About Clockify
Clockify is a time tracking and timesheet platform for freelancers, small businesses, agencies and organizations that need to account for project hours. It provides timers, manual hour entry, timesheets, project and client labels, calendars and reports. A worker can track billable client work, an agency can summarize time by project, and a manager can add approval, leave, invoicing or workforce controls by moving to a paid plan. Clockify offers web, desktop, mobile and extension interfaces, so teams can record activity from different devices. Its market position has often emphasized a generous free time tracker, but the current Free plan is no longer an unlimited-user product. The live official pricing page says Free costs $0 and supports up to five users, including the owner. It still allows unlimited time tracking, unlimited basic work records, timers, timesheets, calendar views, automatic app or site tracking for personal reference, a Pomodoro timer, idle reminders, team activity and basic reports. The vendor's help center confirms that the five-person limit was introduced as part of a Free plan update and applies after trial expiry. Some older articles and promotional snippets still describe Clockify as free for unlimited users, so a new buyer should rely on the current pricing comparison and not assume a larger team can stay entirely free. Free exports and reporting also have tier-specific limits; the live comparison lists PDF exports for Free and wider CSV/Excel exports on paid tiers. Clockify Basic costs $4.99 per full user seat per month when billed monthly, or $3.99 per seat per month equivalent on annual billing. It adds administration and billing controls such as adding time on behalf of someone else, required fields, restricted access to certain pages, bulk editing, time audits, time estimates, historical and billable rates, project templates, data import, kiosk functions and fuller export/share options. This is a practical first paid tier for small teams whose main concern is clean time collection and managerial oversight. It also allows additional users beyond the Free ceiling, so businesses should estimate the cost for the whole workspace, not only the sixth user. Clockify Standard is $6.99 per user per month on monthly billing or $5.49 per user per month equivalent annually. It adds time-off management, invoicing and recurring invoicing, timesheet approvals, locking approved periods, attendance and overtime views, manager permissions, rounding, task rates, reminders and a QuickBooks integration. These functions can reduce manual movement between work records and client invoicing or payroll preparation. They also create approval rules that require a clear owner and policy. For example, a locked timesheet and overtime report only provide reliable financial data when staff use consistent start/end times, leave categories and billable project codes. The Pro plan is $9.99 per user per month on monthly billing or $7.99 per user per month equivalent annually. It adds scheduling, forecasting, expense tracking, labor cost and profit analysis, project budgets, custom fields, alerts, additional reports and optional field-management features such as GPS tracking and kiosk photo capture. The live page also introduces activity monitoring as a paid feature. These options can be useful for field operations and resource planning, but employers should decide what data is appropriate to collect and inform workers clearly about monitoring. GPS or activity information is not the same as a verified measure of productivity or quality. Enterprise costs $14.99 per user per month on monthly billing or $11.99 per user per month equivalent annually. It adds identity and security controls such as single sign-on, SCIM user provisioning, custom subdomains, account controls and audit logs on top of Pro. Clockify also sells a CAKE.com productivity bundle that includes Clockify Enterprise and separate communication/project tools, with its own higher combined subscription rate. It is not a requirement to purchase the bundle for ordinary Clockify time entry. For frontline use, limited kiosk-only seats can have separate lower per-seat prices; those seats do not grant all the functions of a normal full user. Teams should verify kiosk restrictions before comparing a reduced kiosk price with standard full-user rates. Pricing is seat-based. The official Clockify page says active or invited workspace members count as paid seats, including owners, administrators, managers and members. Deactivated users stop occupying paid seats. Taxes can be added in the checkout location, and the product can display regional currencies. An organization with 15 people on Standard should calculate 15 multiplied by the appropriate per-seat fee, even if only a subset is actively timing work that week. Changing seats mid-cycle can trigger prorated adjustments. Clockify lets eligible users try paid Pro features free for seven days without a credit card; after expiry, an account that does not upgrade returns to Free, where the five-user restriction and paid-feature locks apply. Clockify is useful for two overlapping but distinct needs. The first is client/project time accounting: which team spent hours on which client, what work was billable, which project is over estimate and how many hours should flow to an invoice. The second is workforce management: attendance, overtime, leave, employee schedules, kiosk clock-ins and GPS-supported field check-ins. The latter functions live in paid tiers and require workplace policies and privacy review. A consultant who simply needs a daily timer and weekly PDF summary may have no reason to buy them. A construction or field team may need Pro and an appropriate kiosk setup, while a professional services firm may value Standard for invoicing and approvals. The software includes integration routes for browser, desktop and mobile tracking. Its official page names more than 100 integrations and a QuickBooks connection on Standard. Users can export relevant paid reports for accounting or payroll, share time data and use webhooks or APIs for custom workflows, with tier-specific conditions. Before committing, verify whether integration data flows one way or both ways, how rate changes are represented historically and whether exported time reflects approved records. Also test offline time capture, kiosk limitations and time zone behavior when managing remote teams. Clockify differs from Toggl in its heavier emphasis on attendance, kiosk and field-oriented controls at higher tiers. Toggl emphasizes a simpler timer and planning workflow, with a different set of optional capacity products. Both can record client project time; the right choice depends on whether the business needs billable records, approved timesheets, expense accounting, location attendance or real-time capacity planning. Neither tool should be judged by its lowest annual-equivalent price alone. Compare the fully licensed team size, actual billing cadence and essential tier features. For a realistic trial, have the team track several days of work, send a timesheet through the appropriate approval process, compare billing totals to an existing invoice, and test a worker who uses only a shared kiosk. Examine which data appears in standard versus paid exports. Toollers researched Clockify from the current official pricing comparison and help documentation. We did not operate an account, send an invoice, audit GPS precision or independently review its security. Ratings here are research-based, not hands-on testing.
