Vyapar Review: GST Billing, Inventory and Real Tradeoffs
Our Vyapar review examines GST invoices, stock, offline work, accounting, mobile and desktop plans, practical limits and the evidence behind each claim.

Verified invoicing, stock, ledgers and selected digital/GST functions; advanced accounting is plan-gated.
Many reviewers report approachable daily billing, while specific complaints cover sync/data, support and invoice sharing; no Toollers hands-on use.
Promotional annual rates are public, but cross-region plan names, device fees and renewal conditions make comparisons less transparent.
Backup, device sync, Tally export and tax workflows are described, yet controls depend on edition and independent security audits were not checked.

Research basis: Toollers reviewed the attributed vendor sources below. No documented hands-on test supports this article.
Vyapar is an India-focused billing, inventory and small-business accounting application for shop owners, traders, wholesalers and service businesses that need to create invoices, monitor stock, record customer dues and prepare GST-related reports. Its value is the combination of daily commercial tasks in mobile and desktop workflows, with offline operation advertised for core record entry. Its buying caveats are device-specific features, several conflicting official price promotions and inconsistent desktop trial durations.
Quick verdict
Key takeaways
- GST and non-GST bills, stock and customer dues are core functions

- Official pages publish varying prices and seven-versus-fifteen-day trial descriptions
- Offline entry is documented but some sync and online functions need internet
- Toollers has no approved hands-on test or rating

What is Vyapar and who is it for?
Simply Vyapar Apps Private Limited markets Vyapar as a business application rather than a stand-alone invoice template or a tax filing portal. A user generates a sales invoice or quotation, tracks the sale against inventory, records receipts and checks outstanding balances or profit-and-loss reports. The product also has purchase orders, purchase bills, returns and expenses. These connections are useful for a grocery counter, a wholesaler sending credit invoices or a service provider tracking unpaid bills.
We have not invented sibling Review, Pricing or Alternatives links, nor have we inferred a verified Toollers editorial score from vendor testimonials.
Vyapar’s strongest pitch is practical: the person who prepares a bill can also check who owes money and whether stock has fallen below the reorder point. A business that currently maintains sales in a notebook, stock in a spreadsheet and payments in a messaging app may benefit from bringing them into one workflow. Whether it actually reduces work depends on disciplined opening balances, correct item units, GST classification and staff training. An attractive invoice design cannot compensate for unreconciled inventory or a poorly controlled customer ledger.
How we reviewed Vyapar
Testing methodology
We separated direct vendor statements from independent observations. Vyapar’s marketing case studies contain favorable stories and performance claims, but they are vendor-selected accounts; we did not verify a statistically meaningful independent feedback sample matched to the exact Indian editions. We also do not know whether each promotional landing page has identical plan terms. A valid hands-on review would record app version, operating system, paid edition, active companies, hardware peripherals and the actual outcome of tasks such as tax invoice generation, stock transfer, returns and restoring a backup.
Our recommended pilot uses a deliberately mixed sample of clean and messy records. Separately check GST tax rates, HSN/SAC codes and the period’s GSTR summary with an accountant. Those are test instructions for a buyer, not events we claim Toollers performed. Government filing, fiscal rules and tax treatment must still be validated by the business and qualified professionals.
Vyapar feature breakdown
Feature Breakdown
GST and non-GST invoices, quotations, delivery challans and credit notes
item lists, low-stock alerts, batch or expiry records in relevant builds
sales, purchases, expenses, receipts and payables
customer ledgers, profit and loss, cash flow, balance sheet and trial balance depending on tier
GST reports and selected e-way bill or e-invoice functions in supported editions
mobile and desktop, offline entry and optional synchronization
barcode, thermal printing, godown and POS functions depending on plan
local and Google Drive options documented by vendor
GST invoicing and document flow
Vyapar provides invoice templates, GST tax calculations, quotations, sale orders, delivery challans and returns. For a retailer, the workflow can start with a quotation and end with a printed invoice or digital payment request. For a wholesaler, it may include dispatch documents, credit terms and a later receipt. The product documentation also describes customizing bill footers, signatures and bank details. Buyers should verify that their chosen edition supports the required invoice sequence, tax fields, multiple GST registrations, discounts and credit-note handling without manual workarounds.
The vendor’s detailed feature article lists GSTR-1, GSTR-3B and GSTR-9 reporting, while current plan cards reference GST reports and e-way bill or e-invoice functions. These are not equivalent to a guarantee that every tier files all returns directly or handles complex input-tax-credit reconciliations. Review the exported return file and the government portal acknowledgment separately. A business with high e-invoice volume should confirm eligible transaction thresholds, IRN/QR code generation, cancellation and whether portal fees or API limits apply to its exact plan.
Inventory, batches and low-stock checks
Vyapar describes automatically adjusting quantities as sales and purchases are recorded, grouping items, displaying inventory value, highlighting low stock and managing batch or expiry information. That is more useful than a billing app with a static product list. A wholesaler should test unit conversion, returns, damaged stock and opening adjustments; a pharmacy should check batch/expiry traceability with its actual medicine workflow. Some godown and stock-transfer features are shown only in higher plan cards. Do not assume every free or low-tier mobile license includes advanced inventory controls.
We would also test what happens when two devices create invoices offline and later synchronize. A product can offer offline billing and cloud sync without guaranteeing conflict-free stock counts across separate terminals. Ask how duplicate invoice numbers are handled, which transaction timestamp wins and whether a manager can review overridden inventory. The current retail landing page promotes barcode scanners, thermal printers and weighing scales, but exact model compatibility was not verified. Confirm the hardware combination before buying a printer or handheld scanner solely on the strength of a product claim.
Receivables, payments and daily books
Customer balances, party statements, payment-in and payment-out entries, cash or bank ledgers and due-date reminders are central to the application. A neighborhood distributor that extends credit can see which accounts remain unpaid instead of tracking reminders in separate messages. The vendor also advertises UPI QR codes on invoices. Test partial settlements, rounding differences, refunds, customer advances and duplicate receipts to ensure the balance remains understandable. A payment link or WhatsApp reminder is not proof that a transaction was received; always reconcile the bank or cash account.
Financial reports and accounting depth
Vyapar documents profit-and-loss, cash flow, day book, party statements and balance-sheet views. Its current Gold accounting plan card specifically lists chart of accounts, trial balance, balance sheet and certain tax fields that are not all shown on the basic Silver card. That distinction is relevant to businesses whose accountants require a controlled ledger rather than only an invoicing report. Verify opening balances, journals, period closing and audit trail rules in a sample fiscal year before choosing a plan based on a headline accounting-module label.
A company with multiple departments, intercompany transactions, manufacturing costing or sophisticated approval requirements may need a broader accounting package. Vyapar’s own FAQ notes some manufacturing features are still being developed, even though manufacturing businesses can use the application. That does not make Vyapar inadequate for every manufacturer; it means actual job costing, bills of materials and production planning must be demonstrated. A complex business should compare TallyPrime, BUSY or a suitable ERP using exactly the same inventory and accounting requirements.
Device support, offline work and synchronization
The terms state that after installation, basic use can continue without an internet connection. The FAQ separately describes automatic synchronization between mobile and desktop, and the product site promotes use across devices. These statements should be understood together: entering a local transaction while disconnected is different from seeing a newly synchronized record on another terminal. Verify the relevant Windows or mobile platform, license scope and supported offline tasks. Do not assume that every payment, cloud backup, online store or GST portal integration works while the device is disconnected.
The FAQ’s question about a web/cloud-only edition says that service was still being launched, while newer landing pages promote cloud sync and mobile access. We would not characterize all editions as full browser-first accounting from that evidence. A remote accountant should test the actual account-access method and whether review permissions are available outside the primary device. If users work from different branches, ask the vendor to demonstrate simultaneous edits, conflict handling, role restrictions and what happens when a device is replaced.
Data backup, privacy and permissions
The official guide describes backups to Google Drive, phone storage or email and a restore function. Meanwhile, the terms place responsibility for maintaining backups on the user. A business should schedule a repeatable export and restore procedure, keep a second protected copy of core reports and verify access after the primary device fails. Local data custody offers control only when files are secured and backups are recoverable. Use staff permissions where available, and do not share a single administrator login merely because it is convenient at the billing counter.
Vyapar’s permission and terms pages describe collection of account, device and other service data, with some optional permissions associated with features such as credit-related services. The marketing phrase that data is secure is not a substitute for a documented threat model. Verify which permissions the selected app truly requires, whether finance data is transferred to third parties and how account deletion and backups work. We did not audit encryption, servers or incident response. A buyer should review current privacy policies against its own customer-data obligations.
Setup, support and onboarding expectations
Official help articles cover common tasks such as changing print settings, reattaching a desktop license and enabling user-role permissions. The product also provides tutorials and remote support paths. That documentation can help a small company learn daily billing, but ease of use remains unmeasured here. A safe onboarding sequence is to reconcile opening stock and party balances, import a limited item list, create test transactions and get an accountant to approve the initial books. Moving years of unclean data immediately can make even a good interface feel unreliable.
When planning support, ask whether live help is available during shop hours, how license replacement works after a PC failure, and which issues require paid services. High-volume shops should also ask about printer troubleshooting and offline data recovery. If a monthly sales close depends on Vyapar, write down who can restore backups and how to issue bills during an outage before the application becomes the only operational record.
Vyapar plans, trial and price differences
| Plan and device | Public posted price | Billing basis | Scope to verify |
|---|---|---|---|
| Mobile Free | ₹0 | Limited lifetime-free plan | One firm and basic invoicing |
| Mobile Silver | ₹699/year | Annual | Up to three firms in listed card |
| Mobile Gold | ₹799/year | Annual | Up to five firms and accounting functions |
| Mobile Retail Pro | ₹2,099/year | Annual | Unlimited firms and expanded stock tools |
| Desktop Silver | ₹3,799/year | Annual; other promotions differ | Up to three firms |
| Desktop Gold | ₹4,099/year | Annual; other promotions differ | Up to five firms and ledger features |
| Desktop Retail Pro | ₹8,999/year | Annual; other promotions differ | Unlimited firms and expanded retail controls |
These example amounts come from Vyapar’s current small-business accounting landing page, not from a completed checkout. A separate official indexed pricing campaign shows different desktop offers, including ₹3,999 for Silver and ₹4,299 for Gold, and a retail landing page displays monthly-equivalent marketing amounts. As a result, we cannot call one price universally current for every visitor, device, coupon or license term. Check the final annual invoice, taxes, included firms and number of devices. The full Pricing article discusses this variation in detail.
The vendor also gives inconsistent trial information. Its current FAQ and detailed accounting or retail plan cards say the desktop evaluation lasts seven days, whereas a feature article and an older plan page say fifteen days. We have not activated an account to resolve that difference. Treat seven days as a common current published claim but verify the actual start and expiry shown during registration. The mobile free plan is a separate restricted entitlement, not a promise that desktop premium features remain free forever.
Pros and limitations
Pros
- Broad daily billing, stock, customer dues and basic accounting workflow
- Mobile free tier and published annual options
- Vendor documents offline entry and backup methods
- GST and print-format support for Indian small businesses
- Higher plans add accounting and multi-firm capabilities
Cons
- Official prices differ among current pages and campaigns
- Desktop trial described as seven or fifteen days
- Tier and device restrictions change access to important features
- Automatic sync and local backup need an explicit operational plan
- Advanced manufacturing and formal audit needs may exceed the documented scope
Our practical conclusion is that Vyapar serves the owner-manager who prioritizes issuing bills, tracking what was sold and recovering money. It may be less suitable when detailed corporate accounting, deep inventory costing or many remote roles are nonnegotiable. That distinction should be established by seeing real examples of the required transactions, not by assigning a made-up feature score. A good evaluation includes both the cashier who enters sales and the accountant who checks balances after a month.
Who should use or avoid Vyapar?
Who should use this
- Indian small shop needing GST invoices and inventory
- Wholesaler tracking customer dues and stock
- Service provider issuing quotations and collecting payments
- Owner who wants free mobile basics before paying for advanced features
- Retail team able to validate an appropriate Gold or Retail Pro plan
Who should avoid this
- Firm expecting full browser-only accounting for all employees without a product-specific demo
- Enterprise needing complex approval or manufacturing costing as a proven entitlement
- Business requiring guaranteed integrations and unlimited devices in a basic tier
- Buyer unwilling to verify promotional prices, renewal and trial dates
A single shop can try the free mobile workflow, whereas a retail outlet with barcode devices and a cash counter should pilot the desktop edition and the real printer. A wholesaler holding stock at several godowns needs a plan whose stock-transfer and user-access controls are confirmed. A service business may care more about reminders, partial payments and expense reports than inventory. For each buyer, calculate the annual commercial cost plus the hours needed to reconcile data and train staff, not just the first promotional price.
Rating status and user evidence
This Toollers article is intentionally unrated. We were not given a verified Toollers editorial assessment, component criteria, named reviewer or attributable hands-on test, so inserting stars or a percentage breakdown would be inaccurate. Vyapar’s site includes selected customer testimonials and usage claims, but they cannot establish how typical customers experience the same plan, operating system or support conditions.
Alternative software worth comparing
myBillBook and Swipe are natural candidates for a mobile-first invoicing workflow. TallyPrime and BUSY are worth examining for accounting-heavy businesses, Marg ERP for inventory-sensitive pharmacy or distribution operations, and Zoho Books for cloud-based collaboration with a CA. These comparisons are based on named official vendor products, not verified live Toollers relationships. A business switching from Vyapar must specifically check item and party import, opening balances, tax code mapping, historical invoice numbers, data export and post-migration reporting before choosing a replacement.
Our final verdict on Vyapar
Vyapar merits a hands-on evaluation for Indian owner-operated businesses that want invoices, stock and receivables in the same everyday app. The published feature breadth and free mobile entry point make it approachable, while device and tier boundaries, price variation and trial-duration discrepancies deserve careful checking. We recommend asking the vendor to show an exact plan quote, then running one week of representative bills and a controlled backup-and-restore test. Continue only if the accountant can reconcile the results and the staff can repeat the workflow.
