FreshBooks Review: Features, Pricing, Pros and Cons
FreshBooks review: Cloud accounting and invoicing software for freelancers and small businesses with payments, expenses, time tracking.

FreshBooks combines invoicing, estimates, proposals, recurring billing, expenses, time tracking, projects, payments, financial/accounting reports, bank reconciliation on Plus and above, receipt capture, mobile tools and optional payroll. Client limits scale from 5 on Lite to 50 on Plus and unlimited on Premium/Select.
FreshBooks currently holds 4.5/5 on G2 from 981 reviews and 4.5/5 on Capterra from 4,529 reviews, with Capterra ease of use at 4.5 and customer service at 4.4. Reviewers consistently praise setup, invoicing and day-to-day usability; pricing changes, occasional mobile/upload issues and some missing advanced accounting depth are recurring limitations.
FreshBooks publishes clear regular 2026 USD pricing at $23 Lite, $43 Plus and $70 Premium monthly, with annual totals of $248.40, $464.40 and $756 respectively (10% annual discount). A 30-day free trial and 30-day satisfaction guarantee improve transparency, though aggressive temporary promotions and paid add-ons can obscure long-term cost.
FreshBooks provides an App Store, OAuth2 API/webhooks and integrations such as HubSpot, Gusto, Wagepoint and Zapier. It uses SSL/encryption and now requires two-factor authentication for password-based accounts under PCI DSS 4.0 requirements. Public product-level SOC/ISO certification evidence was not verified in this research pass, limiting the trust score relative to some accounting competitors.

What is FreshBooks?
FreshBooks is cloud accounting and invoicing software built primarily for freelancers, consultants, agencies and small service businesses. It combines customized invoices, recurring billing, online payments, expenses, estimates, proposals, time tracking, projects, client management and financial reports in one interface.
Its product philosophy is simpler than a traditional accounting suite: help non-accountants get paid, understand cash flow and keep books organized without making every daily task feel like accounting software.
How we researched FreshBooks
This is a research-based review rather than a Toollers hands-on accounting migration. On October 9, 2026, we refreshed FreshBooks' live pricing, 2026 regular prices, current promotions, Select plan, trial and satisfaction guarantee, API documentation and current G2 and Capterra evidence.
Current product claims are described as vendor-documented capabilities unless independent user evidence supports the same conclusion.
Lite plan
Lite has a regular U.S. price of $23 per month or $248.40 per year, equivalent to $20.70 per month with annual billing. It supports up to five billable clients.
Lite includes unlimited customized invoices within that client limit, estimates, recurring invoices, expense tracking, online payments, tax-time reports and time tracking. It is best for new solopreneurs whose client count is genuinely small.
Plus plan
Plus has a regular price of $43 per month or $464.40 per year, equivalent to $38.70 per month on annual billing. It supports up to 50 billable clients and is currently positioned as FreshBooks' most popular mainstream plan.
Plus adds proposals, client retainers, e-signatures, bank reconciliation, accountant access, financial and accounting reports and receipt data capture. For many operating businesses, it is the real starting point because bank reconciliation and accountant collaboration are essential.
Premium plan
Premium costs $70 per month or $756 per year, equivalent to $63 per month with the standard 10% annual discount. It removes the billable-client cap.
Premium includes the Plus feature set and is designed for businesses with larger client books. It also expands project profitability, bill receipt scanning and business-management capabilities.
Select plan
Select uses custom pricing and is designed for businesses that want unlimited clients plus more hands-on support, onboarding and payment economics.
The current plan includes lower card transaction rates, capped ACH fees, dedicated phone support, customized onboarding, Easy Switch migration, FreshBooks branding removal, Advanced Payments and two team-member accounts.
Client limits
FreshBooks pricing is unusual because client count is a major plan gate. Lite supports five billable clients, Plus supports 50 and Premium or Select support unlimited billable clients.
The client limit applies to active and archived clients that remain billable. Businesses expecting rapid client growth should plan around the next tier before migrating their invoicing history.
Invoicing
Invoicing is FreshBooks' signature workflow. Businesses can customize invoices, add recurring billing, automate reminders, apply deposits or late fees and accept online payments.
G2 and Capterra reviewers consistently praise how quickly new users can create and send professional invoices. That usability is one reason FreshBooks remains especially popular with freelancers and service businesses.
Online payments
FreshBooks can accept credit and debit cards, ACH bank transfers and supported digital-wallet payment methods. Payments flow back into the accounting records automatically.
Payment processing fees are separate from the subscription. Select can lower card rates and cap certain bank-transfer fees, making payment volume an important factor in the plan decision.
Advanced Payments
Advanced Payments costs $20 per month on Lite, Plus and Premium and is included on Select.
The add-on is relevant when a business wants more flexible payment collection and card-on-file workflows, but it should be added separately in TCO calculations rather than treated as part of the base accounting plan.
Expenses and receipt capture
FreshBooks tracks business expenses and can capture receipt information. Plus and higher plans include stronger accounting and receipt-scanning workflows.
Independent users generally find the expense workflow easy, although some reviews mention mobile upload or sync issues. Businesses should still reconcile source documents and bank activity rather than relying entirely on automated capture.
Bank reconciliation
Bank reconciliation is available on Plus and above, which is an important dividing line between basic invoicing and fuller accounting.
A business that needs reliable bookkeeping and accountant collaboration will often need Plus even if it has fewer than five clients, making feature requirements more important than client count alone.
Time tracking
FreshBooks includes time tracking across paid plans and can convert tracked work into billable client invoices.
This is a strong fit for consultants, agencies and professional-service firms because project work, time and invoicing stay connected instead of being managed in separate systems.
Projects
FreshBooks supports client projects and team collaboration, with project profitability becoming more useful on higher tiers.
FreshBooks is particularly attractive when projects exist mainly to track client work and billing. Businesses with heavier job costing, inventory or operational project management may need additional software.
Proposals and retainers
Plus and higher plans add proposals, e-signatures and client retainers, allowing more of the client lifecycle to stay inside FreshBooks.
For agencies and consultants, this reduces the number of standalone proposal and billing tools needed before work begins.
Reports and accounting
FreshBooks provides tax-time, financial and accounting reports, with stronger double-entry workflows available on Plus and higher plans.
It is sufficient for many small service businesses, but companies with advanced consolidations, complex inventory or ERP-style reporting should compare QuickBooks Online, Xero or larger financial platforms.
FreshBooks Payroll
FreshBooks Payroll is currently priced at $40 per month plus $6 per user and is available as an add-on across the main U.S. plans.
Payroll should be evaluated as a separate decision because benefits, HR needs, support expectations and employee count can make Gusto direct, QuickBooks Payroll, ADP RUN or Paychex Flex better fits.
Team-member pricing
Additional team members cost $11 per month per user on the standard plans. Select includes two team-member accounts and charges for additional seats after that.
This can materially change economics for agencies and small teams. FreshBooks may look inexpensive at the plan level but become less competitive as internal user count increases.
Integrations and API
FreshBooks has an App Store plus an OAuth2 API for custom integrations. Current documentation and support materials highlight connections such as HubSpot, Gusto, Wagepoint and Zapier.
The API can create invoices, work with client data and automate account workflows, but custom development still requires technical ownership, testing and maintenance.
Security
FreshBooks uses encrypted web connections and now requires two-factor authentication for email-and-password accounts under its current PCI DSS 4.0-related security requirements.
Two-factor authentication cannot be permanently disabled for those accounts. Toollers did not verify a public product-specific SOC 2 or ISO certificate in this research pass, so the trust score remains slightly below accounting competitors with easily accessible certification evidence.
30-day free trial
FreshBooks currently offers a 30-day free trial without requiring a credit card.
The trial is the best way to test invoicing, bank connections, reports, projects and client workflows before importing production accounting data. Choosing a Buy Now promotion can mean giving up the free trial, so buyers should decide whether evaluation or discount matters more.
Current promotions
The main FreshBooks pricing page currently promotes Lite at $1 per month for the first year and 80% off Plus or Premium for three months for eligible new customers.
These offers are temporary and can end without notice. Toollers therefore uses regular $23, $43 and $70 monthly pricing for long-term comparisons rather than the promotional checkout price.
30-day satisfaction guarantee
FreshBooks currently advertises a 30-day satisfaction or money-back guarantee for subscription fees after purchase.
That guarantee lowers first-month purchase risk, but buyers should still review the current offer terms and billing channel because promotion eligibility and refund mechanics can differ.
Cancellation
FreshBooks' researched pricing and trial materials do not require a long-term contract for the standard self-service plans. Customers can cancel subscriptions, while a trial can simply expire without purchase.
Billing timing still depends on whether the customer selected monthly or annual service, so businesses should review the active subscription terms before cancellation.
Current G2 evidence
G2 currently rates FreshBooks 4.5 out of 5 from 981 reviews. Recent reviewers consistently praise ease of setup, professional invoicing, expense tracking and a user-friendly interface.
Critical themes include client-count limitations, pricing changes, occasional app or sync friction and less depth for advanced accounting than products built for larger finance teams.
Current Capterra evidence
Capterra currently rates FreshBooks 4.5 out of 5 from 4,529 reviews, with ease of use at 4.5 and customer service at 4.4.
The review base strongly supports FreshBooks' usability positioning. More critical reviews tend to focus on feature limitations, client caps, bank-sync issues or the need to add separate tools as a business becomes more complex.
Who should use FreshBooks?
FreshBooks is best for freelancers, consultants, agencies and small service businesses that care about getting invoices out quickly, tracking billable work and keeping basic accounting organized.
It is especially compelling when owners want software that feels approachable without sacrificing enough accounting structure to work with an accountant.
Who should avoid FreshBooks?
Businesses with inventory-heavy operations, advanced consolidations or complex reporting should compare QuickBooks Online, Xero and Zoho Books.
Larger teams should also model the $11-per-user team-member cost because collaborative economics can be less attractive than Xero's no-per-user model.
Final verdict
FreshBooks remains one of the easiest accounting and invoicing platforms for freelancers and service businesses that value simplicity over deep finance complexity.
Plus is the strongest default tier for most active businesses because it adds bank reconciliation and accountant access, while Premium becomes more compelling when the 50-client limit becomes restrictive.
| Plan | Regular monthly price | Annual equivalent | Client limit |
