Xero and Sage Accounting are two established cloud accounting choices for British small businesses. Both handle invoicing, bank feeds, reconciliation, suppliers, VAT, cash flow and accountant collaboration. Both have expanded their products in the past year, adding AI assistants and bundled payroll allowances, so older comparisons can overstate their differences or quote prices that are no longer current. The most useful question is which software best handles the business processes you actually run, in the plan you can afford after promotions end.
This article compares the active UK Xero plans—Simple, Ignite, Grow, Comprehensive and Ultimate—with the active UK Sage Accounting plans—Start, Standard and Plus. Xero raised its regular UK prices on September 1, 2026: Simple remains £7, Ignite is £18, Grow £39, Comprehensive £55 and Ultimate £70 per month before VAT. Sage lists Start £20, Standard £43 and Plus £59 per month before VAT. Both promote major introductory discounts, which should be excluded from a sustainable long-term cost comparison.
The products differ in how capabilities and people are bundled. Xero does not charge per ordinary accounting user; Grow includes payroll for one person, Comprehensive five and Ultimate ten, plus higher levels of automation and forecasting. Sage restricts core users on Start and Standard to one and three but allows unlimited users on Plus. Sage includes payroll for one employee on Start and Standard and five on Plus, with separate per-person overage charges. Sage Copilot is included throughout its active plan ladder, while Xero increasingly uses JAX to assist bookkeeping and financial analysis.
Geography matters. S. Sage Business Cloud Accounting product. U.S. buyers should not expect to purchase Sage Start, Standard or Plus in dollars merely because Sage sells other products in America. Price, tax compliance, payroll and product availability must be checked in the country where the business operates.

The country and product-identity issue
Xero operates in the United Kingdom, United States, Australia and other markets, but its pricing and payroll features differ by country. Sage also sells several distinct accounting products; Sage Accounting UK is one particular cloud product and must not be confused with Sage 50, Sage Intacct or a retired U.S. package.
Sage officially states that U.S. Sage Business Cloud Accounting was retired as of December 31, 2024 and support and access ended January 31, 2025. That retirement affected the U.S. service, not active products in the UK and elsewhere. For this comparison, both products are British editions and all main recurring prices are in pounds sterling before VAT.
What changed in Xero pricing in September 2026?
Xero announced a September 1, 2026 UK price increase. Ignite rose from £16 to £18 per month, Grow from £37 to £39, Comprehensive from £50 to £55 and Ultimate from £65 to £70. Simple remained £7. The changes applied to new and existing UK customers, including accounts whose promotional discounts later expire.
Xero also stopped applying its multi-organisation discount from that date. That detail matters to entrepreneurs running several legal entities and accounting firms overseeing many client subscriptions. All published current rates are before VAT; optional add-ons and excess usage are not included.
Current Sage Accounting prices
Sage Start costs £20 per month at regular UK rates, Standard £43 and Plus £59, excluding 20 percent VAT. Start includes one accounting user, Standard three and Plus unlimited users. A separate Sage Sole Trader product can have different eligibility and starting prices; do not treat that as Sage Accounting Start.
The live Sage site advertises a 90 percent promotional discount for the first six months. That means Start can be shown as £2 initially, Standard £4.30 and Plus £5.90, but each returns to its full £20, £43 or £59 monthly list price. Sage also presents a free trial alternative for qualifying new customers.
Avoid comparing temporary discounts
Both sites emphasize discounted initial subscriptions and both may change promotional offers. An introductory price is real only for the applicable new-customer period; it is not a normal recurring rate or proof one vendor is intrinsically cheaper.
For an owner deciding whether to move bookkeeping platforms, model at least twelve months at steady-state rates, then optionally add an introductory discount in a separate scenario. Include VAT, payroll overages, card processing, document capture, specialist apps and migration work to reach a realistic budget.
Xero Simple: a distinct non-VAT starting point
Xero Simple remains £7 per month before VAT and is targeted at non-VAT-registered sole traders, small landlords or businesses with very limited needs. The current Simple comparison identifies a ten-invoice allowance and draft-only bill handling, alongside MTD for Income Tax preparation and basic receipt capture.
Simple is not a direct competitor to Sage Accounting Start, which targets VAT-registered businesses. A non-VAT self-employed user should also investigate Sage Sole Trader, a separately named product, rather than pay for features they do not need. Choosing the correct tax status is more important than the smallest price tile.
Xero Ignite: affordable but with monthly limits
Xero Ignite is £18 per month before VAT and supports quotes and up to twenty invoices per month plus ten bills. It includes bank reconciliation, document capture, real-time reporting, VAT returns, CIS calculation/reporting and a thirty-day cashflow forecast.
Ignite supports payroll on a separately charged per-person basis, currently listed at £1.50 for each paid employee per month. A low-volume consultant may fit Ignite comfortably, but a retail or subscription business with dozens of monthly customer invoices could reach its limits quickly. Grow is the more appropriate Xero tier when transaction volumes rise.
Sage Start: UK bookkeeping and one included employee
Sage Start is £20 per month ex VAT and includes unlimited sales invoices, bank feeds and reconciliation, VAT calculation/submission on eligible workflows, Sage Copilot and an included payroll entitlement for one employee. It allows one regular accounting user.
The Starter-like simplicity makes Sage appealing to a VAT-registered sole trader or very small limited company. However, quoting, supplier-heavy workflows, CIS administration, document scanning and custom reporting are positioned more fully in Sage Standard. Buyers should verify the exact permissions and payroll features in their current account.
Xero Grow: the practical tier for active businesses
Xero Grow costs £39 per month ex VAT. It removes the basic Ignite invoice and bill caps, adds more automated bill processing, a customizable performance dashboard, automated bank reconciliation and a sixty-day cash forecast.
One employee payroll allowance is included. Xero also lists one expense/mileage user and up to five eligible domestic bill/payroll payments in the plan, with charges for additional usage. For a company with frequent billing and a small employee count, Grow is often a more credible comparison with Sage Standard than the cheaper Ignite tier.
Sage Standard: suppliers, CIS and reporting
Sage Standard costs £43 per month ex VAT and supports three accounting users. It extends Start into supplier management, accrual-style bookkeeping, CIS handling, quotations, cashflow forecasting and custom reports.
Standard also includes thirty approved document/receipt captures per period, with additional approved captures charged at £0.20 each. Payroll for one employee and Sage Copilot are bundled under the current offer. It is especially relevant for contractors and supplier-heavy UK small companies that want finance administration and payroll closely connected.
Xero Comprehensive: multicurrency and five-person payroll
Xero Comprehensive costs £55 per month before VAT. It builds on Grow and includes multicurrency accounting, cashflow forecasting out to ninety days, more extensive KPI views and expenses/mileage allowances for five users.
It also includes payroll for five people and up to ten qualifying domestic bill/payroll payments, with additional usage charges where relevant. A small international business or an employer with four or five people may find this a particularly strong value proposition against Sage Plus, which is £59 and includes a five-employee payroll allowance.
Sage Plus: unlimited users and stock control
Sage Plus is £59 per month ex VAT and includes unlimited core accounting users. It adds inventory/stock management, multicurrency invoicing and banking, exchange-rate maintenance and budgets to Standard features.
The current Sage offer includes payroll for five employees, Sage Copilot and one hundred approved document captures; extra employees are charged at £1.85 per person per month and extra approved captures at £0.20 each. Unlimited accounting users can be decisive for a growing team, but the buyer should still inspect role permissions and auditability.
Xero Ultimate: advanced reporting and projects
Xero Ultimate costs £70 monthly ex VAT and includes payroll for ten people, a 180-day cash forecast, tailored financial scorecards, deeper KPI and ratio analysis and benchmarking features.
Ultimate also includes Xero Projects functionality for tracking time and costs for ten project users, plus ten expense/mileage users, budgeting assistance and a higher domestic payments allowance. Sage Accounting has no directly equivalent fourth-tier plan within Start, Standard and Plus; more complex Sage needs could involve a separate product.
Unlimited accounting users: Xero and Sage Plus
Xero advertises no per-user accounting license fees across its UK accounting tiers. That can make it easier to invite bookkeepers, finance leads and authorized managers without upgrading merely to accommodate another login.
Sage Start has one accounting user and Standard three, while Sage Plus offers unlimited. This means Xero Grow at £39 may already suit a company with several ordinary accounting users, whereas Sage Standard users who need additional seats may move to Plus. Always check user permissions and external accountant allowances as well as headline counts.
Payroll is included in more plans than old reviews suggest
A stale comparison might say Xero UK payroll always costs extra and Sage alone bundles payroll. That is no longer accurate for current plans. Xero Grow includes one person, Comprehensive five and Ultimate ten; Ignite lists payroll as a per-person extra.
Sage Accounting Start and Standard include payroll for one employee, while Plus includes five. Both vendors charge extra for payroll headcount above plan allowances and may charge for payments, advanced functions or specific payroll services. The right payroll comparison depends on how many people are paid and which pay-run features actually matter.
Exactly how much do payroll overages cost?
Xero currently states £1.50 per additional person on Grow and Comprehensive and £1 per extra person on Ultimate. Ignite lists payroll at £1.50 per person. The included headcounts are per plan, not an unlimited payroll entitlement.
Sage currently lists £1.85 per extra employee per month above its allowance of one on Start/Standard or five on Plus. These published charges may not include all payroll payment usage and extras. Pension auto-enrolment, HMRC RTI filings, leave, approvals and benefits should also be considered.
Payroll cost illustration for a five-person employer
Take a UK company paying five staff and assuming the published payroll charges apply without optional extras. Xero Grow has one person included and four extra at £1.50, giving £39 plus £6, or £45 per month before VAT. Xero Comprehensive includes five people at £55 per month before VAT.
Sage Standard includes one and charges £1.85 for four extras, giving £43 plus £7.40, or £50.40. Sage Plus includes five people at £59. These illustrations are not personalized quotes and exclude any bank payment charges, VAT and different employment/contract terms.
A ten-person payroll cost example
Xero Ultimate includes payroll for ten people at its £70 monthly base rate. Xero Comprehensive includes five, so five additional people at £1.50 would make its illustrative accounting-plus-payroll total £62.50 before other usage.
Sage Plus includes five, so ten paid employees would make its illustrative total £59 plus five times £1.85, or £68.25. Cost alone does not determine the plan: Xero Ultimate adds project and analysis functions, while Sage Plus offers unlimited core accounting users and inventory.
Invoicing and customer payments
Both platforms create customer invoices, issue reminders and track unpaid balances. Sage Start advertises unlimited sales invoices, which differentiates it from Xero Ignite at twenty per month.
Xero Grow lifts the common invoice cap and provides broader automation and reporting. Both can connect online payment services, but processor fees and regional account eligibility remain separate. A business with frequent small sales should test invoice batching, tax coding, reminder automation and reconciliation before deciding.
Quotes, estimates and client portals
Xero lists quotes on all UK tiers, while Sage Standard and Plus emphasize quotations and estimates alongside supplier workflows. The exact entry-plan quotation process should be checked in Sage Start before purchase.
A business that repeatedly converts proposals into invoices should run a complete quote-to-invoice scenario with correct VAT and any payment deposit. Both can serve ordinary sales accounting, but companies selling complex packages may require CRM or billing integrations.
Supplier bills and accounts payable
Xero Ignite permits ten bills monthly, while Grow and above are positioned for broader bill management and automated data entry. Xero offers purchase orders and other supplier functions across its applicable cloud accounting modules.
Sage Standard adds more complete supplier management to Start and Plus extends stock, budgeting and currency accounting. A buyer should test open supplier bills, partial payment, credit notes, overdue payables and VAT treatments rather than making a decision solely from the presence of bill entry on a feature grid.
Bank feeds and everyday reconciliation
Both accounting suites can connect eligible bank accounts and match transactions to recorded invoices, expenses and transfers. Xero is particularly known for its bank reconciliation workflow and has invested further in assisted reconciliation and connected finance tooling.
Sage advertises smarter bank feeds, auto-categorization and reconciliation support, increasingly tied to Sage Copilot. Neither vendor guarantees every bank connection works reliably; the buyer should test their actual current account, company credit card and historical statement imports.
Automatic reconciliation and exceptions
Xero Grow, Comprehensive and Ultimate list automatic reconciliation, while lower-tier users may pay for optional automation or manually review bank transactions. Rules and suggested transaction matching can save bookkeepers time on repetitive entries.
Sage positions automatic reconciliation alongside its current Accounting offering. Both systems require human oversight for duplicate card payments, mixed-use expenses, customer refunds, transfer matching and foreign currency fluctuations. AI suggestions are not accountant-approved records by default.
Receipt scanning and limits
Xero includes smart document capture across its UK plans, including receipt capture within the relevant scope. Certain Xero Expenses or advanced document workflows may have separate included-user or usage boundaries.
Sage Start does not include the same receipt-scanning entitlement shown for higher tiers. Sage Standard includes thirty approved document captures and Plus one hundred; extra approved captures cost £0.20. A receipt-heavy trades firm should estimate scanned documents per month, review errors and compare the effective cost of each vendor.
Example: a document-heavy small company
Suppose a Sage Standard customer has 200 approved captured receipts and invoices in a billing period. With thirty included, 170 extra at £0.20 would add £34 to the normal £43 subscription, producing an illustrative £77 before VAT and other costs.
Sage Plus includes one hundred, so 100 extra captures in the same scenario would add £20 to its £59 base, creating £79. The two options are then close, though Plus provides inventory, multicurrency, budgets and unlimited users. Confirm billing periods and definitions of an approved capture in the actual contract.
VAT and Making Tax Digital
Xero and Sage both provide UK VAT reporting and HMRC Making Tax Digital functionality in applicable business plans. Xero Ignite and above support VAT returns; the £7 Simple plan is positioned for non-VAT businesses and should not be treated as VAT-registration software equivalent to Ignite.
Sage Accounting Start and higher tiers support VAT calculation and submission, with more complex workflows or review functions depending on account configuration. Neither product eliminates responsibility for accurate tax registration, invoice wording or correct tax rates.
MTD for Income Tax and sole traders
Making Tax Digital for Income Tax is a separate workflow from MTD for VAT. Xero UK markets MTD for Income Tax readiness, including on Simple for non-VAT businesses, while Sage offers separate Sole Trader functionality and MTD-compatible Accounting editions.
A sole trader should confirm applicable implementation dates, turnover eligibility, quarterly update requirements and final tax submissions with HMRC guidance or their accountant. Choosing a plan based solely on an MTD-ready marketing label can still leave other filing work undone.
Construction Industry Scheme
Both vendors advertise support for CIS calculations and relevant reporting in the UK. Xero describes automated subcontractor CIS calculations and reports across its main plans, while Sage Standard is specifically marketed for managing and submitting CIS workflows.
Buyers should distinguish CIS calculations from filing returns and payments. Xero currently lists submitting contractor CIS returns as an optional add-on in pricing details, so do not assume every electronic filing capability is included without an additional fee. Test contractor verification, deductions and monthly returns.
Multicurrency: Xero Comprehensive versus Sage Plus
Xero Comprehensive includes working in multiple currencies at £55 per month, and Ultimate retains that capability. Lower-tier Xero users should not assume the same currency accounting experience.
Sage Accounting Plus unlocks multicurrency invoicing, exchange-rate management and multi-currency banking at £59 monthly. For a small UK importer, both are realistic starting points; Xero may cost slightly less in base subscription, while Sage provides different stock and user entitlements.
Inventory: Xero has native tracking too
Sage Plus includes stock/inventory management, which is a clear step up from Sage Start and Standard. It helps with product counts and the financial record of stock movements.
However, it is inaccurate to say only Sage offers inventory. Xero core accounting has tracked inventory for up to 4,000 finished items, including quantity and stock value updates and cost-of-goods accounting. Xero documents limitations with manufacturing assemblies, e-commerce order workflows and more complex purchase order receiving.
When specialist inventory software is necessary
A business with a simple set of goods invoiced directly may be able to use Xero native stock tracking or Sage Plus without an additional inventory application.
A retailer with warehouses, serialized assets, batch traceability, manufacturing bills of materials, advanced picking or multichannel ecommerce should assess dedicated inventory tools. Xero lists specialist connected apps in its marketplace; the Sage ecosystem also has third-party options. Treat related licenses as costs, not bundled benefits.
Projects, jobs and timesheets
Xero Ultimate includes Projects for tracking job time and costs for ten users, plus profitability and related project reporting. Lower tiers do not provide that same included native Projects entitlement.
Sage Accounting offers ordinary expense, invoicing, budgeting and financial reporting features, but its Start/Standard/Plus pricing does not present a directly equivalent project profitability suite. Firms with large job-costing needs should compare Xero Ultimate with the appropriate Sage family product or a specialist tool, not presume Sage Accounting Plus matches Sage 50.
Cashflow forecasting
Xero publishes forecast windows by plan: Ignite thirty days, Grow sixty, Comprehensive ninety and Ultimate 180 days. Higher tiers also introduce richer graphing, performance dashboards and ratio analysis.
Sage Standard emphasizes cash-flow forecasting and reporting, while Plus adds budget management. The ability to build forecasts can be more useful than simply the number of days shown: test customer-payment assumptions, payroll costs, tax liabilities and planned supplier bills with realistic data.
Business intelligence and advanced reports
Xero Ultimate adds tailored health scorecards, deeper KPI and ratio analysis and industry benchmarks on top of standard profit and loss, balance sheet and cashflow reporting.
Sage Standard adds custom reports and Plus adds budgets, inventory and currency data. A finance director may need an analysis tool beyond either basic accounting package if they require group consolidation or highly customized multidimensional reporting. Confirm exports and integration with the chosen analytics system.
Sage Copilot versus Xero JAX
Sage advertises Copilot as included in Start, Standard and Plus. It helps with administrative reminders, insights, invoice chasing and error detection, with specific abilities depending on subscription and phased availability.
Xero uses JAX to support financial insight, categorization and bookkeeping automation, including growing automatic bank reconciliation capabilities. Neither system guarantees that every AI recommendation is correct or that an assistant can submit a legally accurate tax return without review.
How to evaluate AI accuracy
Rather than choose on marketing adjectives, prepare a test set of transactions: duplicate bank feed items, personal spending, partial customer payments, out-of-period supplier bills, refunds and a VAT rate exception.
Run the same processes in both tools and observe how many suggested actions the bookkeeper must correct, what audit history is preserved and whether explanations are useful. Unless the organization has documented these tests, article writers should not claim personal performance measurements or time savings as Toollers testing.
Integrations and connected applications
Xero advertises more than a thousand apps covering ecommerce, inventory, billing, CRM, expense management, workflow automation and specialist accounting tasks. It is a strong option when the company already relies on a specialized third-party stack.
Sage Accounting has its own marketplace and connections to complementary Sage products and third-party apps. Real value depends on the exact connector: field mapping, synchronization frequency, country availability, ongoing subscription cost and whether the integration requires another account.
Payroll and payment integrations
The UK versions integrate accounting and payroll, but direct payroll allowances are now explicitly tiered in both products. Companies should verify that pension auto-enrolment, statutory pay, HMRC RTI submissions and payslip distribution meet their current responsibilities.
Some payment and payroll functions use banking partners or payment providers and may carry domestic payment quotas or per-payment charges. Xero Grow lists up to five included eligible domestic payments, Comprehensive ten and Ultimate fifteen, while Sage salary-payment experiences can depend on third parties.
Ease of use and learning curve
Xero has a ledger-focused workflow with bank reconciliation, invoice status, receipts and reporting designed for ongoing accountant collaboration. Its breadth and additional apps may require more initial setup for complex companies.
Sage offers UK-localized accounting, invoice and payroll functions with a familiar small-business structure. Its supplier/CIS features and Copilot can be useful, but stock and currency controls may require attention to account configuration. Both are best evaluated with an actual month of business activity.
Accountant preference and switching friction
If an existing accounting firm uses Xero partner tools, its familiarity may reduce the monthly cost of reconciliations, VAT preparation and year-end review. Sage similarly has a substantial UK accountant ecosystem and workflows.
Ask the accountant what moving systems would change: invoice mapping, data exports, VAT reports, month-end adjustments, tax-year opening balances, inventory valuation and support. A £4 or £16 monthly subscription difference can be unimportant compared with retraining and fixing a faulty migration.
Support options
Xero promotes 24/7 online support, help articles, partner advice and ticket-based customer assistance. That is not the same as promising unrestricted immediate telephone support for every issue.
Sage markets telephone, webchat and other customer support options for eligible UK Sage Accounting plans, along with Sage Membership resources. Availability hours, language and response commitments should be checked with the vendor directly, especially when payroll runs and VAT deadlines are time-sensitive.
Mobile bookkeeping
Both support mobile interactions such as viewing invoices, capturing financial documents and checking key balances. The available actions can differ between a mobile application and the complete desktop browser experience.
Tradespeople who spend most of their workday away from a desk should test whether they can issue invoices, attach documents, receive payments and check payroll information from their actual phones. A desktop-oriented feature checklist is not sufficient evidence of mobile suitability.
Security and user permissions
Both products use cloud authentication and administrative roles, but the specifics of multifactor login, audit trails, permissions, employee access and record exports vary across products and plans.
Xero does not charge by ordinary accounting user, while Sage Plus does not limit the number of such users. Neither fact means unlimited users should receive unrestricted access to bank details, payroll or journal modifications. Map duties and test each sensitive permission before a rollout.
Which is better for sole traders?
A non-VAT-registered sole trader with limited invoices should compare Xero Simple at £7 with Sage Sole Trader products, not necessarily Sage Accounting Start. The accounting feature set and MTD for Income Tax requirements matter more than the product-family logo.
For a VAT-registered solo operator, Xero Ignite at £18 is cheaper than Sage Start at £20 before VAT, but Sage Start has unlimited sales invoices and includes one employee payroll allowance. If invoicing volume or payroll is important, Sage may be more practical despite its slightly higher base price.
Which is better for limited companies?
A small limited company processing a meaningful number of supplier bills should compare Xero Grow at £39 with Sage Standard at £43. Both provide a path to banking, VAT, suppliers and forecasts, with differences in automation, users, capture and CIS workflows.
A company with several authorized finance users may value Xero no-seat pricing. A business using Sage payroll and CIS may favor Sage Standard. The winner depends on the number of payroll people, supplier transactions and the accounting practice supporting month-end close.
Which is better for construction companies?
Sage Standard explicitly targets supplier/CIS management, cashflow forecasting and UK accrual accounting, which makes it a strong candidate for contractors that deal with subcontractor deductions.
Xero also provides CIS calculations and reporting on its UK plans but distinguishes optional contractor return filing from base features. A construction business should pilot subcontractor setup, deductions, return submission, VAT treatment and supplier payments with its accountant.
Which is better for retailers?
Sage Plus has stock/inventory management at £59, unlimited users and multicurrency. Xero offers basic tracked inventory and Xero Comprehensive at £55 includes foreign currencies and payroll for five people.
A retailer with a moderate number of stock items may find either workable. Businesses with ecommerce, serialized stock or complex warehouse locations should compare the price of specialist stock apps and the data-sync reliability rather than claim either basic accounting tool includes a full warehouse-management suite.
Which is better for professional-services firms?
A service business with many fee earners, client projects and tracked work may benefit from Xero Ultimate at £70 because native Projects supports ten users, time costs and profitability.
Sage Standard or Plus can still meet bookkeeping, invoicing, cashflow and payroll requirements, but deeper job-level financial reporting may need a companion Sage or third-party system. Test retainers, reimbursable expenses, time entries, subcontractor bills and project margin reports before deciding.
Which is better for international trade?
Xero Comprehensive supports multicurrency from £55 and includes five-person payroll, whereas Sage Plus unlocks multicurrency at £59 and offers unlimited core users.
The actual winner depends on how the business records customer and vendor currencies, spot rates, exchange gains and losses, international supplier bills, bank feeds and VAT accounting. Foreign currency needs do not necessarily mean a company requires an enterprise ERP system.
Which is better for larger bookkeeping teams?
Xero is attractive for teams with more than three accounting users because the base plans advertise no per-user accounting license fees. Grow at £39 might suffice if the team does not require multicurrency or native Projects.
Sage Plus allows unlimited users for £59 and also provides stock, currency and budgets. If a team needs those specific functions alongside many collaborators, Sage Plus can be good value. Compare included roles and payroll personnel separately from ordinary accounting login counts.
A 12-month baseline cost comparison
At regular pre-VAT rates and without discounts, Xero Ignite costs £216 a year, Grow £468, Comprehensive £660 and Ultimate £840. Xero Simple is £84 for twelve months where eligible.
Sage Start costs £240 a year, Standard £516 and Plus £708. Those numbers exclude payroll overages, capture usage, card processing and other apps. The meaningful price comparisons are often Grow versus Standard (£48 annual difference) and Comprehensive versus Plus (£48 annual difference), not a generic cheapest-versus-highest comparison.
Promotion-aware first-year scenario
If eligible new customers receive 90 percent off for the first six months and pay full base price for the next six months, a £39 Xero Grow subscription would total six times £3.90 plus six times £39, or £257.40 before VAT and extras.
Under the same six-month 90 percent introductory discount, £43 Sage Standard would total six times £4.30 plus six times £43, or £283.80. These examples assume the advertised introductory offer is actually available at checkout and exclude payroll or document overages; they do not replace the regular-price 12-month baseline.
A five-user accounting example
For five core accounting users, Xero Grow can be £39 per month without per-user licence fees, assuming its features are sufficient. Sage Standard lists three users, so Sage Plus at £59 may be necessary for the same size accounting team.
That apparent £20 per month advantage for Xero changes if stock and multicurrency are required. Xero Comprehensive at £55 then becomes a more apt functional comparison with Sage Plus at £59, and the team should review payroll and related add-ons.
Total cost of ownership
Beyond subscription, calculate payroll employees above included allowances, document capture overages, domestic/international payment usage, payment processor fees, specialist inventory apps and accountant services.
The largest hidden cost can be operational: poor imports, duplicate bank records, incorrect tax rates, untracked supplier liabilities and inconsistent inventory adjustments. A product that costs a few pounds more but supports the existing accounting process correctly may have lower total cost over a year.
Migration from Sage Accounting to Xero
Export account balances, chart of accounts, customers, suppliers, outstanding invoices, bills, bank statements and applicable VAT transaction history. If Sage Plus is used, document tracked stock items, foreign-currency balances, budgets and permissions.
Select an appropriate Xero tier for invoice volume, currency, payroll and Projects. Reconcile a completed accounting period, confirm tax balances and test a customer-payment and supplier-bill cycle before replacing the live system. Sage offers migration help through recognized routes, but data quality still needs accountant review.
Migration from Xero to Sage Accounting
Identify the Xero workflows that will be lost or need recreation: JAX/bank rules, Projects, integrations, analytics, multi-currency records, payroll allowances and linked receipt attachments.
Import chart of accounts and open transactions to Sage, then validate the new supplier, VAT and payroll setup. If the previous Xero organisation relied on hundreds of connected app transactions each day, confirm whether Sage connectors replicate those workflows before canceling the original service.
Xero strengths and limitations
Xero is compelling for unrestricted core accounting users, connected finance workflows, accessible bank feeds, sophisticated reconciliation, extensive partner integrations and the new UK payroll allowances across Grow, Comprehensive and Ultimate.
Its limitations include monthly invoicing and bill caps on Ignite, higher prices after the September 2026 increase, multicurrency only on Comprehensive or above, native Projects on Ultimate and possible fees for employees, additional bill payments and other users of certain add-on modules.
Pros
- Xero strengths: no per-user accounting licence charge

Sage Accounting strengths and limitations
Sage is strong for local UK accounting, supplier and CIS processes, built-in Sage Copilot, a limited payroll allowance from Start and unlimited core users on Plus. Standard has structured supplier workflows, forecasting and receipt capture, while Plus introduces inventory, budgets and multicurrency.
Its limitations include the one-user and three-user caps on Start and Standard, a higher entry price than Xero Ignite, receipt capture limits and per-employee overages. Sage Accounting Plus does not offer the same explicit Xero Ultimate Projects and analysis features. The UK product must not be confused with U.S. Sage 50 or retired U.S. Sage Business Cloud Accounting.
Pros
- Sage Accounting strengths: UK Start £20 Standard £43 Plus £59 regular monthly prices
- Sage Copilot included
- payroll included for one employee on Start/Standard and five on Plus
- supplier/CIS functions and cashflow forecasts on Standard
- Plus unlimited accounting users, stock, budgets and multicurrency
- UK VAT/MTD support
- responsive local support options.
Cons
- Sage Accounting limitations: no permanent Free plan within the full Start/Standard/Plus ladder
- Start 1 and Standard 3 accounting users
- Plus needed for multicurrency and stock
- Start lacks higher-tier receipt scans
- Standard 30 and Plus 100 approved captures, £0.20 extra each
- payroll extra employees £1.85/month
- less explicit native project accounting than Xero Ultimate
- different product from retired US Sage Business Cloud Accounting.
Which should you choose?
Choose Xero if you want unlimited accounting collaborators without seat charges, a broad specialist integration marketplace, sophisticated bank reconciliation, or a plan ladder offering multicurrency on Comprehensive and time/cost-based projects on Ultimate. Read the Xero review, Xero pricing guide and Xero alternatives.
Choose Sage Accounting if a UK VAT-registered small business values Sage Copilot, bundled payroll and HR functions, built-in supplier/CIS workflows, and the unlimited-user stock-and-currency combination of Sage Plus. Read the Sage Accounting review, Sage Accounting pricing guide and Sage Accounting alternatives.
For a U.S. business, compare Xero U.S. with an actively sold U.S. Sage product separately. Do not use the British Sage plan prices or retired American Sage Business Cloud Accounting as if those plans were currently sold in the same market. The best UK decision starts with a trial involving the actual bank account, a sales invoice, an unpaid supplier bill, VAT reconciliation, employee payroll and stock or project workflow where relevant.

How Toollers researched Xero vs Sage Accounting
This is a desk-research comparison using public current official vendor documentation and the Toollers research, dated October 19, 2026. It is not a documented hands-on Toollers test, paid-account evaluation or accounting audit. The comparison uses active UK products and prices rather than mixing U.S. Xero rates with British Sage subscriptions.
The September 1, 2026 Xero UK price increase, current Xero payroll allowances and user terms, Sage active Start/Standard/Plus pricing, bundled Copilot and payroll headcounts, receipt-scan allowances, stock, bank reconciliation, VAT/MTD and CIS features were checked against official sources. External review figures and product ratings are not fabricated, and no independent claim of speed, precision or support quality is made without user evidence.
