How Benchmark Email pricing works

Benchmark prices its standard paid product primarily around contact capacity. Free supports a small database. Pro covers 1,000 to 100,000 contacts and increases as the list grows. Enterprise is intended for organizations with more than 100,000 contacts or customized high-volume requirements. That means the headline $19 price is useful for comparison, but it is not a universal price for every Pro customer.

The current live pricing page also sets explicit send allowances. Free can send up to 2,500 emails per month. Pro can send up to ten times the selected contact limit. If your plan holds 1,000 contacts, that is up to 10,000 sends per month; if your plan holds 10,000 contacts, the stated formula implies up to 100,000 sends. Benchmark's July 2026 terms say paid subscriptions are billed in advance on a monthly or yearly basis and renew automatically unless cancelled before renewal. The current Free plan is not just a temporary trial. Benchmark presents it as an ongoing $0 tier with up to 500 contacts and 2,500 monthly sends. The live plan comparison lists one user, one verified sending domain, two API keys and 150 AI credits per month. Benchmark branding remains on emails and forms, while Pro can remove it.

There is a vendor-source conflict that matters. A January 2026 knowledge-base page says the Free Starter plan allows 3,500 monthly sends and includes Automation Lite. An April 2026 Benchmark blog says 2,500 sends and states that automation, landing pages and third-party integrations are not included. The current live pricing page says 2,500 sends and broadly presents features under an “Every Feature in Every Plan” section. We therefore use 2,500 as the current numeric send limit, but we would verify the exact current Free entitlement inside the account before choosing Benchmark specifically for automation, landing pages or integrations.

Pro: from $19 monthly or $16 monthly equivalent annually

Pro is the normal paid plan. The entry price currently displays as $19 per month on monthly billing or $16 per month when annual billing is selected. Benchmark's terms say yearly subscriptions are billed in advance. At the displayed annual equivalent, twelve months total $192 before tax, compared with $228 for twelve monthly payments at $19. That is a $36 annual difference at the entry tier.

Pro expands the list range to 1,000 through 100,000 contacts and raises the sending allowance to ten times the chosen contact limit per month. It includes one user, up to ten verified sending domains, ten API keys and 1,000 AI credits per month. Additional users are $15 per month each. Pricing rises with contact count, so the $19/$16 entry figure should not be extrapolated to larger lists.

The live page says that if you exceed your contact limit, Benchmark will notify you and offer an upgrade rather than automatically upgrading the account. That gives the customer control over a pricing change. It does not eliminate the need to upgrade if the larger list is required for sending; it simply prevents an unexpected automatic tier move.

Enterprise: custom pricing

Enterprise is for more than 100,000 contacts and high-volume requirements. Benchmark does not publish a universal numeric price. The responsible way to budget is to request a quote and document the included contact capacity, send limit, support level, onboarding, domains, API requirements, security documentation and any service commitments. True-cost scenarios

Scenario 1: a small organization stays on Free

If a community organization has 400 active contacts and sends one newsletter every week, four full-list sends would be about 1,600 messages in a typical four-week month. That remains below the current 2,500-send Free allowance, so the software subscription cost can remain $0. The organization still needs to account for its own staff time, list hygiene and any external tools used for design or automation.

Scenario 2: 1,000-contact Pro account on monthly billing

At the published entry tier, one Pro user costs $19 per month before tax. The plan permits sends up to ten times the contact limit, so a 1,000-contact account can send up to 10,000 emails in the month. Twelve months at the monthly rate would total $228 before tax if the entry price stayed unchanged.

Scenario 3: entry Pro paid annually

The live page displays a $16 monthly equivalent with annual billing. Multiplying $16 by twelve produces an annualized cost of $192 before tax. Benchmark's terms say annual subscriptions are billed in advance, so buyers should expect the yearly commitment to be collected upfront rather than as twelve $16 installments unless checkout explicitly states otherwise.

Scenario 4: Pro with a three-person team

Pro includes one user. Two additional users at $15 each add $30 per month. At the $19 monthly entry tier, the software total is therefore $49 per month before tax for three users, provided the contact tier remains at the entry level. The live pricing page does not state an annual discount for the extra-user add-on, so we do not apply one in this example.

Free plan versus a paid trial

Benchmark prominently uses the Free plan as the evaluation route. We did not confirm a separate, universally available time-limited paid-feature trial from the live public pricing flow checked for this guide. The July 2026 terms say Benchmark may offer free trials, but that contractual possibility is not the same as a currently advertised trial for every buyer. If you specifically need to test a paid-only workflow, confirm the signup path or ask support what is available before entering payment details.

Add-ons, overages and other costs

The clearest published add-on is additional Pro users at $15 per month each. Benchmark also prices Pro by contact tier, so the effective “overage” mechanism is normally moving to a larger contact allowance rather than paying a simple per-contact penalty. The pricing FAQ says the company does not auto-upgrade you when you cross the contact threshold; it notifies you and lets you choose.

The current public material does not give us a universal numeric price for every contact tier, Enterprise configuration or potential service item. If your list is materially above 1,000 contacts, use the vendor calculator or sales process rather than multiplying the entry price. Ask whether the quote includes onboarding, migration, dedicated support, high-volume sending assistance, dedicated infrastructure or other enterprise services that could change total cost.

Cancellation, renewal and refunds

Benchmark's current terms are clear on the main mechanics. Paid subscriptions renew automatically at the end of the monthly or yearly billing period unless cancelled before renewal. Cancellation takes effect for the next subscription period, and the customer keeps access through the current paid period. Benchmark does not refund or credit unused portions of the current period unless the law requires it.

That policy is especially important for annual billing. The $16 monthly equivalent can be cheaper than paying $19 month to month, but the yearly subscription is billed in advance and the unused portion is not normally refundable after cancellation. The annual option therefore makes sense when the buyer has enough confidence in the product and contact forecast to accept a longer prepaid commitment.

Taxes and regional pricing

Benchmark's terms say advertised prices exclude applicable taxes, duties and similar charges. Billing address and local law can determine what is collected. Benchmark's strongest pricing characteristic is transparency at the small-business end. A buyer can see what Free includes, understand the entry Pro amount and calculate how additional users affect the bill. The contact-based model is also familiar to email marketers, which makes it easier to compare against AWeber, Omnisend, ActiveCampaign and similar products.

That does not automatically make Benchmark the lowest-cost option. AWeber's current Free tier allows 500 subscribers and 3,000 monthly sends, while its Lite plan begins at $15 monthly.
