Perfex CRM Review: Features, Pricing and Fit
Explore Perfex CRM review details, key features, pricing limits, business fit and important alternatives using current vendor documentation.

Vendor and CodeCanyon document a broad bundle of leads, projects, tasks, proposals, recurring invoicing, tickets, expenses and contracts suitable for service agencies.
The customer installs and maintains its own PHP/MySQL hosting and vendor guides cover configuration failures; independent matched G2 and Capterra user samples were absent.
CodeCanyon currently lists $89/$385 once but Perfex comparison still quotes $65/$295; support renewals, host fees and additional installations make full ownership cost uncertain.
Official material confirms Stripe and PayPal payment options, email-based intake and Bit Integrations for WordPress; no certified managed security or uptime SLA was established.
Scored by Surabhi Singh
Perfex CRM is most compelling for service businesses that want client management, quotes, invoices, projects and support tickets on a server they control, without a recurring per-seat CRM license. The tradeoff is significant: a one-time CodeCanyon purchase does not provide managed hosting, security maintenance or implementation. We reviewed the vendor's documentation and the live marketplace offer, but did not install or benchmark the software. Teams that lack a dependable PHP/MySQL administrator should weigh the ongoing technical work against a managed CRM subscription.

Quick verdict
Key takeaways
- Perfex CRM is a self-hosted PHP and MySQL CRM with client records, leads, proposals, invoicing, projects, timesheets and support tickets
- It is sold as a one-time CodeCanyon license, not a managed per-seat SaaS subscription
- CodeCanyon currently lists $89 Regular and $385 Extended, but the vendor comparison has older $65 and $295 figures
- Both marketplace license categories cover a defined end product rather than unrestricted installations
- Hosting, deployment, backups, upgrades and application security are the buyer's responsibility
- Six months of author support is included with the listed purchase, while future updates are included under marketplace terms
- We did not perform a production installation or validate the exported research score
What is Perfex CRM?
This breadth matters for agencies, consultants, creative studios, professional-service teams and contractors that invoice for work rather than simply tracking a sales pipeline. A team might capture a prospective customer, send a proposal, convert it into an invoice, open a project, log billable time and receive support requests afterward. Keeping those steps in one application could reduce manual handoffs. However, we have not measured the quality of the links between modules in a working instance or established how easily an organization can import its historical records.
Perfex CRM differs from a conventional hosted CRM in deployment and ownership of operations. A SaaS provider normally runs the application infrastructure; here the buyer must procure compatible web hosting, manage a database, configure secure access and decide how to handle backups and restores. Its source code is delivered under the purchased license, enabling authorized customization, but that does not make every extension free, every modification supportable or the licensing unrestricted. Open source in the product's marketplace title should not be interpreted as public-domain software or permission to redistribute it outside the license.
Self-hosted client, lead, project and invoicing CRM with a one-time license.
Best for: Freelancers and service businesses with managed PHP/MySQL servers seeking unified lead, project billing and customer support workflows.
- Ticket inbox
- Projects and time tracking
- Estimates and proposals
- Customization and reports
- Expenses
- A lifetime single-installation license avoids the normal per-user SaaS subscription price for the core product.
- Vendor-supported invoicing, recurring charges, expenses, proposals and project time recording simplify service-business billing.
- Built-in customer tickets, a knowledge base, contracts, lead pipelines and surveys cover both presales and support.
- Self-hosting shifts server setup, backups, cyber security, PHP compatibility and patching onto the purchaser.
- License applies to one installation and different commercial use permissions require the Extended license.
Our research methodology and what we did not test
We checked the live CodeCanyon item, the Perfex vendor licensing comparison, the official help center, the current server-requirements page and Envato licensing guidance on October 28, 2026 UTC. We compared the documented workflows against common service-business needs: lead-to-proposal continuity, invoice generation, project delivery, staff access, client communication, hosting obligations and total cost. We also checked published Toollers profiles for related alternatives.
Testing methodology
Perfex CRM features in a service-business workflow
Feature Breakdown
Client records, separate contact permissions and notification choices are documented
Lead capture, lead statuses and reminders help organize pre-sale work, but email routing needs configuration
Send proposals to leads or customers, convert to estimates or invoices and manage acceptance workflow
PDF invoices, recorded payments, reminders and repeating invoice templates, with gateway or email configuration needed
Project members, task relationships, timers, billable hours and project billing
Department tickets, email piping or IMAP and client self-service require mail and cron setup
CodeIgniter-based application, documented module hooks and third-party ecosystem under compatibility constraints
Buyer controls installation environment and must run backups, upgrades, server security and availability
Customer records, permissions and lead management
The customer area is more than an address book. Perfex documents separate contact permissions and email-notification choices, so a customer's finance contact can be configured differently from the person who receives project updates. Internal staff also have differentiated permissions. The value is practical: a business can avoid sending every invoice or project notice to every stakeholder. But permissions require deliberate setup, role testing and periodic review. Having controls is not the same as proving they meet a particular organization's least-privilege policy or regulatory obligations.
Lead management supports a bridge from initial enquiry to customer work. Reminders can help staff remember calls, meetings and other follow-ups, while email-integration documentation explains mechanisms for capturing messages. The documentation includes older mail setup examples, so administrators should verify current OAuth and provider authentication practices rather than copy legacy advice. Buyers who depend on highly visual, AI-assisted sales forecasting or extensive third-party data enrichment should check whether native functionality is sufficient before purchasing extension modules.
Proposals, estimates, client billing and recurring invoices
The sales module covers estimates and proposals as distinct commercial stages. Perfex documents creating a proposal for a lead or customer, letting the recipient review it and converting accepted information into an estimate or invoice. For agencies that draft scopes of work, this may be more useful than a CRM whose core is just contacts and deals. The process still needs a sample-document test: evaluate tax fields, currencies, customer permissions, PDF templates, signature expectations, approval conditions and whether the document legally matches your contracting process.
Invoicing includes the ability to choose payment modes, record customer payments and create recurring invoices. The vendor has detailed help articles for reminders and repeating invoices, including automation through scheduled jobs. These functions could help a maintenance provider bill monthly retainers or a consultant charge for recurring services. Yet a recurring invoice is not automatically a complete subscription-revenue platform, nor does an invoice module replace statutory accounting, reconciliation or tax compliance in every jurisdiction. Confirm the payment providers and reporting exports appropriate to your business.
Projects, tasks, timesheets and billable work
Project tracking is a strong reason to consider Perfex. The documentation describes project billing types, team members, tasks, time logs, expenses and a finance overview. A project lead can associate staff time with tasks and later select work for invoicing. This is particularly relevant where a customer relationship continues for weeks or months after the original deal closes. It may reduce the gap between the people delivering work and the person sending the bill.
The important validation question is workflow depth. A complex portfolio may need dependency planning, workload forecasting, resource allocation, detailed permissions by client and audit-ready time approval. We can confirm documented task timers and project financial views, but we cannot infer that every advanced project-management discipline is supported natively. Test a realistic project with an overdue milestone, change request, reimbursable expense and several contributors. Watch for duplicate time entries, unexpected invoice totals and access boundaries in the customer portal.
Support tickets and client communications
Perfex provides support-ticket departments and knowledge-base features. Its documentation describes importing inbound ticket emails using forwarding or IMAP, with cron jobs driving some background activities. This makes sense for a small agency that supports clients after implementation and wants issue history adjacent to their invoices and projects. But the configuration is technical: email accounts, mail-server settings, job schedules and spam controls must work reliably. A failed scheduled job can delay new tickets or notifications, so operators should monitor it rather than assume email capture continues indefinitely.
Teams needing enterprise-grade omnichannel contact-center routing, live-call quality management, advanced chatbots or complex SLAs should investigate specific integrations or separate help-desk software. The presence of tickets does not prove equivalence to a dedicated support suite. Likewise, a knowledge base requires editorial ownership, permission checks and maintenance; software alone does not produce accurate support articles.
Customization and extensions
The marketplace package includes PHP application code and the vendor documents a module architecture. For an organization with a developer, this can be useful for custom fields, client-facing workflows and integration logic. The vendor also sells an ecosystem through third-party authors. Treat that ecosystem as a possible extension path, not a guarantee of compatibility. Every add-on may have its own license, support window, code quality, update cadence and data access. A customized installation can be harder to upgrade than an unmodified deployment.
Before modifying code, create version-controlled backups, establish a staging environment and document how schema updates will be tested. Perfex's vendor page explicitly says customization and installation work are not included in standard item support. If a business expects vendor-led onboarding or configuration, it should budget separately for someone qualified to do the work. Source availability reduces dependence on a closed SaaS interface but shifts more engineering responsibility to the owner.
Self-hosting, server requirements and security
The current help-center requirements page specifies PHP 8.1 or later, MySQL 5.1 or later, Apache mod_rewrite and a list of PHP extensions, including MySQLi, PDO, cURL, OpenSSL, MBString, IMAP, GD and Zip. That page is more specific and more current than older Perfex FAQ text still discussing PHP 5.5. A buyer should use the latest compatibility guidance for the exact software version rather than select an obsolete PHP runtime merely because a historical FAQ remains indexed. Ask the hosting provider about supported PHP extensions, scheduled jobs, SSL, database backups and restore procedures.
Self-hosting can be beneficial when a business has strict control requirements, but it is not automatically safer than managed SaaS. Your organization becomes responsible for patching the operating system and application, restricting administrator access, securing the database, encrypting network traffic, monitoring malware, managing file permissions and testing restore points. Perfex's security article discusses two-factor authentication, reCAPTCHA, CSRF and a cron key, but feature availability or defaults should be confirmed in the installed build. We did not assess source code, penetration-test the application or establish independent security certifications.
A sensible pilot uses a non-production instance and dummy records. Verify that a client cannot view another client's invoice, that a regular staff member cannot open restricted files, and that backed-up records can actually be restored. Document how attachments, database backups and email credentials are stored. Review hosting location and retention expectations if your clients have contractual data-security requirements. A lower license price is not a valid reason to waive these controls.
Perfex CRM pricing and license scope
The most consequential current detail is a conflict between two official-facing pages. The CodeCanyon product listing, where the purchase occurs, shows $89 for the Regular license and $385 for the Extended license. Perfex's own separate pricing comparison still displays $65 and $295. We use the current marketplace purchase figures in this review and keep the older amounts as a discrepancy, not a second available checkout price. Taxes, handling and optional support extensions may change the amount paid. The product license is a one-time purchase, not a monthly CRM plan, and the license is tied to a defined end product.
| License or expense | Current USD listed price | Billing model | Core condition |
|---|---|---|---|
| Regular at CodeCanyon | $89 | One-time | One end product that end users do not pay to access |
| Extended at CodeCanyon | $385 | One-time | One end product that may charge end users, under marketplace terms |
| Seller support extension | Quote at purchase or renewal | Optional | First six months of item-author support included |
| Hosting and maintenance | Depends on provider and workload | Ongoing | Buyer manages server, database, backups and patches |
| Third-party modules and implementation | Varies | Separate purchase or service | Not included with base license |
Envato describes the Regular license as appropriate when end users do not pay to access the finished end product, even if the operator's business itself earns revenue elsewhere. An Extended license is generally required when users pay for access to the product incorporating the item. Perfex's vendor page confirms one installation per license, says an extended arrangement may be relevant to a SaaS business, and cautions that no ready-made multi-tenant SaaS code is supplied. Envato published separate SaaS guidance in September 2026; any intended hosted subscription resale should be checked against the specific item and current contract terms before engineering or marketing it.
It would be misleading to call Perfex a $89 total-cost CRM. Add server hosting, domain and TLS administration, email services, initial configuration, application updates, backup storage and recovery tests, security monitoring, any paid modules and staff training. The one-time charge becomes appealing only when the recurring operational costs and staff time remain acceptable. Compare three-year costs with a managed CRM using the actual expected number of users, service requirements and internal technical capacity.
Where Perfex CRM fits and where it falls short
Pros
- Unified customer-to-invoice-to-project workflow documented by the vendor
- One-time base license rather than mandatory per-user SaaS charges
- Source access and module architecture support custom requirements
- Client portal, recurring invoices and ticketing address service-business needs
- Control over the hosting environment and operational data
- Current marketplace listing states future updates and six months of seller support
Cons
- Technical responsibility for installation, backups, security and upgrades
- Current marketplace and vendor price pages disagree
- One license does not authorize unlimited separate installations
- Third-party modules and customization are separate investments
- No documented Toollers hands-on test or verified criterion-level review score
- Not every advanced sales, finance or support requirement is covered natively
Who should use this
- Small professional-service firms with a capable PHP/MySQL administrator
- Agencies linking leads, project delivery, timesheets and invoices
- Consultants who need a client portal and support-ticket history
- Organizations valuing source access and self-hosting control
- Teams able to budget technical maintenance as a recurring operating cost
Who should avoid this
- Businesses without anyone to manage hosting and upgrades
- Buyers expecting a vendor-operated cloud service at the one-time purchase price
- Teams needing full enterprise ERP, advanced marketing journeys or omnichannel contact-center operations without add-ons
- Agencies expecting unlimited separate client installations from one license
- SaaS resellers who have not validated license terms and multi-tenant engineering
A service business with a modest number of users may find the combination attractive if it already pays for dependable hosting and has a technical maintainer. A company with no systems administrator may instead prefer predictable SaaS support and automatic infrastructure updates. The correct decision depends on total operating effort, not only feature count. Buyers should also check whether their accountant will continue using a separate general ledger and whether their clients actually need portal access.
How Perfex compares with managed CRM alternatives
Subscription comparisons should distinguish different units. OnePageCRM charges per sales user, HighLevel publishes workspace-level agency subscriptions with extra usage, Odoo combines per-user and app or deployment choices, and ActiveCampaign often charges by contact volume and features. Perfex charges per licensed deployment plus your infrastructure. A matrix that simply places $89 next to $9.95 per month would misrepresent both the entitlement and the cost of administration.
Final editorial verdict
Perfex CRM offers a credible set of documented service-business tools for organizations willing to operate their own software. Its combination of contact records, proposals, invoices, recurring charges, projects, timesheets and tickets gives it a clearer identity than a generic cheap CRM script. The current one-time checkout price can be attractive, but hosting, maintenance, security and correct licensing are not optional details. We would shortlist it for a technically prepared agency or consultancy, not treat it as a universally cheaper or simpler CRM than managed products.
Our recommended next step is to map one customer lifecycle from lead to payment and service request, then run that lifecycle on a non-production demonstration or licensed test installation. Include staff permission tests, an invoice template, a backup restore and a realistic upgrade procedure. Use the current CodeCanyon price and seller license terms in the purchase decision. The 3.7 research-based score in the supplied Tool record has no verified human reviewer and is not an independently reproduced performance assessment; publication of this Review remains subject to the editorial assignment.
