Box publishes more pricing detail than many enterprise content-management vendors. The annual view starts at $5 per user per month for Business Starter, then moves to $15 for Business, $25 for Business Plus, $35 for Enterprise and $50 for Enterprise Plus. Enterprise Advanced is now a current top tier but has no public numeric price. Box also offers free and paid single-user plans.

Quick verdict

Box pricing is transparent at the lower and middle tiers, but total cost depends on external collaborators, advanced security, AI Units, API usage, support and minimum-seat commitments. Business Plus is the main breakpoint for unlimited external collaborators, while Enterprise and above are the governance and AI tiers.

Key takeaways

The Box Tool profile still matches the current Business Starter through Enterprise Plus prices. The live pricing page now also includes Enterprise Advanced, which is missing from the October 6 Tool plan list. The article can describe that live plan, but the Tool entity should be updated through the product-data workflow rather than silently through an article import.

Individual and Personal Pro

The free Individual plan includes 10 GB storage for one user, a 250 MB upload limit, one file version and five Box Sign requests per month. It is useful for personal storage or trying the interface, but it is not a business administration plan.

Personal Pro is $14 per month on monthly billing and $10 per month as the annual-equivalent price. It increases storage to 100 GB, allows 5 GB uploads, keeps 10 file versions and includes 15 Box Sign requests per month. A company should not use Personal Pro as a substitute for managed business accounts if it needs centralized administration or policy control.

Business Starter

Business Starter is $5 per user per month on annual billing or $7 monthly. It requires at least three users and allows no more than 10. The plan includes 100 GB total storage, 2 GB uploads, 25 file versions, 10 Box Sign requests per month and built-in Microsoft 365 and Google Workspace integrations.

The minimum annual license cost is therefore $180 for three users. Ten Starter users cost $600 per year. These figures exclude taxes and any additional services. The 100 GB total-storage cap and 10-user ceiling mean buyers should consider future growth before choosing Starter only for the lower price.

Business

Business costs $15 per user per month on annual billing or $20 monthly, with at least three users. It adds unlimited storage, Box AI for single-file insights and generation, unlimited web e-signatures, 1,500+ integrations and 50,000 API calls per month.

The important limitation is external collaboration. External collaborators are paid accounts on Business. A company with many clients, contractors or suppliers may find that the lower employee-seat price is offset by those external seats.

Business Plus

Business Plus is $25 per user per month annually or $33 monthly. It keeps unlimited storage and adds unlimited external collaborators, 15 GB uploads and stronger administration. This can be the economically sensible tier for partner-heavy organizations because outside collaborators stop generating separate paid-account costs.

The annual price difference between Business and Business Plus is $120 per internal user. For a 50-user company that is $6,000 per year before other costs. Procurement should compare that premium with the expected cost of paid external collaborators on Business.

Enterprise

Enterprise is $35 per user per month annually or $47 monthly. It includes 50 GB uploads, unlimited external collaborators, Box Hubs, advanced workflows, stronger security, 100,000 API calls per month and 1,000 AI Units per month. It is the first tier aimed squarely at advanced governance and compliance use cases.

Twenty-five Enterprise users cost $10,500 per year at the current annual-equivalent price. Fifty users cost $21,000. Those totals are license-only and exclude taxes, premium support, additional platform capacity and services.

Enterprise Plus

Enterprise Plus is shown at $50 per user per month when annual billing is selected. A public monthly-billing price is not displayed. It includes 150 GB uploads, 2,000 AI Units per month, Box Agent, Hubs, advanced workflows, threat detection and enhanced 24-hour support.

Twenty-five seats cost $15,000 per year at the current annual-equivalent rate. Fifty cost $30,000. Buyers should tie that premium to specific needs such as Box Agent, larger files, stronger security or 24-hour support rather than upgrading automatically.

Enterprise Advanced

Enterprise Advanced is the newest top tier. Box does not show a public numeric base price. It includes Enterprise Plus capabilities and adds Pro Mode for Box Agent, custom AI agents, connected forms, automated document generation, agentic metadata extraction, agentic workflows, Box Archive and uploads up to 500 GB.

The plan comparison lists 20,000 AI Units per month and 200,000 API calls per month. Because the base seat price is not public, buyers should ask sales to itemize both seat pricing and the treatment of AI or API usage above included allowances.

AI Units and platform costs

Box now treats AI and API capacity as measurable resources. Enterprise includes 1,000 AI Units per month, Enterprise Plus 2,000 and Enterprise Advanced 20,000. Additional volume is available for purchase, so an AI-heavy deployment needs a usage forecast.

Platform add-ons may require annual commitments. Teams embedding Box in custom applications should estimate API calls, document generation, signing and metadata-extraction activity before procurement. A plan that appears inexpensive at the seat level can cost more if the application layer consumes significant additional capacity.

Free trial

Box offers trials on business plans. Current Terms of Service say a trial lasts for the duration shown at sign-up or, if no duration is specified, 14 days. A customer can cancel through the final trial day. If the trial is configured to convert to paid service and is not canceled, Box can charge the payment method.

Use the trial to test the features that drive plan choice: external collaborators, upload limits, Box Sign, integrations, AI and administration. A simple file upload is not enough to decide whether Business Plus or Enterprise is worth the premium.

Cancellation, renewal and refunds

Current Box terms say paid services are prepaid and generally non-refundable. Monthly and annual subscriptions renew automatically unless canceled under the applicable terms. Monthly subscriptions can be canceled before the next renewal, while annual subscriptions commit the buyer for the year and generally cannot be reduced or downgraded until the anniversary.

The current Terms of Service specify a three-business-day cancellation lead time before renewal for monthly and annual online subscriptions. Refund rights can differ where law, reseller arrangements or a negotiated order provide otherwise. The signed order and current terms should therefore be treated as the authority for a specific purchase.

Hidden cost checklist

Count managed users, external collaborators, AI Units, API calls, support requirements and compliance options before choosing a plan. Also confirm whether migration, consulting or implementation services are needed. These items are more likely to create budget surprises than the published seat price itself.

For organizations with many outside users, compare Business and Business Plus using real collaborator counts. For AI-heavy organizations, ask for incremental AI pricing in writing. For regulated buyers, price the exact security and compliance configuration rather than assuming every certification or control is included in the base plan.

Three-year budgeting

Box annual pricing makes first-year arithmetic easy, but multi-year budgeting should include seat growth and tier changes. A team that starts with 10 Business Starter users may outgrow the 10-user ceiling and move directly to Business, increasing the annual unit price from $5 to $15. A company that later needs unlimited external collaborators may move again to Business Plus at $25.

Enterprise buyers should also forecast AI and API growth. A pilot with modest usage can fit inside included allowances, while a production automation program can consume much more capacity. Ask finance and engineering to model the expected workload together so that a successful adoption does not immediately create an unplanned add-on purchase.

Who should use this

  • Small teams that fit Starter limits
  • Growing companies that need unlimited storage
  • External-collaboration-heavy organizations that benefit from Business Plus
  • Regulated businesses that need Enterprise controls
  • AI- and automation-heavy enterprises that can justify higher tiers

Who should avoid this

  • Single users who can stay on Individual or Personal Pro
  • Companies that need specialist document-processing workflows
  • Buyers that cannot tolerate annual seat commitments
  • Organizations that have not modeled external-user, AI or API usage

Pros

  • Transparent monthly and annual prices on most plans
  • Low entry price
  • Unlimited storage from Business upward
  • Clear progression from collaboration to governance and AI

Cons

  • Three-user minimum on business tiers
  • Starter is limited to 10 users and 100 GB
  • External collaborators cost extra on Business
  • Enterprise Advanced price is not public
  • AI, API and support usage can increase cost

How Box compares on price

M-Files Essentials is currently $65 per seat per month, Laserfiche Professional is $73 per user per month billed annually with a five-user minimum, and DocuWare publishes a typical $30 to $125+ per-user monthly range without fixed tier totals. Microsoft 365 Business Basic, which includes SharePoint, is $7 per user per month paid yearly in the United States.

These are not equivalent products. Box is collaboration-first, M-Files is metadata-first, DocuWare and Laserfiche are deeper document-process platforms, and SharePoint is bundled into a broader Microsoft productivity environment. Compare the cost of the same workflow rather than ranking seat prices alone.

Our recommendation

For most companies the key choice is Business versus Business Plus. Count external collaborators before deciding. The next decision is whether advanced governance, Hubs, larger files and AI justify Enterprise. Enterprise Plus and Advanced should be tied to specific Box Agent, automation, security or very-large-file requirements.

Request a three-year model covering seats, external users, AI Units, API calls, support, compliance requirements and expected growth. If AI use is likely to increase quickly, ask for incremental capacity pricing before deployment.

Expert tip

Before choosing Box Business, count external collaborators. If many clients or partners need access, Business Plus can be cheaper operationally despite its higher seat price because external collaborators are unlimited.

Annual versus monthly billing economics

Where Box publishes both monthly and annual-equivalent rates, annual billing provides a meaningful discount. Business Starter falls from $7 to $5 per user per month, Business from $20 to $15, Business Plus from $33 to $25 and Enterprise from $47 to $35. For 25 Business users, annual billing implies $4,500 per year versus $6,000 if the same 25 seats were held at the published monthly rate for a full year. For 25 Business Plus users, the comparable figures are $7,500 annually versus $9,900 across 12 months at the monthly rate. These are simple rate comparisons and do not override contract-specific taxes or commercial terms.

The tradeoff is commitment. Annual subscriptions generally lock the organization into the seat commitment for the term, and Box's current terms say customers generally cannot reduce seats or downgrade until the anniversary. Organizations with uncertain headcount should compare the savings from annual pricing against the flexibility of monthly billing rather than choosing the lowest equivalent rate automatically.

External collaborator economics

The most important non-obvious pricing variable is external collaboration. Business charges for external collaborators, while Business Plus and higher tiers include unlimited external collaborators. A professional-services team with many clients can therefore spend less overall on Business Plus even though its internal seat price is higher. Procurement should model the expected number of outside collaborators, how long they remain active and whether they truly need managed access rather than occasional shared links.

For example, the annual difference between Business and Business Plus is $120 per internal user. At 20 internal users, that is $2,400 per year. If the Business configuration would otherwise require enough paid external accounts to exceed that difference, Business Plus becomes the more economical plan before considering its additional administration and upload benefits.

Seat growth and renewal planning

Box terms distinguish between adding users during a subscription and reducing users at renewal. Buyers should therefore model headcount growth before signing an annual term. Ask how added seats are prorated, what happens when contractors or employees leave, and whether reassigned seats can be reused without changing the contract quantity. Maintain an internal renewal calendar so seat reductions, plan downgrades or cancellation decisions are made before the required notice window.

Enterprise buyers should also request a renewal quote that separates base seats from usage-based or add-on resources. AI Units, API capacity, premium support and regulated-industry options can grow independently of user count. A three-year forecast with these items broken out is more useful than a single blended first-year total.
