Zoho Books and Sage Accounting are credible ways for a UK small business to invoice customers, keep financial records, reconcile bank transactions and prepare VAT information. But they have different commercial strategies. Zoho spreads accounting, projects, stock, automation and advanced reporting across a broad Free-to-Ultimate ladder. Sage concentrates its Start, Standard and Plus subscriptions on UK bookkeeping, cash flow, tax, Sage Copilot and integrated payroll.
This comparison deliberately examines the active United Kingdom editions of both services. Zoho's U.S. plan prices are denominated in dollars and its feature allocations vary across jurisdictions. Sage Accounting Start/Standard/Plus is the currently marketed UK cloud product. The former U.S. Sage Business Cloud Accounting service was retired, while Sage 50 and Sage Intacct are distinct offerings. Mixing countries or products would create an invalid cost comparison.
As checked on 24 October 2026, Zoho Books UK lists Free £0; Standard £12, Professional £24, Premium £30, Elite £99 and Ultimate £199 per organisation per month on monthly billing. Annual billing lowers the paid monthly equivalents to £10, £20, £25, £85 and £165 respectively, paid on an annual basis. Sage UK lists regular monthly rates of £20 Start, £43 Standard and £59 Plus, excluding VAT. Sage currently markets six months at 90% off, but those promotion prices are not the permanent rates.
Our conditional verdict: Zoho Books usually wins on entry price, tier flexibility, customisation and inventory/foreign-currency access at a lower price. Sage Accounting can be preferable when UK payroll is a central requirement, the business wants Sage Copilot and its bookkeeping ecosystem, or a large finance team will benefit from unlimited ordinary users on Sage Plus. This is source-based editorial analysis, not a claim that Toollers independently ran live payroll, completed HMRC filings or tested both products in controlled production environments.

First clarify the region and product family
UK accounting features are closely tied to legal and tax rules. Zoho Books serves multiple countries, but a British company's VAT, CIS, bank feeds and pricing must be checked against its UK edition. Zoho's U.S. accounting package advertises different paid tiers and limitations, while the Indian edition is built around GST. Importing either set of feature claims into a UK buying guide could cause a company to choose a plan that does not perform a necessary HMRC task.
Sage requires a second naming check. The live UK Sage Accounting platform uses Start, Standard and Plus plans and integrates its newer payroll and Copilot capabilities. The older U.S. Sage Business Cloud Accounting service retired at the end of 2024, with support and access ending in January 2025. Sage 50, Sage Intacct and Sage Sole Trader are separately positioned products. The free Sage Sole Trader option does not make Sage Accounting Start a free plan.
A UK business with an overseas branch should map the actual entity, location, bank accounts, tax registrations, filing period and base currency before picking software. A worldwide brand does not guarantee identical VAT submission, bank feeds, payment methods or payroll regulations in every regional edition.
Zoho Books UK pricing: six tiers and a Free plan
Zoho Books UK publishes a unusually wide set of price points: Free £0, Standard £12, Professional £24, Premium £30, Elite £99 and Ultimate £199 per month before applicable taxes for monthly billing. For customers who pay annually, Zoho displays monthly equivalents of £10 Standard, £20 Professional, £25 Premium, £85 Elite and £165 Ultimate, subject to the full annual subscription terms. The Free plan is a genuine £0 offering, not a fourteen-day trial.
Do not compare an annual-equivalent Zoho number with a monthly-paid Sage price without labeling the difference. A company that values monthly cancellation flexibility should compare £12 Zoho Standard to £20 Sage Start, not £10 to £20. A company comfortable with annual billing can calculate savings separately. The annual totals at these advertised equivalents are £120, £240, £300, £1,020 and £1,980 respectively, before VAT and paid add-ons.
Zoho currently offers a fourteen-day trial for paid plans. It also states that the Free plan is applicable for all business types in the UK, though volumes, paid feature access and support remain limited. The plan is attractive for a newly formed business that needs essential invoicing and reconciliations without committing its first cash receipts to software.
Sage Accounting UK pricing: three primary subscriptions
Sage UK lists normal monthly prices of £20 for Start, £43 for Standard and £59 for Plus before VAT. It currently promotes eligible first-time subscriptions at 90% off for six months; that makes the initial displayed monthly figures £2, £4.30 and £5.90. Those are temporary acquisition offers. A company choosing accounting software for several years should budget the ordinary rate after the offer, not assume a discounted rate continues indefinitely.
Sage offers a different trial path if the business wants to skip the promotion and use a one-month free trial. That makes the trial useful for validating a real bank feed or payroll workflow before migration. Sage's straightforward three-step product ladder may be easier to navigate than Zoho's six tiers, but the shorter ladder also means a stock business jumps to the £59 Plus subscription.
Start primarily covers invoicing, banking, reconciliation and VAT. Standard adds suppliers, CIS, forecasts and custom reports. Plus adds stock, foreign currency, budgets and unlimited ordinary accounting users. Unlike Zoho's Elite and Ultimate plans, it is not marketed as a full warehouse-management and business-intelligence suite.
Quick cost comparison without promotional discounts
At the lowest paid UK rates, Zoho Standard £12/month costs £144 over twelve regular months, versus £240 for Sage Start at £20. That is a nominal £96 difference, before VAT, with the important warning that the products do not include identical features. Zoho Standard has three listed users, while Sage Start has one and includes payroll for one employee.
For a business that needs stock and multiple currencies, Zoho Professional at £24/month costs £288 in twelve regular months; Sage Plus at £59 costs £708. The £420 nominal difference may be substantial for a small shop, but it does not account for the payroll service, invoice transaction ceilings, add-ons, employee costs or the accounting team's familiarity.
For a finance group needing ten simultaneous regular users, Zoho Premium supports ten at a £30 monthly list rate and Sage Plus advertises unlimited ordinary users for £59. Both reach ten users without a basic per-seat subscription charge, but their workflows differ. Zoho Premium has custom modules and fixed assets; Sage Plus emphasizes included payroll, stock and VAT. Check whether any AI seats, advanced services or third-party apps incur extra fees.
Zoho Free: what £0 really includes
Zoho Books UK's Free plan supports one ordinary user plus one accountant and advertises invoices, quotations, expenses, journal entries, payment reminders, customer portal, recurring invoices, VAT reporting and MTD VAT returns. It also lists up to three projects, timesheet billing, mileage tracking and fifty included receipt autoscans per month. That is useful breadth for a freelancer or a newly registered company with relatively simple bookkeeping.
The key limits prevent calling the plan unlimited. Zoho's UK pricing FAQ caps Free at 1,000 invoices and 1,000 expenses per year. Support is email-based, while voice and chat are offered on paid subscriptions. Users should also distinguish adding a bank or card account from automatic connected bank feeds, which Zoho explicitly highlights as a Standard feature.
If the business regularly passes those annual transaction volumes, needs supplier bill management, needs multiple editors or must submit CIS returns rather than simply track a contractor, a paid plan becomes more relevant. Free saves money only when it covers the real workflow without daily manual workarounds.
Zoho Standard: the affordable daily-bookkeeping tier
Zoho Standard costs £12/month paid monthly or £10/month equivalent with annual billing. It allows three users and adds automatic connected bank feeds, progress invoicing, recurring expenses, transaction-period locking, reporting tags, custom fields, custom reports, journal templates and API access. This is a sensible first paid tier for a service business that wants clearer books, bank reconciliation and internal accounting collaboration.
Zoho limits Standard to 5,000 invoices and 5,000 expenses annually under its published UK FAQ. That can be generous for a modest operation but restrictive for a high-volume business with frequent small transactions. The user limit should likewise be checked against who truly needs to edit ledgers versus who only submits receipts.
Standard is not the point where Zoho's UK lineup adds vendor bill management, multi-currency transactional accounting, sales and purchase orders or complete stock control. The official pricing page places those capabilities in Professional. A buyer making decisions on an attractive £12 headline price must compare the actual required tier.
Zoho Professional: the practical inventory and CIS benchmark
At £24/month on monthly billing, or £20/month equivalent billed annually, Zoho Professional supports five users and builds on Standard with supplier bills and payments, purchase and sales orders, stock tracking, price lists, multicurrency transactions, retainers, approvals, configurable workflows and custom user roles. The UK product also lists CIS submissions to HMRC at this tier.
These are major operational upgrades rather than cosmetic features. A distributor can record stock items and purchase activity; an agency billing overseas clients can account in multiple currencies; and a UK subcontractor using the Construction Industry Scheme can evaluate direct filing workflows. Confirm exact item counts, currencies, bank accounts and HMRC registration in a trial.
Professional's published limits are 10,000 invoices and 10,000 bills or expenses annually, and its receipt-autoscan entitlement is listed at 200 monthly. It is the fairest starting point when comparing Zoho's accounting breadth with Sage Plus for stock and currency, although Sage Plus supplies other benefits such as unlimited ordinary users and bundled payroll.
Zoho Premium: fixed assets, budgets and tailored processes
Zoho Premium is £30/month paid monthly, or £25/month equivalent billed annually, with ten users included. It adds fixed asset management, budgets, cash-flow forecasting, profit-margin tools, vendor self-service, a custom domain, custom modules, fields and functions. These appeal to a business that wants finance workflows aligned to its own departments rather than fitting everything into standard invoices and expenses.
Premium makes sense when a finance team needs consistent approval routes or nonstandard internal entities linked to the accounts. It can also provide a lower-price path to ten users than paying for a larger accounting tier elsewhere, although an organisation still needs to test permissions, audit evidence and multi-entity handling.
The UK published cap is 25,000 invoices per year, with a corresponding annual bills/expenses allowance. The pricing FAQ lists 1,000 receipt autoscans per month for Premium and higher. For a busy company, that document capacity alone may change the economics relative to Sage's smaller included OCR allowance.
Zoho Elite and Ultimate: specialized high-end capabilities
Elite costs £99/month or £85/month equivalent annually and focuses on advanced inventory. Zoho's UK features include warehouses, serial numbers, batch tracking, composite items, packing and shipment functionality, marketplace connections, Shopify integration and bin locations. Those are particularly relevant when the accounting system is also expected to support physical stock movement and fulfillment.
Ultimate costs £199/month or £165/month equivalent annually and adds deeper business intelligence, prebuilt data visualizations, key performance indicators and broader analytical reporting. Ultimate includes fifteen listed users; Elite lists ten. Not every small company needs that depth, and importing raw warehouse capability into an accounting comparison without acknowledging its extra price would overstate Zoho Professional.
A stock-heavy enterprise should compare Zoho Elite with specialized inventory or ERP software as well as Sage Accounting Plus. Sage Plus supplies accounting stock features, but an exact equivalence with Zoho's warehouse-level controls is not documented. A requirement for serial tracking, locations and order fulfilment should be demonstrated using sample goods.
Sage Start: invoicing, cash flow and payroll for one employee
Sage Accounting Start is £20 per month before VAT at the regular rate. It is built for VAT-registered sole traders and small companies that need cloud invoicing, bank connections, matching, cash-flow information and HMRC-oriented VAT work. Sage also currently includes Sage Copilot and a payroll entitlement covering one employee.
The included payroll changes the value proposition. A one-person employer using PAYE may avoid procuring and integrating a second basic payroll product, whereas a company with no employees might prefer Zoho Standard's lower license price. Sage's site also lists unlimited sales invoices in the Start family, so a high-frequency service company should compare volume limits with Zoho.
Start is not the supplier-and-CIS tier. The current pricing ladder places quotes, supplier management, custom reports, CIS and forecasting in Standard, with inventory, budgets and multicurrency in Plus. Businesses should not assume every feature shown on a Sage product marketing page is available on the £20 tier.
Sage Standard: suppliers, CIS and cash forecasting
Sage Standard costs £43/month before VAT and supports three ordinary users. It is positioned for companies handling suppliers, accrual accounting and Construction Industry Scheme requirements. Its published feature ladder adds supplier invoices, quotes and estimates, CIS reporting and submission, richer cash-flow forecasting and custom reports.
Sage Standard also includes thirty approved receipt or invoice captures in its current pricing matrix. Additional approved captures are currently listed at £0.20 apiece. That difference is worth modeling against Zoho Standard and Professional, which publish much higher monthly receipt-autoscan allowances under different measurement rules. A transaction count and a capture-credit count are not interchangeable.
Standard continues the integrated payroll allowance for one employee and includes Sage Copilot. If a business is already comfortable with Sage tax and bookkeeping workflows, its higher recurring price may still be worthwhile. But a buyer primarily seeking vendor bills, CIS filings and five users should also test Zoho Professional at £24/month.
Sage Plus: unlimited regular users and inventory
Sage Plus is £59/month before VAT at ordinary rates and advertises unlimited regular accounting users. It adds inventories and stock, multicurrency, exchange-rate management, budgets and one hundred approved document captures to the Standard accounting foundation. Payroll is included for five employees, with additional headcount charged separately.
For a company with twelve people who genuinely need accounting access, the absence of an ordinary-user ceiling is meaningful. A large team using Sage Plus should nevertheless confirm permissions and Sage Copilot entitlements: included accounting users do not necessarily equal unlimited individually licensed AI assistant users. Sage documentation describes one Copilot user bundled with each core plan and additional-user fees in the relevant terms.
Sage Plus does not promise the same kind of advanced warehouse control as Zoho Elite, and Zoho Professional already includes stock and multicurrency at a lower base price. Sage's differentiation is a combined UK financial operations package with users, payroll, compliance and a straightforward three-tier buying structure.
Invoices, recurring billing and customer payments
Both products handle professional invoices, tracking what customers owe and accepting payments through supported channels. Zoho Free already advertises recurring invoices, payment reminders, refunds and a client portal. Sage's paid Accounting plans advertise unlimited sales invoices, payment tracking, multiple payment methods and automated chasing.
Zoho's customer portal and configurable invoice templates can appeal to businesses that want customers to inspect transactions online and pay quickly. Sage's Copilot-marketed collection assistance can help draft or prompt reminders. A business collecting deposits, staged invoices or retainers should examine Zoho Professional and Sage Standard workflows in a demo, not infer identical capabilities from a generic invoicing label.
Payment processors generally charge transaction fees independently of bookkeeping subscriptions. Match customer payment methods, direct debits, deposits, partial payments, refunds and bank reconciliations to the actual processor and account. No subscription here should be described as including free card processing.
Supplier bills, approvals and purchasing
Purchase accounting is a major plan boundary. Zoho's UK comparison explicitly distinguishes expenses from supplier bills and reserves bills for Professional and higher. Professional also introduces vendor payments, sales and purchase orders, approvals and workflow customisation. Premium adds more tailored vendor and finance administration.
Sage's Standard and Plus plans focus on managing suppliers, invoices and records relevant to construction and accrual accounting. That can be comfortable for a UK bookkeeper who needs supplier balances and VAT treatment rather than a broad customised approval engine. The appropriate workflow depends on whether the company needs purchase-order matching, role-based approvals, part payments or complex expense allocations.
Before migrating, test a complete purchase cycle: create a supplier, issue a purchase order, enter a bill, approve it, pay part, match the bank feed, correct the VAT code and produce an aged-payables report. Marketing feature grids alone rarely prove every edge case works.
Banking, feeds and reconciliation
Both platforms provide banking and reconciliation, but their entry-plan entitlements differ. Zoho's Free tier lets the organisation add bank/card accounts and reconcile transactions, while Standard is the paid threshold highlighting connections for multiple bank feeds. Sage markets bank feeds and reconciliation beginning with Start.
The practical test is not whether the software can display a balance. A business should establish its real bank, import history, transaction latency, supported currency, bank-rule matching, duplicate treatment and statement-import fallback. A banking connection may require fresh authorisation and can be affected by a bank's technical service changes.
For a new company with few monthly transactions, manual import into Zoho Free may be acceptable. For a trading operation with several bank accounts and cards, automatic feeds could justify either Zoho Standard or Sage Start. Verify daily reconciliation reports and date cutoffs before migrating prior-period records.
VAT and Making Tax Digital for VAT
Zoho Books UK and Sage Accounting UK both advertise VAT records and HMRC-facing Making Tax Digital functionality. Zoho's Free pricing card even includes generating VAT returns and filing MTD VAT returns. Sage Start supports VAT calculation and submission with assisted workflows, with additional reporting and governance on higher plans.
That does not mean either package can determine a company's correct VAT registration, special scheme or treatment of every transaction without human review. The user must configure registration details, accounting basis, tax rates and any industry-specific tax codes correctly. Cross-border and partially exempt businesses may need specialist accountant validation.
A sensible proof of concept should use representative domestic sales, overseas purchases, credit notes, deferred VAT, refunds, adjustments and reconciled bank transactions. The business must verify the submission process against its HMRC account before declaring the application compliant for its individual circumstances.
MTD for Income Tax, SA100 and Corporation Tax
Making Tax Digital for Income Tax is not the same obligation as Making Tax Digital for VAT. The UK edition of Zoho Books publicly advertises MTD for Income Tax capabilities, SA100 Self Assessment functionality and company CT600/final accounts workflows, with a filing add-on for some Free-plan uses. Sage has separately marketed Sage Sole Trader features aimed at Income Tax and its own accounting-related tax workflows.
These capabilities should not be compared as though every legal entity and taxpayer qualifies for every filing path. A sole trader, landlord, VAT-registered limited company and construction contractor can face distinct returns and deadlines. Features may be staged, dependent on an HMRC programme or available only with a separate module.
If tax filing is a primary reason for switching, validate the exact return type, filing year, link to HMRC, licence entitlement, eligible entity, supporting schedules and accountant workflow. Neither vendor's marketing relieves the taxpayer of reviewing completed returns.
Construction Industry Scheme: separate tracking and filing
Both platforms support relevant CIS activities in the UK, but their subscription boundaries matter. Zoho Free advertises tracking CIS contractors, while direct CIS return submissions to HMRC appear in the Professional feature list. Sage's Standard and Plus plans explicitly advertise CIS management and submission.
For contractors with a few subcontractors, the difference between storing deductions and producing an HMRC submission is operationally important. Check the subcontractor verification process, deduction statements, tax treatment of materials, relevant return reports, corrections and reference numbers. Do not describe Free-plan CIS tracking as identical to Professional's filing workflow.
Zoho Professional's regular £24 monthly price can be particularly attractive when CIS, vendor bills and foreign currency are also needed. Sage Standard £43 may make more sense when the business values its payroll and Sage-led accountant workflows. The filing steps themselves should be confirmed in the live account.
Payroll: Sage bundled versus separate Zoho Payroll
Sage has a clear immediate advantage for buyers who want payroll inside the same Accounting subscription. The current UK storefront includes payroll for one employee on Start and Standard, and five on Plus, then lists £1.85/month per additional employee. Sage also markets PAYE, National Insurance, payslips, HR and pension-related workflows, although entitlement for advanced functions may vary.
Zoho offers a separate UK Zoho Payroll product that integrates with Zoho Books and can post journal entries for wages, deductions and payroll liabilities. That is a legitimate ecosystem advantage, but the UK Books pricing page does not bundle payroll into Standard or Professional. Do not present the existence of Zoho Payroll as included in the accounting plan at no extra charge.
Compare the full yearly payroll cost for the actual employee count, including pension processing, employee portal, absence management, payslips, HMRC submissions, potential Payroll subscription fees and setup effort. An employer with no staff should not pay a premium only because Sage bundles payroll; an employer with several staff might save time with the integrated Sage experience.
Twelve-month employee cost scenarios
Consider a five-person UK company choosing Sage Standard for its supplier and CIS needs. At the regular rates, Standard is £43/month. One employee is included; the published £1.85 charge for each of four additional employees gives an illustrative £50.40/month, or £604.80 over twelve equal months before VAT and other add-ons. Sage Plus includes five payroll employees, making its base £59/month or £708 annually. These are illustrations based on the published charge, not guaranteed checkout quotes.
A ten-employee company on Sage Plus would need to budget for five employees above its included five: 5 × £1.85 = £9.25 extra per month, suggesting £68.25/month and £819 across twelve normal months before tax. Actual payroll features, payroll processing costs and billing terms should be checked before committing.
Zoho Books Professional alone would cost £24/month, or £288/year, but payroll would require a separate Zoho Payroll UK quotation or another payroll provider. It would be inaccurate to conclude Zoho is cheaper overall merely because its bookkeeping license costs less. The entire employer workflow, not just the accounting tab, determines the savings.
Inventory and stock management: a major tier gap
Zoho Books Professional includes core stock accounting, purchase/sales order handling, price lists and related inventory tracking. Sage Accounting requires Plus for stock and inventory management. At ordinary UK monthly prices, that means £24 for Zoho Professional versus £59 for Sage Plus before any extras. For a small product-selling business, this is one of the clearest differences.
Sage Plus can make sense when the stock ledger must sit alongside Sage payroll, tax and collaborative bookkeeping. But a company using serial numbers, batches, several warehouses and marketplace fulfilment should investigate Zoho Elite, not simply assume Professional covers all stock operations. Zoho's higher Elite tier explicitly markets those capabilities at £99/month on monthly billing.
Neither product should be selected solely because the word inventory appears on the page. Validate landed costs, average-cost calculations, adjustments, returns, assemblies, serial traceability, stocktake, damaged goods and links to e-commerce channels with realistic examples.
Multicurrency and international trade
International invoicing can create accounting needs beyond displaying a foreign-currency symbol. Zoho's UK Professional tier includes recording multicurrency transactions and exchange-rate handling. Sage Plus explicitly adds multicurrency and exchange-rate features. The choice is again £24 versus £59 at the relevant regular monthly tier.
For a company billing international clients, test foreign currency customer balances, bank feeds, supplier liabilities, realised and unrealised currency differences and VAT treatment. Available currency lists and specific bank/processor support can vary by region and subscription.
Zoho Professional is an attractive low-price entry into cross-border accounting. Sage Plus may better fit businesses already standardized on Sage and requiring unlimited finance editors. Neither eliminates the need for specialised advice about tax, payments or cross-border controls.
Projects, time tracking and job profitability
Zoho Books provides project-related capabilities, timesheets and billable-time links; the UK Free plan currently advertises up to three projects. This can suit consultants, small agencies, architecture practices and other businesses that want expenses, time and client invoices under one accounting roof. Higher plans make sense when the company needs scale, multiuser collaboration and advanced budgets.
Sage's current UK Accounting suite discusses timesheets in the context of payroll and staff administration. It offers cash-flow management and business reporting, but the presence of payroll timesheets should not automatically be equated with Zoho's client-project costing and billable-time system. Test actual project estimates, invoice generation and realised margins.
If projects are the central daily unit of work, Zoho deserves early consideration. If the business is primarily tracking supplier invoices, customer debts, payroll and general ledger close, Sage may be simpler operationally. Neither tool should be described as a specialist professional-services automation suite without evidence.
Reporting, budgets, fixed assets and forecasting
Both products deliver conventional accounting reports such as profit and loss and balance sheets, but additional tools arrive at different tiers. Zoho Standard offers custom reports and reporting tags; Premium adds budgets, fixed asset management, profit margins and cash-flow forecasting. Ultimate adds more business-intelligence functions including visualizations and tracked KPIs.
Sage Standard includes custom reporting and cash-flow forecasts, while Plus adds budgeting. Sage Copilot also advertises insights, reminders and anomaly-related assistance. These features can help a business owner find unusual movements, but the quality of decisions still depends on the accuracy and timeliness of financial records.
A reporting-led buyer should create a sample monthly management pack: income by department, expenses by location, aged debtors, margin by product or client, cash forecast and budget-to-actual comparison. Validate export format, accountant review and whether the required dimension exists in the selected plan.
Custom automation, APIs and integrations
Zoho has a large family of related apps for CRM, payments, subscriptions, projects, analytics and commerce. Its UK Standard plan already lists API access, custom reports and journal templates; Professional adds configurable workflows; Premium introduces custom functions and modules. That makes Zoho a strong fit for firms prepared to maintain deliberate integrations between sales, operations and finance.
Sage offers its own marketplace and integration connections to complementary business systems. Its advantage can be consistency for an accountant who already works with Sage clients and tools, especially where payroll and financial records are tightly linked. Neither vendor's app store guarantees that every integration is available in the buyer's country or subscription tier.
Before buying, map the flow from lead to invoice, paid transaction, bank deposit, tax ledger and report. Check native connectors rather than relying on generic automation claims, examine sync direction and error handling, and budget for any paid integration platform or custom work.
AI: Zoho Zia versus Sage Copilot
The comparison is not an AI versus no-AI decision. Zoho Books UK advertises Zia-related accounting capabilities including natural-language questions, anomaly detection, assistance with invoice collections, explanations of reports and AI-supported categorisation. Some advertised agentic, forecasting and automation functions may have region, rollout, plan and permission restrictions.
Sage advertises Sage Copilot across Start, Standard and Plus, positioning it around chasing invoices, spotting issues, cash-flow insights, task reminders and payroll-related anomalies. Sage has also documented that additional individually enabled Copilot users may be separately priced even when the underlying plan supports several ordinary accountants.
We have not independently benchmarked AI time savings, accuracy or ROI for either product. The buyer should compare a fixed test set of overdue invoices, uncategorised transactions, unusual payroll entries and month-end questions, then confirm whether an accountable employee can review every proposed change before posting.
Document capture and expense workflows
Zoho UK's pricing FAQ lists fifty monthly receipt autoscans for Free and trial accounts, two hundred on Standard and Professional, and one thousand on Premium and higher. Sage lists no included receipt/invoice captures on Start in its present plan grid, thirty on Standard and one hundred on Plus, then £0.20 for each additional approved capture.
These headline allowances need to be interpreted carefully. A Zoho autoscan and a Sage approved capture may have different technical definitions, allowance periods and processing rules. Do not mechanically assume 200 Zoho scans equal 200 Sage documents if the vendors measure operations differently.
For a growing company processing several hundred purchase receipts a month, OCR volume can materially alter expense management cost and staff hours. Test a selection of faded, multi-page and foreign-currency receipts, check VAT extraction accuracy and confirm how rejected captures and duplicate invoices are handled.
Users, permission rules and team collaboration
Zoho Books UK includes one user plus an accountant on Free, three users on Standard, five on Professional, ten on Premium/Elite and fifteen on Ultimate. It publishes optional additional-user prices of £2.50 per user per month or £2 equivalent with annual billing; permissions and limits still need confirmation for the buyer's organization.
Sage Start includes one regular user, Standard three and Plus unlimited. That can be economical when many bookkeepers, managers or finance staff legitimately need a login. However, the Sage Copilot licence count is a distinct question. A company buying Plus for its unlimited accounting users should not conclude every account automatically has an independently included Copilot seat.
Count roles instead of staff names alone: full accountants, basic expense submitters, approvers, salespeople who only create invoices, external accountants and payroll-only users may have different permissions and fees. The least expensive plan with a superficial user count can still fail an approval or segregation-of-duties audit.
Data migration and accountant adoption
Switching accounting software is a data project, not just a subscription change. Decide whether to import opening balances only or full historical transactions, and consider outstanding invoices, supplier bills, asset records, VAT periods, payroll data, bank reconciling items and archived documents. Keep a read-only audit copy of the previous system for statutory retention obligations.
Zoho advertises migration assistance and import mechanisms, while Sage offers an established accountant workflow. The easiest platform to implement may be the one your external accountant can confidently review, even if its sticker price is not lowest. Ask the accounting practice whether it supports the relevant Zoho and Sage UK editions before approving migration.
Use a parallel month-end close if practical. Confirm the trial balance, aged receivables/payables, VAT control account and bank balances agree in the new system before turning off the old one. Verify that historic invoices remain accessible and that digital document retention is handled correctly.
Mobile access and everyday usability
Zoho Books offers mobile and desktop apps and promotes sending invoices, scanning receipts, handling payments and checking business records across devices. Sage also advertises mobile-friendly access and an employee application for certain payroll and HR tasks. The most useful option depends on how work happens during a normal week.
For an owner who sends invoices between client visits, Zoho's Free or Standard accounting workflow may be sufficient. For a payroll coordinator processing HMRC-related duties and working with an accountant, Sage's unified accounting/payroll experience may offer a different type of convenience.
Request a demonstration of five everyday tasks from the intended end user rather than choosing from screenshot design alone: create an invoice, reconcile a bank feed, correct an expense, produce a VAT report and retrieve an audit trail. A clean dashboard can hide complicated accounting steps that require training.
Security, access and business continuity
Both vendors publish security and access information, but marketing labels should not replace a procurement review. Confirm multi-factor authentication, user roles, audit trail retention, encryption arrangements, recovery procedures, export permissions and support processes. The correct security posture depends on the business's data sensitivity and required controls.
Pay attention to payment-provider handling and GDPR responsibilities. Accounting records often contain customer contact details, employee pay, bank accounts and commercially sensitive financial information. Decide which employees should be able to view, change or export each class of information.
If a firm plans to leave either platform, check accessible export formats and record-retention periods before cancellation. Backups and continuity plans are as important as whether a subscription advertises a security certification.
Twelve-month sample: a solo UK service provider
Suppose a solo consultant sends forty invoices each month, handles expense receipts, has no PAYE employees and wants VAT preparation. That is 480 invoices annually, below Zoho Free's current 1,000-invoice limit. If other workflows fit, Zoho Free may cost £0 in base subscription fees while providing essential bookkeeping and HMRC-facing MTD VAT features.
Sage Start is £20/month at ordinary pricing, or £240 over twelve months, including a payroll employee allowance that this consultant does not need. Its Sage Copilot, bank feeds and straightforward bookkeeping may still justify that spend for a customer who prefers the Sage experience or has an accountant standardized on Sage.
The more relevant question is whether the consultant can work comfortably within Zoho Free's bank feed and support limitations. If connected bank feeds and three users are needed, Zoho Standard at £144 across twelve normal monthly payments is a closer option, still below Sage Start's £240 base. VAT, payment processing and additional services can change the real total.
Twelve-month sample: a construction subcontractor
Consider a UK subcontractor with five bookkeeping users, active supplier bills, HMRC CIS filing and occasional invoices in foreign currencies. Zoho Professional meets those published feature categories at £24/month with five included users, or £288 across twelve regular monthly periods before tax.
Sage Standard £43 offers supplier and CIS workflows but lists only three users and does not present multicurrency at that tier. A closer Sage fit would be Plus, with unlimited ordinary users, multicurrency and stock, at £59/month, or £708 across twelve ordinary months. Sage also adds bundled payroll capacity.
The £420 base difference makes Zoho compelling if its integration and reporting workflows suit the contractor. Sage may be preferable when payroll, existing Sage accounting practice support or unlimited regular users deliver clear operational value. Do not select either without testing CIS statements, deductions and VAT with a real sample dataset.
Twelve-month sample: a product seller with staff
Imagine a small wholesaler with five employees, two bank accounts, inventory items and regular purchases. Zoho Professional provides core inventory, supplier bills and multicurrency for £24/month. But payroll is separate, and more advanced warehouse tracking could require Elite at £99/month.
Sage Plus provides stock, multicurrency, unlimited accounting users and a payroll allowance for five employees at its normal £59 monthly rate. If the business values its all-in-one finance and payroll process, the gap versus Zoho Professional's base price may narrow after payroll and related integration costs. If the firm needs batch tracking, warehouse bins and marketplace order fulfillment, Zoho Elite deserves a separate evaluation.
Compare the full stack for this wholesaler: accounting, payroll, inventory depth, e-commerce connector, shipping labels, bank feeds, returns and reporting. A simplistic £24 versus £59 comparison is not a total-cost model.
Main advantages and limitations of Zoho Books
Zoho's advantages are clear pricing across six paid-and-free positions, useful accounting on Free, low entry cost, stock and multicurrency starting at Professional, custom reports and automation, and a strong path toward inventory and analytics. It particularly suits a business comfortable adding other Zoho products as it grows.
The important limitations are annual invoice and transaction caps, plan-gated supplier bills and workflows, a possible learning curve from the broad feature set, and separate UK payroll packaging. An organisation using dozens of financial systems should examine integration maintenance and report reconciliations rather than assume each connected app behaves as one product.
The preferred Zoho plan is rarely simply the cheapest. Free is sensible for small volumes, Standard for banking and standard bookkeeping, Professional for inventory/CIS/multicurrency, Premium for finance customisation, Elite for operations-heavy stock and Ultimate for advanced BI.
Main advantages and limitations of Sage Accounting
Sage's strengths are UK-centred VAT and bookkeeping workflows, payroll built into the paid accounting offer, Sage Copilot, unlimited sales invoices and a simple three-tier progression. Standard addresses suppliers and CIS, while Plus bundles unlimited ordinary users, stock and multicurrency. For a company already using Sage and its accountant ecosystem, adoption can be less disruptive.
The trade-offs are the lack of a free Sage Accounting subscription, higher monthly starting prices than Zoho, inventory and multicurrency restricted to Plus, smaller included document-capture pools, payroll overages and the possibility of different entitlements for Copilot seats. Sage Sole Trader Free exists but is not a substitute for every VAT-registered limited company's Sage Accounting needs.
Sage is not necessarily the less capable product simply because it has fewer tiers. Rather, its buyer must put value on the integrated payroll and finance experience. For high-volume warehouse operations or cross-company BI, other Sage products may be more appropriate than Sage Accounting Plus.
Which should freelancers and microbusinesses choose?
For a freelancer, independent consultant, small landlord or newly established agency with a manageable invoice count, Zoho Free is a credible first option. It includes invoices, expenses, recurring billing and a basic accountant link, provided the user can tolerate its limits. Zoho Standard is a modest-cost upgrade when reliable connected feeds and more colleagues are necessary.
Sage Start is a rational alternative for a VAT-registered microbusiness that wants Sage Copilot, standard bank reconciliation and a payroll entitlement for one employee. It can also appeal when the accountant specifically supports Sage and the proprietor prefers the user experience in a trial.
Avoid choosing solely on an abstract star score or vendor tagline. The better application is the one that lets the business maintain accurate and reviewable books without outgrowing limits in a few months.
Which should growing agencies and professional services choose?
For an agency working on retained engagements or client projects, Zoho's projects, timesheets, customer portal and invoicing can be a natural foundation. Professional supports five users and international transactions, while Premium adds finance customisation and budgeting. Integration with the wider Zoho application ecosystem can help connect delivery to billing.
Sage Accounting may be preferable when the agency has moved beyond project invoicing into a more structured finance operation with PAYE staff, supplier controls and an established accounting firm using Sage. Standard and Plus can simplify parts of month-end and statutory reporting.
An agency should test the connection from timesheet to client invoice and revenue/margin report. Sage payroll timesheets and Zoho project timesheets may solve different problems, so there is no meaningful winner until the intended workflow is specified.
Which should retailers, contractors and stock businesses choose?
A stock-led company should shortlist Zoho Professional and Sage Plus first. Zoho gets core inventory, orders and multicurrency into a lower-cost tier. Sage Plus groups stock, multicurrency, payroll and unlimited ordinary users into one more expensive subscription. For advanced multiwarehouse or serialized items, Zoho Elite is the more relevant Zoho option.
Contractors should pay particular attention to whether they need CIS tracking or actual HMRC submissions. Zoho Professional and Sage Standard offer filing-related functionality, but the surrounding accounting features and license economics vary considerably. The accountant should confirm tax and labour treatment.
Businesses with complex manufacturing or fulfillment should not assume either cloud accounting plan replaces full inventory management, purchasing automation or an ERP. Evaluate operations software separately if there are many warehouses, locations or legal entities.
Decision checklist before subscribing
First, write down the accounting entity, country, VAT and payroll registrations, number of accounting editors, headcount, invoice count, receipt volume, banking institutions, currencies, inventory detail and filing requirements. That worksheet immediately rules out plans that are too narrow, regardless of their attractive prices.
Second, run a trial against an identical set of transactions. Create a sales invoice, refund, supplier bill, partial payment, bank import, month-end close, VAT report and management pack. If the business uses CIS or payroll, test the relevant rules with a qualified accountant or payroll professional. Keep a list of manual workarounds and add-on products needed to make the test pass.
Finally, calculate the expected twelve-month cost with ordinary renewal prices and realistic paid modules. For Zoho include annual-versus-monthly terms, user, scan, location and payroll products. For Sage include headcount beyond allowance, capture overages and any paid Copilot seats. Prefer a slightly dearer system that reliably covers statutory needs over a nominally cheap plan that cannot complete the work.
Final verdict: Zoho Books or Sage Accounting?
Zoho Books is the default value pick for a large share of UK freelancers and small companies. Its genuine free plan, £12 Standard, £24 Professional, extensive automation, project tools and tiered inventory provide flexibility that Sage's shorter ladder cannot match at the same base price. Professional is especially compelling for businesses needing UK CIS returns, international supplier transactions and stock before they are ready for an expensive finance stack.
Sage Accounting is the better conditional pick for UK businesses that want payroll and bookkeeping packaged together, prefer the Sage accountant ecosystem, need robust supplier and VAT operations, or have many accounting users. Sage Plus at £59 provides unlimited ordinary users, five included payroll employees, inventories and multicurrency in one subscription. Those bundled characteristics can outweigh Zoho's lower base price.
There is no universal winner for every company. Buy the smallest plan that can execute your real bank, VAT, payroll, purchase, sales and reporting workflows with a clear audit trail. Check the current checkout, keep region-specific editions separate, and validate any high-stakes tax or payroll decisions with a qualified professional.
Frequently asked questions
Is Zoho Books or Sage Accounting better for a UK small business?
Zoho Books often wins on entry price, free access, customisation and inventory or multicurrency features from Professional at £24/month. Sage Accounting can be preferable if the business wants payroll included in the accounting subscription, Sage Copilot or unlimited ordinary users on Plus at £59/month. The right choice depends on the UK entity, workflow and chosen tier.
How much do Zoho Books and Sage Accounting cost in the UK?
Zoho Books UK lists Free £0; paid monthly rates of £12 Standard, £24 Professional, £30 Premium, £99 Elite and £199 Ultimate, excluding local taxes. Annual-billed equivalents are lower. Sage UK lists regular monthly rates of £20 Start, £43 Standard and £59 Plus before VAT, with temporary eligible-user promotions.
Does Zoho Books have a permanently free plan in the UK?
Yes. Zoho Books UK advertises a Free plan with one user plus accountant access, essential invoicing and accounting, and a limit of 1,000 invoices and 1,000 expenses annually. It also has plan-specific banking, support and feature restrictions.
Does Sage Accounting have a free plan?
Not within the UK Sage Accounting Start, Standard and Plus family compared here. Sage separately offers Sage Sole Trader Free for a different target market. Do not treat that separate product as Sage Accounting Plus or as a feature-identical alternative for a VAT-registered company.
Which costs less for inventory and multicurrency?
Zoho Books UK Professional lists both at £24 per month on monthly billing. Sage Accounting UK requires Plus at £59 per month for its advertised inventory and multicurrency features. However, Sage Plus also includes five payroll employees and unlimited ordinary users, so total value depends on staffing needs.
Does Zoho Books include UK payroll?
Zoho Payroll is available as a separate UK product and can integrate journal entries with Zoho Books. The UK Zoho Books paid plan pricing does not establish that payroll is included in its monthly accounting subscription. Check separate payroll pricing and entitlements.
How much payroll does Sage Accounting include?
According to Sage UK current plan information, Start and Standard include one employee each, while Plus includes five. Additional employees are currently listed at £1.85 per employee per month. Confirm the actual checkout rate and required HR or pension functionality.
Which supports the Construction Industry Scheme?
Zoho Books UK Professional and higher list submitting CIS returns to HMRC, while the Free plan advertises contractor tracking only. Sage Accounting Standard and Plus advertise CIS management and submission. Validate deductions and filing with the accountant before changing systems.
Do both support Making Tax Digital for VAT?
Both active UK product families advertise MTD VAT support. Zoho even lists MTD VAT returns in its Free plan; Sage Start also supports VAT calculation and submission. Other tax obligations, including MTD for Income Tax and corporation tax, require separate confirmation by entity and plan.
How many users are included?
Zoho includes 1 plus an accountant on Free, 3 on Standard, 5 on Professional, 10 on Premium and Elite, and 15 on Ultimate. Sage includes 1 ordinary user on Start, 3 on Standard and unlimited ordinary users on Plus. Additional AI entitlements may differ from regular user access.
Is Sage Accounting available to new US customers?
The Sage Business Cloud Accounting service formerly sold in the US was retired on December 31, 2024, with support and access ending January 31, 2025. The live UK Sage Accounting Start, Standard and Plus product is distinct, and Sage 50 and Sage Intacct are other products.
Did Toollers hands-on test both platforms?
This comparison uses official vendor pricing, documentation and publicly accessible Toollers product profiles. It does not assert that Toollers independently tested both installations, ran payroll or submitted VAT or CIS returns. Buyers should perform their own workflow verification.
