Calendly covers one-to-one booking, event types, meeting polls, team and round-robin scheduling, lead routing, workflows, reminders, payments, embeds, analytics, APIs and an expanding AI layer including Notetaker and Callie. Teams and Enterprise add centralized routing, Salesforce/Dynamics integrations, SSO/SAML, audit logs and domain controls.

Usability and implementation4.8

G2 currently rates Calendly 4.7/5 with a 2,650-review core product profile, while Capterra rates it 4.7/5 from 4,162 reviews with 4.7 ease of use and 4.4 customer service. Users consistently praise the simple booking experience and calendar sync, while advanced team routing and free-tier limits are recurring tradeoffs.

Pricing and value transparency4.7

Calendly publishes a genuine Free plan, Standard at $10/seat/month billed yearly and Teams at $16/seat/month billed yearly, while Enterprise starts at $15,000/year for 50 seats. AI Notetaker/Callie are optional additions rather than silently included in base paid prices.

Integrations, security and trust4.9

Calendly connects with Google/Microsoft calendars, Zoom, Teams, Google Meet, Salesforce, HubSpot, Stripe, PayPal, Slack, Zapier/Make and developer APIs. Current security documentation covers SOC 2, SOC 3, ISO/IEC 27001, CSA STAR and PCI compliance plus encryption in transit and at rest.

How this review was prepared: This is a research-based comparison of published vendor documentation and attributed third-party feedback. Toollers has not documented hands-on use of this product. Confirm current features, terms and pricing with the vendor before buying.

Calendly is a scheduling automation platform for one-to-one meetings, team scheduling, lead routing, payments, reminders, CRM workflows and increasingly the work that happens around meetings. The product has expanded in 2026 with Standard Plus and Teams Plus plans that add Notetaker and Callie, while the core scheduling plans remain Free, Standard, Teams and Enterprise.

Quick verdict

Calendly remains one of the easiest scheduling products to recommend for professionals and customer-facing teams because the invitee experience is simple while the admin side can scale into routing, CRM workflows and enterprise controls. Free is intentionally narrow; Standard is $10/seat/month billed yearly, Teams is $16, and Enterprise starts at $15,000/year for 50 seats. Standard Plus and Teams Plus add Notetaker and Callie. The main tradeoff is that advanced routing, AI meeting features and enterprise controls can raise the cost quickly.

Testing methodology

This is a research-based editorial review. We assessed the vendor documentation and attributed external user-review patterns cited below. Toollers has not documented hands-on testing for this product; confirm current plan terms and fit in a trial or demo.

Current external review evidence

G2's current Calendly seller page averages 4.7/5 and lists 2,721 reviews across three profiles; the core Calendly product itself has 2,663 reviews. The difference matters because a seller-family total is not the same thing as the core product review count.

Capterra currently rates Calendly 4.7/5 from 4,163 reviews, with ease of use at 4.7 and customer service at 4.4. Review themes consistently praise ease of booking and calendar sync while criticizing Free-plan limits and the cost of more advanced team features.

Calendly Free

Free costs $0 and is designed for basic individual scheduling. The live pricing page lists one event type, one calendar connection, one-on-one scheduling, a customizable booking page and browser extension access.

The plan is useful for a single recurring meeting pattern, but it is intentionally narrow. Anyone who needs multiple event types, multiple connected calendars, reminders, payments or richer integrations is likely to move to Standard.

Calendly Standard

Standard costs $10 per seat/month when billed yearly. It adds unlimited event types, up to six connected calendars for conflict checking, multi-person meeting types, automations and reminders, HubSpot and Mailchimp integrations, Stripe/PayPal payments and richer personalization.

Standard is the sensible default for consultants, recruiters, coaches and customer-facing professionals who schedule frequently but do not need round-robin distribution, lead routing or enterprise administration.

Calendly Teams

Teams costs $16 per seat/month billed yearly. It includes Standard features plus round-robin and team scheduling, lead qualification and routing, centrally managed event types, Marketo and Pardot connections, Salesforce meeting sync and team administration.

Teams should be chosen because the organization needs routing and coordinated team scheduling, not merely because several employees use Calendly. Individual Standard seats can be enough when team-level distribution and CRM workflows are not required.

Calendly Enterprise

Enterprise starts at $15,000/year for 50 seats and is available in USD. It adds Salesforce lookup routing, Microsoft Dynamics, SSO and SAML, domain control, audit logs, a data-deletion API, onboarding/implementation and dedicated support.

The published starting point makes Enterprise a very different purchase from Standard or Teams. Procurement should map identity, CRM, domain-control, compliance and support requirements before requesting a quote.

Standard Plus and Teams Plus

Calendly's 2026 pricing structure adds Standard Plus and Teams Plus. The Plus plans combine the underlying scheduling tier with Notetaker and Callie, while the base Standard and Teams pricing pages explicitly label Notetaker as not included.

This separation is important for cost comparisons. Teams that only want scheduling should compare base plans, while teams that want AI meeting recaps and the Callie assistant should compare the Plus variants rather than assuming those features are bundled.

Notetaker

Calendly Notetaker records supported Zoom, Google Meet and Microsoft Teams meetings, then produces transcripts, summaries, action items and shareable recaps. It can also create pre-drafted follow-up emails and downloadable transcripts.

Current help documentation says Standard Plus and Teams Plus include unlimited monthly recaps, while some users on Free, Standard or Teams receive five free recaps after a trial. Toollers has not independently tested transcription accuracy or recap quality.

Callie

Callie is Calendly's AI assistant for the work around meetings. It can coordinate scheduling through email, handle one-time exceptions and changes, and answer questions about meetings and activity inside Calendly.

Callie is currently marked Beta and English-only. Buyers should treat it as an emerging workflow layer rather than assuming it has the maturity or multilingual coverage of the core scheduling product.

Two-week trial

Calendly's current billing documentation says new users begin with a free two-week Teams Plus trial and automatically move to Free when the trial ends unless they upgrade.

This trial model is useful because it exposes team and AI capabilities that a new user might otherwise miss. Evaluate only the features that will justify a paid plan so the post-trial decision is based on actual workflow value.

Event types and availability

Calendly's core strength is turning calendar availability into event-specific booking links. Standard and above remove the one-event-type limitation and let organizers model different durations, buffers, availability windows and meeting formats.

The operational value comes from reducing manual coordination while preserving control over when meetings can land. Teams should define availability rules carefully so automation does not fill calendars with poorly timed meetings.

Calendar connections

Free supports one connected calendar, while Standard, Teams and Enterprise can check multiple calendars for conflicts. The live comparison currently shows up to six calendar connections on the main paid tiers.

This is useful for people managing work, personal and shared calendars. The important implementation step is ensuring every calendar that can create a real conflict is connected and configured correctly.

Round-robin scheduling

Teams and Enterprise support round-robin meeting distribution so incoming meetings can be spread across a group based on routing rules and availability.

This is particularly valuable for sales, recruiting and customer-success organizations. The routing logic should be tested against territories, ownership rules and out-of-office conditions before it becomes part of a revenue workflow.

Routing forms

Calendly can qualify, route and schedule people from Calendly forms or existing forms in HubSpot, Pardot and Marketo. Enterprise adds Salesforce lookup routing for more advanced account ownership scenarios.

Routing can turn a scheduling page into part of the lead-conversion system. Teams should define what happens to unqualified or unmatched leads rather than focusing only on the happy path.

Payments

Standard and higher plans can collect payment during booking through Stripe and PayPal. Calendly's current product also includes payment links, meeting packages, invoicing and custom terms or discounts on supported plans.

This is useful for coaching, consulting and paid sessions, but processor fees still apply. Payment workflows should be tested for refunds, rescheduling and no-show policies before going live.

Automations and reminders

Paid plans support reminders, follow-ups and scheduling outreach. These automations can reduce no-shows and remove repetitive email work before and after meetings.

Automation should be designed around the meeting type. A sales demo, therapy session and recruiting interview need different reminder cadence, instructions and post-meeting follow-up.

Contacts

Calendly increasingly includes lightweight relationship-management features such as auto-generated contact profiles, notes, reminders, custom fields and relationship history.

This does not make Calendly a full CRM, but it can reduce context switching for smaller teams. Larger sales organizations should still decide which system owns contact and opportunity data.

CRM integrations

Calendly integrates with HubSpot, Salesforce, Marketo, Pardot and other sales and marketing tools. Teams adds deeper routing and Salesforce workflows, while Enterprise expands CRM and administrative options further.

The real test is data ownership and write-back behavior. Map which fields should update the CRM, which meeting events trigger automation and how reschedules or cancellations should be handled.

Video conferencing

Calendly supports Google Meet, Zoom, Microsoft Teams, Webex and other conferencing workflows so meeting details can be generated automatically at booking time.

For distributed organizations, this removes one of the last manual steps in scheduling. Admins should standardize approved conferencing tools and verify organizer permissions.

Website embeds

Calendly booking experiences can be embedded on websites and landing pages so prospects schedule without leaving the conversion flow.

This is particularly valuable for sales and service businesses. Test the embed on mobile, measure conversion, and make sure analytics correctly distinguish page views from completed bookings.

Security and compliance

Calendly's published security materials document SOC 2, SOC 3, ISO/IEC 27001, CSA STAR and PCI-related controls, along with encryption in transit and at rest. Enterprise adds stronger identity, domain and audit capabilities.

Security buyers should verify the exact scope and contract terms they need. A certification list is useful evidence, but requirements such as SSO, SCIM, data deletion and domain governance can still determine the necessary plan.

Ease of use

Ease of use is one of Calendly's clearest strengths. Invitees generally do not need an account, and the booking page asks them to choose a time instead of learning a new collaboration system.

That low-friction invitee experience is a major reason Calendly remains widely recognized. The organizer side becomes more complex only when routing, multiple teams, CRM automation and governance are introduced.

Free-plan limitations

The Free plan's one event type and one calendar connection make it easy to understand but too limited for many professional use cases. It also excludes paid-plan automation, payment and advanced team functionality.

For occasional scheduling, those limits may be acceptable. Frequent organizers should compare the value of saved coordination time against the Standard seat price rather than trying to stretch Free indefinitely.

Team-plan complexity

Calendly's advanced capabilities can be overkill for a small team. Round robin, managed event types, lead routing, Salesforce, SSO and enterprise administration introduce configuration that simple booking does not require.

Buyers should start with the smallest plan that supports the actual workflow. Adding team complexity without a clear routing or governance need creates more administration without improving the invitee experience.

Who should choose Calendly

Calendly is a strong fit for consultants, recruiters, sales teams, customer-success teams, educators and service professionals who schedule external meetings frequently.

It is especially compelling when simple invitee booking needs to connect with reminders, payments, routing or CRM automation behind the scenes.

Who should avoid Calendly

Users who schedule only occasional meetings may not need more than a free calendar link. Businesses that need complex resource, room, equipment or multi-location service scheduling may need a more specialized appointment platform.

Organizations primarily seeking AI meeting intelligence should also compare dedicated AI meeting assistants rather than buying Calendly Plus only because Notetaker and Callie exist.

Overall verdict

Calendly remains one of the strongest general-purpose scheduling platforms because it combines a familiar invitee experience with increasingly sophisticated team, revenue and meeting automation.

Meeting polls and one-off meetings

Calendly also supports meeting polls and one-off meeting links, which makes it useful when a normal booking page is not the right coordination model. Polls let multiple participants indicate workable times, while one-off links are useful for exceptions that should not become permanent event types.

These features reduce the need to switch to a second scheduler for occasional group coordination. Doodle remains more poll-centric, but Calendly's inclusion is valuable for teams that want most scheduling workflows in one account.

Analytics and conversion tracking

Calendly includes scheduling analytics for teams and supports conversion tracking through tools such as Google Analytics and Meta Pixel on supported plans. Revenue teams can use this to understand booking volume, popular event types and funnel behavior.

Analytics is most useful when booking data is connected to downstream outcomes. A high meeting count is not automatically positive if the routing logic sends low-quality leads to expensive sales capacity.

Admin controls

Higher Calendly tiers add managed event types, groups, delegated administration and centralized settings so organizations can standardize how teams schedule. Enterprise adds stronger oversight through domain control, audit capabilities and dedicated onboarding.

Centralization becomes important when dozens or hundreds of people create booking links. Without governance, event names, availability rules and branding can become inconsistent even when the underlying scheduler is reliable.

Mobile and browser experience

Calendly supports web, iOS, Android and browser-extension workflows. The browser extension helps organizers insert availability and scheduling links without repeatedly opening the full app.

For frequent schedulers, this small workflow improvement matters because the value proposition is reducing coordination friction wherever meetings are created, not only on the main Calendly website.
