Otter.ai pricing in plain terms
Otter offers four main subscription levels: Basic, Pro, Business and Enterprise. The US-facing price page lists Basic as free; Pro at $16.99 per user monthly or an $8.33 monthly equivalent when billed for a year; Business at $30 monthly or $19.99 annual equivalent per user; and Enterprise as quote-based. These are service prices, not estimates of what a team will save by automating meeting notes.
The annual-equivalent number is a comparison tool: the annual plan is prepaid, so $8.33 is not a monthly invoice you can stop after a few weeks. Otter also advertises time-limited and India-issued-card promotions. I separate those offers from ordinary public list prices because mixing them creates a misleading budget. Always check the region, payment card, taxes and current checkout price before approving a subscription.
| Basic | Free | 300 min/month; 30 min/conversation; 3 lifetime imports; 25 recent conversations |
|---|---|---|
| Pro | $16.99/user/month or $8.33/user/month equivalent annually | 1,200 minutes; 90 min/conversation; 10 monthly imports; expanded export |
| Business | $30/user/month or $19.99/user/month equivalent annually | Unlimited in-app meetings; 4h/conversation; 6,000 min imported files; 3 concurrent joins |
| Enterprise | Custom quote | SSO/SCIM; API/webhooks; enhanced controls; optional HIPAA add-on |
Basic Free: the 300-minute allowance has three important limits
Otter Basic is a genuine ongoing free plan. It includes live transcription, speaker identification, summaries, Zoom/Teams/Meet support and mobile apps. The headline allowance is 300 transcription minutes per month. A person running three 20-minute calls each week can learn the interface within that cap, provided other restrictions are met. This is enough to check the general note-taking workflow.
The catch is the 30-minute maximum per conversation: a 50-minute session may keep recording, but only the permitted transcription portion is accessible at the free tier. Basic also allows only three audio or video file imports in total over the account lifetime, not three each month. Its conversation history shows 25 recent conversations before older items are archived. Those limits matter more to an interviewer or researcher than the free headline alone.
Pro: $16.99 monthly or $8.33 annual equivalent
Pro is designed for individuals and small teams that need complete notes from longer, recurring calls. It lists 1,200 transcription minutes per user each month, up to 90 minutes per conversation and ten audio/video imports per month. It adds expanded search, recording playback, export, vocabulary tools, meeting templates and more AI workflow capacity. If your workday includes several sales or customer calls, the upgrade can remove the most immediate Basic constraints.
Twenty hours is 1,200 minutes. Four one-hour meetings per week across five weeks would reach the Pro allocation; another hour imported from a recorded webinar would need room in the same month. Published limits describe a shared transcription-minute pool across meeting and imported recording types. Pro is not unlimited transcription, even if another feature on the grid carries an unlimited label.
Business: $30 monthly or $19.99 annual equivalent
Business is for a team that captures meetings heavily and wants administration, usage reporting, simultaneous meeting joins and consistent workflows. Otter markets unlimited in-app meetings and recordings, custom AI workflows, three concurrent Notetaker joins and up to four hours of transcription per conversation. It adds prioritized support and enhanced admin controls. The jump from Pro is meaningful when several employees must work from the same operational transcript archive.
The unlimited claim must be read with the detailed feature matrix: imported pre-recorded files have a 6,000-minute monthly allocation per user, even though the count of imported files is described as unlimited. A recording can still reach the four-hour session ceiling. An organization processing customer interview archives, lecture uploads or long research recordings should model these two limits before treating Business as an unlimited media-transcription service.
Enterprise: request a written quote
Otter Enterprise adds contract-controlled functions such as single sign-on, SCIM provisioning, domain capture, customizable data governance, enterprise-grade support, API and webhooks and deeper sales integrations. The public pricing page does not state a universal per-seat price. The enterprise version is most relevant when a procurement team needs central identity management, retention policies and operational oversight.
The site labels HIPAA compliance as an add-on for Enterprise. An organization handling protected health information should not infer that purchasing Pro or Business alone establishes a covered workflow. Ask sales for the precise scope, agreements, security controls, data handling, implementation responsibilities and renewal terms. A compliance-specific need can change the decision even when a lower tier has enough minutes.
Annual billing: what the published numbers imply
Twelve months of standard monthly Pro would total $203.88 per person before taxes. Twelve months at the displayed $8.33 annual equivalent are approximately $99.96. For Business, monthly list billing would total $360 per seat for twelve months, compared with approximately $239.88 at the advertised $19.99 annual equivalent. Exact annual charges should come from the checkout receipt; displayed cents can be rounded.
At five Pro seats, a full year of standard monthly billing is $1,019.40. At five Business seats it is $1,800 before tax. The annual equivalent reduces both budgets, but the organization gives up the flexibility of deciding to stop after a short project. If only two employees routinely need transcription, buying five premium seats may cost more than the collaborative benefit.
Promotions are different from the regular price
The live price grid shows a Business introductory offer of $24 per user per month for the first three months for eligible first-time subscribers. That is not the $30 standard recurring monthly rate. Budgeting twelve months at $24 would understate the normal total after the promotion expires. The published page also displays a Pro annual price of $4.17 per user per month for customers using an India-issued credit card.
A regional payment-card requirement is a real eligibility condition. A buyer in the United States should not expect the India promotion; a buyer in India should check whether the card, account, checkout currency and terms actually qualify. For a globally useful Toollers comparison, the baseline remains $16.99 / $8.33 for Pro and $30 / $19.99 for Business, with any verified promotion called out separately.
Meeting minutes, file imports and conversation length
Otter has three different usage dimensions. Monthly transcription minutes restrict overall consumption on Basic and Pro. Per-conversation time limits restrict one session: 30 minutes on Basic, 90 on Pro and four hours on Business. Import counts restrict how many recorded files can be submitted: three lifetime on Basic, ten monthly on Pro, and unlimited count on Business subject to the imported-minute allocation.
A producer importing eighteen long podcast interviews a month may find Pro unsuitable even if some sessions are under 90 minutes; the ten-upload ceiling would be reached. A salesperson with one three-hour quarterly workshop may need Business for that event even if total monthly minutes are small. Choose based on the largest and most frequent real tasks, not just average minutes.
AI Chat, workflows and meeting templates
All plans include some ability to ask Otter questions about meeting material, but the detailed grid applies monthly usage limits. At the time checked it describes 20 queries per user on Basic, 50 on Pro and 200 on Business and Enterprise, with additional per-conversation conditions on Basic. The vendor adds template and workflow controls as tiers rise.
That distinction matters when managers want automated weekly status reports from many calls. If AI Chat is only used to locate the one sentence where a date was agreed, Basic may demonstrate the value. If a client-success group expects regular cross-meeting answers and generated follow-up materials, trial the real usage pattern under Pro or Business before signing a year-long contract. A monthly transcription entitlement is not an unlimited AI-query entitlement.
Export formats and transcript retention
Otter supports searching, correcting and sharing transcripts. Its pricing matrix lists basic MP3 and text exports at the low end, expands to PDF, DOCX and SRT on Pro and adds bulk export on Business. On the free plan, only the 25 most recent conversations remain readily visible; older ones are archived. Upgrading restores broader access under paid plan rules.
For a research project, exporting evidence matters as much as generating a summary. Before downgrading, export approved transcripts and consent records into your own storage location, with restricted access and clear retention periods. A company should verify timestamp and speaker-label preservation instead of assuming that any one format is adequate for audit or legal purposes.
Salesforce, HubSpot, Zapier and other connections
Otter lists Salesforce, HubSpot and Zapier in its paid-plan comparison, with asterisks and user eligibility conditions for some CRM functions. Its official Zapier help places that connector on Pro, Business and Enterprise. These tools may save repetitive updates if a sales rep needs meeting action items to reach a CRM record or a team channel.
The right question is not whether a logo appears on the integration list, but whether your exact data flow is available on the purchased tier. Test a sample call, confirm which fields transfer, determine who can edit the result and inspect the review step before data reaches a customer record. Enterprise API and webhooks are separately listed and should not be assumed to be self-serve Pro features.
Sample budget: one consultant and a team of eight
A solo consultant on monthly Pro pays $16.99 per month before tax at the standard US rate. If the consultant works on a three-month project, the listed subscription total is $50.97, less upfront than a full-year commitment. If the workload is predictable for twelve months, the annual equivalent could substantially reduce the cost, provided the actual checkout price and renewals are acceptable.
An eight-seat Business team paying the standard monthly price budgets $240 each month, or $2,880 for twelve months. At the annual displayed equivalent, the approximate twelve-month total is $1,919.04, before taxes and any corporate arrangement. Those are multiplication examples, not a quoted enterprise contract or a promise of productivity savings. If the eight users rarely need simultaneous joining or admin tools, compare the financial cost of Pro seats.
Choosing between Pro and Business
Start with a two-week sample of scheduled calls. Record total transcription minutes, longest single meeting, number of imported files and whether multiple meeting rooms overlap. A solo worker whose meetings normally run 30 to 70 minutes and total under 1,200 minutes monthly will often fit Pro. A department that hosts 150-minute workshops, uploads many historic recordings and needs usage analytics has a stronger Business case.
Then identify the permissions and security requirements. If a compliance team needs SSO, data retention controls, API access or a HIPAA-specific arrangement, a custom Enterprise discussion may be the actual threshold. If you only occasionally transcribe a ten-minute conversation, Basic may be adequate. The cheapest tier that safely completes the whole workflow is usually the best value.
How Otter compares on total cost to alternatives
Otter is a meeting-first product, so its per-user pricing should be compared with similar ways to capture and reuse discussions. Fireflies.ai emphasizes searchable meeting notes and integrations, Fathom offers an individual-focused free option, and Notta has specific language and translation workflows. Tactiq can transcribe supported browser meeting captions without a bot; tl;dv puts more attention on meeting clips and video review.
A comparison that looks only at monthly dollars misses output quality, length limits, ease of joining calls, permission management and export formats. A $0 tool that omits a 50-minute portion of a meeting costs the team time to reconstruct decisions. A more expensive system may still be wasted money if no one uses the searchable archive. Compare a realistic weekly workload with the complete cost and plan conditions.
Cancellation, renewal and participant consent
Otter’s support information explains that users can change or cancel paid subscriptions through their billing channel and that paid subscriptions are generally non-refundable. If a subscription is made through an app store, billing actions can follow that store’s policies. Record renewal dates in your team calendar and read the confirmation notice before paying for an annual plan.
Separately, Otter Notetaker can join scheduled meetings as a visible participant. That convenience creates a recording-consent responsibility. Configure which calendars and meetings it can access, notify attendees and follow your organization’s policies and applicable laws. Transcription and stored summaries can include confidential client information. Price and feature choice should include the cost of appropriate governance.

Expert tip
Pricing methodology and recommendation
This pricing guide uses Otter’s public US-facing grid and official help covering Basic allowances, meeting capture, connector access and transcript history, checked on November 5, 2026. I also reviewed its region-specific promotional footnotes. I did not subscribe, run a controlled transcription test, confirm country-specific taxes, simulate quota exhaustion or obtain an Enterprise sales proposal.
For an individual starting out, use Basic to verify that the meeting capture process works, then test Pro monthly when calls exceed 30 minutes. Business makes sense for longer and overlapping meetings or team operations. I would confirm cancellation rules, export needs and participant consent before annual or enterprise commitment, and I would compare the results against the same sample meetings in a competing tool.
