tally attractive for resumes, reference images, support screenshots, client documents and project briefs.

Formstack has an upload field with limits determined by the plan and integration route. Its entry Forms plan advertises 2 GB account storage, and Suite advertises 10 GB; its support documentation details submission-level and storage-service rules. If storage is exhausted, Formstack says upload prompts can become unavailable even when the underlying form remains open. Some storage integrations can offload files, but they introduce separate limits and security/retention obligations.

For both, decide who may view sensitive files, whether exported submissions leave copies behind, what file types are accepted, and how to delete attachments on request. Avoid treating the phrase “unlimited uploads” as a guarantee of infinite free storage: Tally explicitly subjects usage to a fair-use agreement.

Reporting, partial submissions and form performance

Tally provides a response dashboard, summaries and integrations to spreadsheets and reporting tools. The Pro plan adds partial submission capture and drop-off insight capabilities. Its support article notes that partial signatures are not saved as partial records and that partial submissions do not trigger normal integrations or notification emails. That nuance matters when sales teams expect every unfinished form to land in a CRM.

Formstack supports form response management and data sharing/export features, plus integration with downstream CRMs and business intelligence. Teams assessing conversion optimization should review whether the available plan captures abandonment data or provides the analysis they need rather than assuming it includes the same behavior as a Tally Pro workflow.

It is tempting to claim that one product drives more conversions, but that requires controlled experiments with the same question sequence, target audience, brand treatment and traffic mix. This review does not report such a test. Design preference and feature breadth are not substitutes for observed completion metrics.

Collaboration, access controls and organizational fit

Tally Free is excellent for solo creators or small projects. Pro explicitly adds unlimited invited team members and workspaces/folders for organizing and controlling team work. Custom domains and branding removal make the public experience more polished. Business adds controls for email verification, data retention and longer form-version recovery, so some governance requirements do not require a much more expensive platform.

Formstack's entry plan starts with one builder user and 25 forms; the entry Suite advertises three builders and 100 forms. Those are builders who can create/manage forms, not the number of public respondents. Organizations with multiple departments must budget for additional authorized team members or negotiate an appropriate plan.

Neither product eliminates owner lifecycle issues. Document which employees administer each form, who can edit conditional logic, who controls the Stripe account or downstream system, and who can export respondent data. A form registry and review schedule are especially important when the form remains public for months or years.

Security, data residency and compliance

Tally says its form data is hosted in Europe and encrypted at rest and in transit, and it publishes GDPR-oriented information and a Data Processing Agreement. Tally Business adds controls for automatically deleting submission data after a configured period. Those are meaningful governance features, particularly for organizations dealing with European personal information.

Formstack documents security settings and specialized healthcare/HIPAA-oriented products, plus Enterprise options such as SSO and tailored SLAs. Its published support guidance warns that sensitive-information collection can require particular settings or plans, and some encryption controls are not present on every subscription. Buyers handling protected health information should request the exact compatible offering, agreement and documented operating procedures rather than assume the base Forms license is automatically suitable.

A critical distinction: GDPR orientation does not equal automatic HIPAA readiness, and neither vendor can certify a customer's entire operation just by hosting a form. Review legal basis for collection, consent, access permissions, subprocessors, geography, backups, retention, incident response, payment handling and secure downstream exports. Treat conclusions about legal compliance as buyer-specific and subject to qualified review.

Salesforce and complex enterprise operations

Many Tally customers can push submissions to a CRM through an integration or a custom webhook. That can be entirely adequate for creating a lead record or notifying a sales rep. But a company with strict Salesforce record governance may need more than one-way submission sync.

Formstack offers dedicated Salesforce Solutions designed around native forms, prefill, document actions and Salesforce-oriented process requirements. These are custom-priced, separate from base Forms and Suite, and their limits may be calculated differently. A Salesforce buyer should ask whether data lives primarily in Salesforce or Formstack, how permissions propagate, how sandbox/test environments work, and what audit/deployment process is supported.

Only pay for that complexity if it solves a real organizational requirement. An email sign-up form that happens to send a new lead into Salesforce rarely justifies an entire enterprise workflow platform by itself.

Who should choose Tally?

  • Freelancers and solo operators: Collect proposals, inquiries, registrations and attachments without a recurring form fee.
  • Startups and marketers: Build conversion-oriented conditional forms, connect Sheets/Airtable, and upgrade for custom branding only when necessary.
  • Event organizers: Take straightforward one-time Stripe payments, while checking processor restrictions and refund handling.
  • No-code builders and developers: Use Tally webhooks and API for integrations you are prepared to maintain.
  • Small operations teams: Collect requests and signatures affordably where the approval process can remain in existing business tools.

Avoid choosing Tally purely for a claimed unlimited-volume guarantee. Read the fair-use policy, assess payment limitations, and check whether your legal processes need more than a simple signature field. If departments require formal, audited stage-by-stage approvals and document generation, the overall system design may matter more than the free plan.

Who should choose Formstack?

  • Mid-market operations: Standardize intake that should trigger review, document generation and signature stages.
  • Finance and procurement: Evaluate approval routing, generated records, retention and explicit accountability.
  • HR and onboarding: Digitize structured employee/customer journeys, subject to privacy and integration checks.
  • Salesforce-heavy organizations: Evaluate the custom Salesforce-native solutions against generic integrations.
  • Regulated organizations: Discuss plan-specific security, encryption and healthcare arrangements with vendor and internal compliance teams.

Formstack's licensing model means it may not be the value winner for a simple contact form, survey or one-time checkout. Its strength emerges when multiple costly manual tasks can be combined into a managed workflow. Be wary of assuming a feature from a Suite demo exists in the entry-level Forms product.

Migration checklist: moving from Tally to Formstack

  • Inventory all published Tally links, embedded forms, hidden fields, conditions, calculated fields and thank-you redirects.
  • Export submissions and attachment references; agree on retention, consent and privacy requirements before duplication.
  • Check every Stripe-related step, especially one-time versus recurring payments, refunds and payment confirmation mapping.
  • Map API/webhook destinations to Formstack integrations; recreate field names and failure-handling rules before turning off old endpoints.
  • Verify that the right Formstack tier includes each desired capability: Forms logic, Suite approvals, Documents, Sign or Salesforce-specific tooling.
  • Calculate the actual number of builder users, forms, stored records, file-storage volume and monthly document deliveries.
  • Test mobile, accessibility, branching paths and data exports using synthetic records; get security approval for real sensitive data.
  • Keep the old form link active or implement a validated redirect until external websites, CRM campaigns and emails have been updated.

Mistakes to avoid when comparing Tally and Formstack

Mistake 1: Calling Formstack paid logic a unique advantage. Tally includes robust conditional logic and calculations free, so that alone rarely explains a large subscription premium. Evaluate business workflows and controls.

Mistake 2: Equating a Tally signature field with Formstack Sign. Both can capture some form of signature, but a routed dedicated eSignature/document lifecycle is a different product and may satisfy different requirements.

Mistake 3: Treating Tally unlimited submissions as infinite free infrastructure. The vendor publishes fair-use examples and says sustained exceptional demand can trigger a custom plan. This is not a no-questions-asked enterprise SLA.

Mistake 4: Reading Formstack's 1,000 entry submission limit as a monthly reset. Vendor help describes the number of submissions stored in an individual form's database at a time. Exceeding it changes how new records are retained; document deliveries are separately counted monthly.

Mistake 5: Comparing annual-effective pricing with monthly billing. Tally Pro $290/year is not the same as $24 charged monthly. Formstack Forms $83/month equivalent requires annual billing; the month-to-month amount is $99.

Mistake 6: Buying Suite for a capability you already own. An organization with separate contract automation, eSignatures, approvals and CRM tools may not need Formstack's bundled services. Validate incremental value and integration cost.

A practical two-week evaluation framework

If the business is unsure, build the same representative intake form on Tally and during a Formstack trial. Choose one example containing different respondent branches, file uploads, an integration destination and a payment or signature step if relevant. Give both versions to the same small set of representative testers and log functional gaps, time spent configuring, field errors and integrations that need support.

Do not describe the outcome as an A/B conversion experiment without comparable live traffic. The practical first objective is to establish that each tool can deliver the workflow, manage the data responsibly and stay within budget. If deciding on Suite, insist on evaluating the document/approval/sign lifecycle specifically and checking whether the trial actually enables those components.

Score candidates against explicit pass/fail criteria: required compliance agreements, security settings, payment method support, max file size, submission retention, administrative roles, output document quality, integration behavior and exit portability. A cheaper form is not actually cheaper if it leaves critical work unaccounted for.

Final verdict: Tally vs Formstack for your business

Tally wins on accessible features and price. It is a genuinely capable free form platform, with logic, calculations, one-time payments, signature capture, files and integrations that many competing builders put behind paywalls. Most marketers, founders, freelancers and small organizations should try Tally first, then consider Pro or Business only for the additional branded, team and governance requirements.

Formstack wins when the form itself is one part of a more controlled operational process. The vendor's Suite offers a coherent route from intake through approvals, generated documents and dedicated signing. Salesforce-related and healthcare-specific requirements may further justify a bespoke vendor conversation, but features and legal suitability must be verified at the exact subscription level.

The most honest answer to “Which is better?” is therefore task-specific: buy Tally for excellent forms; evaluate Formstack for formalized business workflows. Before paying a premium, prove that the planned process uses the additional products frequently enough to offset their cost.
