QuickBooks Online vs Sage Accounting comparison cover

QuickBooks Online and Sage Accounting help businesses send invoices, manage expenses, connect bank accounts, track cash flow and meet tax-reporting obligations. Yet choosing between them in 2026 requires an important geographic clarification. The Sage Accounting product profiled by Toollers is the active UK cloud bookkeeping product offering Start, Standard and Plus; the similarly named Sage Business Cloud Accounting product was retired for U.S. customers. Sage 50, which Sage currently sells in the United States, is a separate product with a different architecture and subscription price. A comparison that treats U.S. Sage 50 as UK Sage Accounting, or publishes obsolete U.S. Sage Accounting plans as if available, gives the reader a false choice.

For a like-for-like buying decision, this article compares the UK editions of QuickBooks Online and Sage Accounting first. QuickBooks UK currently lists £16 Simple Start, £38 Essentials, £56 Plus and £123 Advanced per month before VAT. Sage UK lists £20 Start, £43 Standard and £59 Plus per month before VAT. Both advertise deep introductory promotions, so all main calculations use the regular recurring prices rather than six-month discounts. U.S. QuickBooks pricing and Sage 50 availability are discussed separately for American readers.

The main product distinction is between QuickBooks' integrated, extensible business-accounting ecosystem and Sage's UK-focused bookkeeping, VAT/CIS workflows and its newly included payroll and Sage Copilot AI assistance. QuickBooks Plus provides inventory, project profitability, class/location tracking and budgets; Advanced adds more reporting and permissions. Sage Standard concentrates on supplier accounting, CIS, reporting and receipt capture, while Sage Plus adds inventory, multicurrency, budgets and unlimited users. Your location, accounting processes, user count and employee count determine the better value.

Neither system's AI or tax capabilities remove the need for accountant review. Software can organize transactions, calculate taxes and prepare filings, but a business is still responsible for correct data, entity structure, registration, taxes and compliance.

Quick verdict

Quick verdict

Choose QuickBooks Online for a UK business needing a broad accounting ecosystem, structured projects and job profitability, detailed integrations, and a growth path from Simple Start at £16/month to Essentials £38, Plus £56 and Advanced £123 before VAT. QuickBooks Plus includes inventory and project profitability; Advanced offers tailored reports, Excel sync, advanced workflows and 25 users. Choose Sage Accounting when UK VAT/MTD, supplier and CIS workflows, bundled Sage Copilot, a small payroll allowance and unlimited Plus-plan users fit better. Sage Start is £20, Standard £43 and Plus £59 before VAT; Plus adds inventory and multicurrency. If buying in the United States, do not treat Sage Accounting UK plans as purchasable U.S. subscriptions: the former U.S. Sage Business Cloud Accounting product was retired, and Sage 50 is separate.

First, identify the Sage product and the country

The name Sage can refer to several distinct accounting products: Sage Accounting, Sage 50 Cloud, Sage 50 Desktop, Sage Intacct and other offerings. The live product that Toollers lists as Sage Accounting product profile is the UK cloud Accounting service with Start, Standard and Plus subscriptions.

Sage Business Cloud Accounting was retired in the United States at the end of 2024, and its remaining U.S. access/support ended in January 2025. That does not mean Sage has stopped selling accounting software in America. Sage 50 and Sage Intacct still exist there; they should simply be treated as different alternatives rather than falsely substituted for Sage Accounting.

Sage Accounting is available in other markets such as Canada, with local pricing and features. UK GBP prices and VAT/CIS are not transferable to Canadian GST/HST or U.S. tax procedures. A responsible recommendation has to start with the buyer's registered country.

UK pricing: regular rates rather than promotion cards

QuickBooks UK regular monthly subscription prices are currently £16 for Simple Start, £38 for Essentials, £56 for Plus and £123 for Advanced before VAT at 20 percent. The UK site also lists Sole Trader Plus at £10, which targets a somewhat different sole-trader use case rather than matching the full limited-company accounting ladder.

Sage UK regular subscription prices are £20 for Start, £43 for Standard and £59 for Plus monthly, also before VAT at 20 percent. Both vendors advertise 90 percent off selected new-customer subscriptions for six months, making the first invoice deceptively small relative to ongoing costs.

To avoid inflated apparent savings, this comparison uses steady-state prices unless it explicitly labels a temporary introductory offer. Neither provider's price includes all possible payment-processing fees, employee overages, third-party apps or outsourced bookkeeping.

Are those rates month-to-month or annual equivalents?

Unlike earlier Toollers comparisons involving American SaaS products with annual-equivalent pricing, the current UK QuickBooks and Sage pricing cards present recurring monthly list rates and their own promotional terms. Do not automatically label £16 or £20 as an annual-equivalent commitment.

Both market trials and cancellation options, but a subscription can still renew monthly unless canceled according to its terms. Verify the exact renewal date, next invoice, VAT treatment and cancellation window in checkout.

An accurate 12-month budget should count the promotion only for eligible new buyers and should reserve enough cash for the full undiscounted amount after the offer ends.

QuickBooks Simple Start: a low-price accounting foundation

QuickBooks Simple Start is £16 per month before VAT at the current UK regular price and allows one standard business user plus access for an accountant.

It supports invoices, expenses, connected banking, receipt capture, basic financial reporting, VAT workflows and Making Tax Digital for VAT. It also includes mileage tracking and other sole-trader/small-business functions where applicable.

Simple Start is attractive when a small registered business needs core accounting in the cloud but does not need several employees editing the books or higher-tier inventory and detailed project tracking. Payroll is optional and separately charged.

Sage Start: bookkeeping, VAT and included assistant

Sage Accounting Start is £20 per month before VAT and permits one core user. It supports unlimited sales invoices, bank reconciliation, records of income and expenses, VAT calculations/submission under supported UK Making Tax Digital workflows, and Sage Copilot.

Sage's current UK product page says a payroll capability is now included with its Accounting subscriptions, with a limited employee allowance and charges when that allowance is exceeded. Verify exact employee count for the selected contract before promising a particular payroll saving.

This plan suits VAT-registered small businesses needing ordinary accounting with straightforward Sage workflows. A business that often sends quotes to prospects or manages complex supplier invoices should look at Standard.

QuickBooks Essentials: supplier accounting and multicurrency

QuickBooks Essentials costs £38 per month before VAT and includes three users plus accountant access.

It adds stronger supplier/bill workflows, employee time tracking that can feed invoices, more accounting reports and multicurrency handling in the UK edition.

Essentials is a good middle tier for a business coordinating customers, suppliers and a small financial team. It does not provide the full project-profitability and stock-management toolkit available from Plus.

Sage Standard: supplier, CIS and cash flow depth

Sage Accounting Standard costs £43 per month before VAT and supports three users. It extends Start with more sophisticated supplier/purchase records, quotations, cash flow forecasting, custom reports and UK Construction Industry Scheme support.

It currently includes thirty approved receipt/document captures per period, with £0.20 charged for each additional approved capture according to the published offer details.

Standard is the logical Sage tier for a small UK business with active suppliers, CIS deductions or more involved reporting. It is not the product-family tier for full stock control or multi-currency management; those are Plus capabilities.

QuickBooks Plus: inventory and project finance

QuickBooks Plus costs £56 per month before VAT and allows five standard users plus accountant access.

It adds inventory tracking, purchase orders, product/cost-of-goods information, budgets, classes and locations, and project profitability reporting. These capabilities help firms connect service jobs or product lines to real financial outcomes.

Plus is often the fairest QuickBooks plan to compare with Sage Accounting Plus because both include stock capabilities. However, QuickBooks' project profitability and dimension-based reporting may suit agencies and service businesses differently from Sage's unlimited-user and bundled-payroll advantages.

Sage Plus: inventory, currency and user capacity

Sage Accounting Plus costs £59 per month before VAT and supports unlimited ordinary users under the current UK pricing.

It extends Standard with multi-currency invoicing/banking, exchange-rate management, inventory and stock features, budgets and a higher allowance of one hundred approved document captures per period.

Plus has an important economic advantage for organizations with many finance collaborators, because QuickBooks Plus stops at five users and QuickBooks Advanced is considerably more expensive. Confirm exactly which users require an editor license, whether external accountants are counted and how permissions work.

QuickBooks Advanced: when controls become important

QuickBooks Advanced costs £123 per month before VAT and supports up to twenty-five users.

It adds tailored reporting, role-based access, batch entries, Excel synchronization, workflow automation, backup/version-history features and priority product support. Intuit also advertises more expansive AI tools in the Advanced plan.

There is no like-for-like Sage Accounting Advanced tier within Sage's three-plan UK cloud product. A business needing comparable advanced governance in the Sage ecosystem should investigate the relevant separate Sage products and quotes rather than assume Sage Plus contains all Advanced features.

User counts and team economics

QuickBooks UK generally includes one user on Simple Start, three on Essentials, five on Plus and twenty-five on Advanced, plus supported access for the external accountant.

Sage Accounting UK includes one user on Start, three on Standard and unlimited users on Plus. That can make £59 Sage Plus attractive for a growing finance team that wants stock and multi-currency without paying for QuickBooks Advanced.

User count alone does not determine accounting value. If a business has eight people who only need to submit expenses while one bookkeeper actually edits ledgers, not all staff may require the same access. Assess the real role model for each platform.

Invoicing, reminders and collecting money

Both tools support professional invoices, customer balances, payment reminders and the ability to connect payments through supported services. Sage Start advertises unlimited sales invoices, while QuickBooks enables payment-linked invoices and status tracking.

QuickBooks offers a broad invoice and payments workflow, including potential payment-provider fees and supported UK banking integrations. Sage offers its own integrated payment capabilities under country-specific commercial terms.

The important evaluation is whether the invoice displays the correct tax, payment terms, service descriptions and reminders, and whether the processor deposits/reconciles correctly. Do not presume card processing is free because the accounting subscription has been paid.

Supplier bills and purchase tracking

QuickBooks Essentials and higher tiers offer supplier bill management, with purchase orders added in Plus.

Sage Standard focuses on suppliers, purchase invoices, quotations and the financial consequences of supplier activity. Sage Plus adds stock and more complex underlying records.

Small businesses with outstanding supplier invoices should test approval, partial settlement, matching with imported bank transactions and a month-end aging report. The feature name bills is not enough to establish the same workflow depth.

Bank feeds and reconciliation

Both providers offer connected bank feeds and reconciliation tools for eligible banks and account types.

QuickBooks can suggest categories and matching through rules and AI-related features, while Sage connects imported transactions and reconciles them against invoices and bookkeeping entries.

The real determinant is whether the firm's bank, credit card and currency accounts are supported consistently. Test a live feed and a statement-import fallback before migrating a full fiscal year.

Receipt capture and document allowances

QuickBooks UK advertises capturing photos of receipts and organizing expense records, with entitlements and automation varying by tier and evolving AI rollout.

Sage Accounting Standard includes thirty approved captured documents per period and Plus one hundred; each extra approved capture currently costs £0.20. These figures should not be described as unlimited OCR across all Sage plans.

If a trades business processes four hundred receipts in one month, it should budget for overages or an external capture service rather than choose Sage Standard merely because it includes OCR. For modest volumes, the bundled allowances may be sufficient.

VAT and Making Tax Digital

QuickBooks UK's paid small-business accounting plans advertise Making Tax Digital support for VAT, including tools for recording and submitting returns to HMRC. Its Income Tax/Making Tax Digital features depend on the buyer's legal and tax situation.

Sage Accounting UK is similarly oriented around VAT-registered businesses. Start can calculate and submit VAT through supported workflows; Standard and Plus extend supplier, CIS and reporting features.

Both require correct VAT registration, tax codes, treatment of cross-border sales, period settings and bookkeeping accuracy. Software authorization by HMRC does not certify that every journal or return is legally correct.

Construction Industry Scheme workflows

Sage Accounting Standard specifically markets management/submission of CIS data for businesses using the UK's Construction Industry Scheme.

QuickBooks UK also provides CIS-related features in its applicable Online accounting plans and help materials. The supported details vary by product and subscription.

Contractors should test verification, deductions, subcontractor reports, filing and reconciliation with real scenarios before buying. An accounting feature called CIS should not be treated as a substitute for reviewing HMRC obligations.

Payroll: a significant UK product distinction

Sage's current UK Accounting marketing says payroll and basic HR functions are now included with all current plans, with a limited number of employees and incremental employee charges above the allowance. This is a relatively recent commercial change, so historical comparisons saying Sage requires an entirely separate payroll subscription are stale for this specific UK bundle.

QuickBooks UK explicitly presents Payroll Core, Premium or Elite as a paid add-on when the buyer selects Simple Start, Essentials, Plus or Advanced.

The fair calculation includes salary count, pension/auto-enrollment requirements, payslips, RTI filing, employee access, contractor treatment and additional cost per person. A Sage included allowance can save money for a small employer but may lose advantage as headcount increases.

AI assistance: Sage Copilot versus Intuit Intelligence

Sage Accounting UK now advertises Sage Copilot as included in Start, Standard and Plus. It helps surface accounting information and automate administrative tasks in the Sage environment.

QuickBooks UK markets Intuit Intelligence, including an AI chat assistant, transaction categorization, VAT-related error detection and tier-specific accounting/project/finance agents. Some AI capabilities are beta, have limited query allowances or are not available to every account.

An accurate comparison should not call AI exclusive to one product or describe every marketing-listed agent as generally available. Validate live entitlements and review all AI-suggested accounting changes with the responsible bookkeeper.

Are AI features a reason to upgrade?

Sage Copilot included across plans offers a reasonably clear baseline for a UK small business that wants an accounting assistant without first upgrading specifically for AI.

QuickBooks tiers progressively add richer accounting analytics, custom automations and project/finance assistance. A business already operating many accounts or departments may find the expanded capabilities valuable.

AI does not replace tax judgment or transaction approval. Use representative unpaid bills, invoices, VAT exceptions and year-end reports to test whether the assistant genuinely improves work rather than generating extra review.

Inventory management: compare the right tiers

QuickBooks Plus provides native inventory and cost-of-goods reporting along with purchase orders, vendor information and project finance.

Sage Accounting Plus includes stock/inventory management, price and item records, and expanded currency capabilities.

These are a reasonable same-tier comparison, but not necessarily equivalent enterprise warehouse systems. Buyers managing batches, serial numbers, multiple warehouse locations or manufacturing bills of materials should inspect the actual supported features and any needed third-party stock platform.

Multicurrency features

QuickBooks UK Essentials already supports multiple currencies, providing an advantage for businesses that issue foreign-currency invoices but do not need full inventory or project finance.

Sage Accounting UK reserves multicurrency invoicing, banking and exchange-rate functions for Plus.

International transactions require correct home-currency conversion, exchange gains or losses, supplier statements and VAT treatment. The right purchase tier depends on the actual currencies and reporting requirements—not just a checked multi-currency feature.

Project profitability and job costing

QuickBooks Plus expressly advertises tracking project profitability, with income, expenses and cost information connected to projects.

Sage Accounting's three-plan UK page focuses on standard bookkeeping, supplier processes, stock and budgets. It does not present the same purpose-built project profitability module as QuickBooks Plus.

Agencies, contractors and consultancies should prototype one completed project involving billable time, reimbursable expenses, supplier purchases, revenue and margin. If deeper Sage job costing is required, investigate appropriate Sage family products rather than assume cloud Sage Accounting matches Sage 50.

Budgeting and forecasting

QuickBooks Plus includes business budgets, with more advanced reporting and controls in Advanced.

Sage Standard includes cashflow forecasting and Plus adds budgets and expanded operational financial reporting.

A business that mainly needs a twelve-week cash forecast may find Sage Standard adequate. An organization tracking profitability by department, class or location may prefer QuickBooks Plus or Advanced.

Reporting and business insights

QuickBooks offers reports for profit and loss, cashflow, payables and receivables, and more tailored financial and operational breakdowns on Plus/Advanced.

Sage Standard adds custom reports to its core balance and transaction reporting, and Plus adds inventory/budget context. Sage Copilot may surface useful insights from those records.

Report quality depends on how the chart of accounts, tax codes, products and dimensions were set up. Download the exact financial statements the accountant needs rather than trusting a promotional dashboard screenshot.

Integrations and ecosystem

QuickBooks has a broad application ecosystem connecting ecommerce, expense, payroll, payments, CRM and reporting systems, and its accountant workflows are a significant part of its positioning.

Sage Accounting connects with Sage Payroll, AutoEntry and a selection of business apps via Sage Marketplace or third-party integration providers. Some connections have separate license, task or document costs.

Broader app count does not necessarily win. The decision should be based on the required integration's availability in the buyer's country, supported data fields, synchronization direction and pricing.

Accountant collaboration and review

Both products support working with accountants and bookkeepers rather than sharing the owner's credentials.

QuickBooks UK pricing explicitly references accountant access in addition to ordinary included users. Sage Accounting can also involve accountants, including through Sage's dedicated practice ecosystem.

Ask the accountant which software they already use and how they handle year-end adjustments, VAT reviews, bank reconciliations and exporting reports. Familiarity and accountant workflow can be more important than an isolated feature.

Security and access controls

QuickBooks Advanced advertises customizable user roles, permission management, backup/restore and reporting controls. Lower tiers offer more limited access settings.

Sage Plus supports unlimited users, but unlimited seats do not automatically prove equivalent Advanced-level permissions, workflow approvals or audit history.

Buyers with sensitive financial information should confirm multifactor authentication, audit trails, regional data rules, role separation, data export and incident notifications under the selected product's current contract.

Customer support and training

QuickBooks UK markets real-human product support and offers priority training/support options on Advanced.

Sage promotes support and learning resources for Accounting and included Sage Copilot assistance in eligible UK plans.

Actual response times and specialist bookkeeping knowledge vary by case and plan. A business with deadlines should test support channels and document access arrangements instead of treating a generic support promise as a guarantee of accounting advice.

Ease of setup

QuickBooks typically leads the new customer through business setup, bank connections, chart of accounts, invoices and reporting preferences. Its breadth can create more decisions but also allows a business to grow into new modules.

Sage Accounting is centered on UK VAT, invoicing, accounting and integrated Sage workflows. Its Start tier may be simpler for a single VAT-registered operator; the supplier and CIS features of Standard require more deliberate setup.

Neither should be judged entirely by demo data. Test your real tax settings, customer balances and bank reconciliation before deciding which interface feels easier.

Mobile apps and remote work

Both UK products support browser-based workflows and mobile accounting functions such as reviewing invoices, transactions and selected receipts.

Mobile feature coverage is not identical to a desktop browser. Sage's documentation specifically notes that some features are unavailable in the simplified mobile experience.

Owners approving bills from a phone should test the required function on the actual device, including what happens when the connection is slow or unavailable.

QuickBooks UK compared with Sage UK, not Sage 50

An older article might compare QuickBooks Online Plus at a few dozen pounds with Sage 50 Premium and claim that Sage is far more expensive. That confuses different products.

Sage 50 is a separate accounting family that offers more extensive job costing, inventory and, in some editions, desktop-oriented workflows. It has different prices and user limits from cloud Sage Accounting UK.

This article deliberately keeps Sage 50 out of the main feature and price grid so readers know which product they would actually subscribe to.

U.S. buyer note: QuickBooks Online remains available

QuickBooks U.S. pricing currently lists Simple Start at $38/month, Essentials $85, Plus $140 and Advanced $340 as ongoing prices. A 50 percent introductory discount may apply for three months to eligible new accounts.

Its U.S. pricing site has also introduced different Free and Lite options; those products have limitations and should not be silently treated as the same full-business paid tiers.

The key point is that the Sage Accounting profile here is the active UK offering. U.S. buyers choosing between these exact two products should not treat its £20/£43/£59 UK plan grid as a valid U.S. sales offer.

What about Sage in the United States?

Sage Business Cloud Accounting in the U.S. reached end of life in 2024/2025. Sage continues to offer other products, notably Sage 50 and Sage Intacct, to American organizations.

Sage 50 Cloud and Desktop have separate plan ladders and are not interchangeable with the UK Sage Accounting platform. Sage Intacct is a more advanced cloud financial system with enterprise/midmarket positioning and quote-based plans.

If the user's company is registered in the United States and wants to compare an active Sage competitor, make that a separate QuickBooks Online versus Sage 50 or Intacct research decision.

Canada note: Sage Accounting uses CAD prices

Sage Accounting remains an active service in Canada with an official Start, Standard and Plus plan ladder. Its current listed regular prices are C$23, C$50 and C$72 per month, respectively, with a temporary promotional offer for eligible new subscribers.

Those Canadian plans include country-specific GST/HST and bank-related workflows. They cannot simply be compared numerically against a British QuickBooks plan quoted in GBP or an American QuickBooks plan in USD.

Canadian buyers should request QuickBooks Canada pricing and the matching Canadian Sage edition before making a local purchase recommendation.

Which is better for UK sole traders?

QuickBooks Simple Start at £16 may be the more economical general accounting starting point for a VAT-registered small operator who needs receipts, bank feeds and invoices but does not value bundled payroll or Sage Copilot.

Sage Start at £20 is an attractive alternative if the user likes Sage's bookkeeping workflow and wants the included payroll/AI approach with VAT tools.

Very small non-VAT sole traders should also distinguish Sage Sole Trader and QuickBooks Sole Trader Plus from the main limited-company plan comparison. The cheapest correct product may not be either vendor's full business accounting Start/Standard tier.

Which is better for small UK limited companies?

Both QuickBooks Essentials and Sage Standard can handle the routine accounting needs of a company with several finance users, supplier records and VAT obligations.

QuickBooks Essentials is £5 less per month at regular prices and gives multicurrency support. Sage Standard emphasizes CIS, supplier workflows, forecasting and included Sage Copilot/payroll.

Select according to company accounting processes and the features actually used. A £60 annual subscription difference is insignificant if a missing supplier workflow creates hours of monthly manual work.

Which is better for a small retailer?

Inventory belongs on QuickBooks Plus or Sage Plus rather than on entry-level plans. Current regular prices are £56 and £59 per month respectively.

QuickBooks Plus brings project profitability and class/location reporting alongside stock. Sage Plus adds unlimited users and multicurrency management with budgets and inventory.

Retailers should test a complete stock purchase, sale, return and valuation adjustment with their accountant. Complex warehouse or batch needs may require a dedicated inventory system regardless of vendor.

Which is better for construction businesses?

Sage Standard is explicitly oriented toward UK supplier accounting and CIS compliance, making it a strong candidate for smaller contractors with recurring subcontractor deductions.

QuickBooks UK also supports CIS, and its Plus project-profitability features can be valuable for job-based costing.

Choose by actual requirements: subcontractor deduction compliance, cost allocation, purchase ordering, timesheets, VAT treatment and the need to report profit by project.

Which is better for agencies and professional services?

QuickBooks Plus has a clearer native project-profitability feature proposition, useful for tracking revenue and costs at the client-project level.

Sage Standard/Plus may work well for agencies that prioritize accounting, receivables, suppliers and forecasts rather than native job-costing reports.

Test retainer invoicing, reimbursements, billable time, project budgets and unpaid supplier bills. A service business can be better served by a purpose-built project reporting workflow than a marginal difference in accounting plan price.

Which is better for an accounting firm handling clients?

Both vendors offer practice-oriented accountant ecosystems. Accountants' familiarity with the client's chart of accounts, reconciliation and reporting can strongly influence administrative effort.

QuickBooks' broad accountant tooling and integrations can make it attractive to practices standardizing many small-business clients. Sage has its own accountants platform and partner arrangements.

A practice should not assume ordinary included end-user seats equal free client subscriptions. Evaluate partner pricing, client-level data separation, support and migration needs separately.

Which is better for teams larger than five users?

QuickBooks Plus supports five standard users. To reach up to twenty-five users with its UK cloud ladder, a business normally evaluates Advanced at £123 per month.

Sage Accounting Plus publishes unlimited users for £59 per month, though roles and accounting functionality may differ from QuickBooks Advanced.

For businesses where many finance collaborators simply need access to the accounting environment, this is a material Sage value argument. Where detailed approvals and audit rules matter, verify Sage Plus permissions rather than equating seat count with Advanced governance.

Which is better for AI-assisted bookkeeping?

Sage Copilot is explicitly included across the current UK Start, Standard and Plus plans, making its availability relatively simple to explain.

QuickBooks Intuit Intelligence is expanding across tiers, with certain AI features beta, query-limited or reserved for upper plans.

Choose based on the quality and auditability of the assistant's actions in representative tasks, such as explaining unpaid invoices or flagging incorrectly categorized bank movements. No vendor AI can be assumed to complete tax work without human review.

A 12-month UK subscription example

At undiscounted rates before VAT, twelve months of QuickBooks Simple Start costs £192; Essentials £456; Plus £672; and Advanced £1,476.

Twelve months of Sage Start costs £240; Standard £516; and Plus £708. Those totals exclude promotional discounts, VAT, extra scan usage, payroll add-ons or employee overages, and payment processor fees.

The £36 difference between QuickBooks Plus and Sage Plus over a year is small. If Sage's unlimited users or included limited payroll capacity genuinely replaces a separate paid product, it may be cheaper overall.

Comparing an employer with two staff members

A UK employer should add QuickBooks' paid payroll plan to the selected accounting subscription. The cost depends on the chosen payroll edition and active employees.

Sage's current Accounting offering includes a payroll capability within the subscription, with limits and additional employee charges when the business exceeds them.

The right comparison is the total cost for exactly two employees with needed pension, RTI and HR features, not the accounting-only number. Request the latest per-employee bill in each checkout before deciding.

Receipt-heavy business example

Sage Standard includes thirty approved document captures and Plus one hundred under the current price notes. Additional captures are £0.20 each.

If a business used two hundred approved scans on Standard, it would exceed the included thirty by 170, implying £34 in additional capture charges for that period under the published overage rate. Different scan definitions and approved/failed captures may affect the real invoice.

QuickBooks has receipt capture but different plan rules. A receipt-heavy buyer should compare actual included usage, human review time and the effectiveness of extraction rather than assuming zero incremental cost everywhere.

How to migrate from Sage Accounting to QuickBooks

Export chart of accounts, customers, suppliers, outstanding sales and purchase invoices, VAT returns, bank records and opening balances. If payroll is in use, preserve employee history and confirm how to move year-to-date values.

Rebuild Sage Plus inventory, currency and budgets in the appropriate QuickBooks plan. Confirm the equivalent UK VAT and CIS configuration and reconcile a completed month in the destination.

Don't cancel Sage until the opening balance, customer balances, supplier balances and reports agree with accountant-approved records and outstanding payment links are updated.

How to migrate from QuickBooks to Sage Accounting

Identify which QuickBooks tier-specific features are actually used before migrating: multicurrency, stock, classes/locations, projects, permissions, workflows and advanced custom reports.

Map the chart of accounts, customer/supplier balances, VAT settings and historical bank transactions into Sage. If the current QuickBooks file has project profitability, determine whether Sage Accounting Plus or another system can preserve the needed reporting.

Test the first return period and an end-to-end invoice-to-cash flow. A migration that only moves contact names but loses invoice/tax history is not a successful accounting transition.

Data export, cancellation and retention

Both services are subscriptions, so access to editing and data may change after cancellation. Export general ledgers, tax records, attachments and audit documents ahead of the final paid period.

Retain records according to applicable HMRC requirements, legal retention schedules and accountant instructions. Do not assume that a vendor will indefinitely preserve every report or document after an account closes.

Trial accounts and promotional offers are useful for evaluating workflows but should not be treated as a guaranteed long-term archive.

Total cost of ownership

QuickBooks TCO includes the accounting subscription, any payroll add-on, card processing, third-party integrations, staff setup and the effort required to administer higher-tier reports and permissions.

Sage TCO includes the Accounting plan, any payroll employee overages, receipt/document capture overages, payment processing, Sage apps and setup time.

Software subscription is one small element of accounting costs. Errors in VAT, stock valuation, reconciliations or payroll can far outweigh a difference of a few pounds per month. Use a sample financial close to assess real cost.

Choose QuickBooks Online if your UK business needs a widely integrated accounting system, project profitability, strong stock plus purchasing at the mid/upper tier, or advanced user permissions and custom reports. See the QuickBooks Online review, QuickBooks Online pricing guide and QuickBooks Online alternatives.

Choose Sage Accounting if your UK business values UK supplier/CIS bookkeeping, embedded Sage Copilot, its current limited bundled payroll and the ability to add more users through Plus without jumping to an Advanced-style tier. See the Sage Accounting review, Sage Accounting pricing guide and Sage Accounting alternatives.

If your business is in the United States, treat QuickBooks Online versus the retired U.S. Sage Accounting product as a non-purchasable direct comparison. Consider a separate, clearly named Sage 50 or Sage Intacct comparison if those are the current alternatives you wish to evaluate. In all markets, test your own bank feed, tax settings, accountant workflow and inventory or project requirements before signing up.
